Need a fleet vehicle or utility trailer? Well you're in the right place!
Below you will find instructions to fill out the vehicle request form through our MaintainX request portal. Please follow these instructions as closely as possible to ensure we properly receive the information needed to deliver the appropriate asset(s) on time.
How to Use the Fleet Vehicle (AND UTILITY TRAILER) Request Portal
Fleet vehicle requests must be submitted or authorized by the department budget manager
Please follow the instructions in the welcome message on the left side of the request portal to copy paste the example text into the form to streamline your request process and ensure consistent formatting.
Include Department Codes with names (example: 731 Auto Shop) as much as possible.
YOU CAN NOW REQUEST MULTIPLE VEHICLES (BY DATE) PER FORM SUBMISSION!!! Please limit to one date range request per form submission. If you need vehicles for multiple date ranges, please submit a separate vehicle(s) request for each set of dates. See examples below.

Departments with permanent vehicle assignments (ESD, Fluffers, Shade, etc.) are still required to submit vehicle requests so we know what dates the vehicles are needed.
Legacy requests are easily allocated. New requests can be difficult to fulfill. Please include as much detail as possible when requesting a vehicle that was not assigned last season. This helps Auto Shop better understand exactly what's needed and improves our ability to fulfill the request.

All requests are due by May 1st
Due to the fluid nature of our beloved fleet, some requests may not be approved until July/August

Seating Capacity: 5-7 max
Payload Capacity: 1/4 ton, 1/2 ton, 3/4 ton or 1 ton. Anything over 1 ton will require a flatbed truck.
Towing Capacity: 12k lbs max

Friendly Reminders
Operators must have a valid drivers license, good driving record and be on the Burning Man Driving Insurance to operate a Burning Man fleet vehicle.
Fleet vehicles are to be kept clean, free of debris, and cleared of trash before they are returned to Auto Shop at the end of their assignment.
Fleet vehicles must be allotted a parking area at your work sight and/or pod and must be returned when finished or at the end of each day.
Joyriding or unprofessional misuse, abuse or neglect of any vehicle at any time is absolutely forbidden and grounds for revocation of driving privileges. Multiple infractions from one department could be cause for reevaluation of driving privileges for the entire department.
If users are unsure how to properly check fluids training must come from an Auto Shop staff member before operator use. Please radio Auto Shop staff, training/assistance is always available if needed. NEVER OPEN THE RADIATOR CAP TO CHECK COOLANT IF THE ENGINE IS HOT.
Fleet vehicles must be brought to the Auto Shop once a week and immediately after any significant dust events for a brief inspection and to blow out critical components. NEVER BLOW OUT THE INTERIOR OF A VEHICLE ON PLAYA.
If you experience a problem IMMEDIATELY STOP THE VEHICLE IN A SAFE PLACE and radio Auto Shop on the "Fleet Vehicles" or "Gerlach/Ranch" Channel to report the issue. Continued operation may cause permanent damage and/or put you and others in danger.
Operators are to report any needs, malfunctions, repairs or requests to Auto Shop via radio or by using the Repair Request Portal. NEVER ATTEMPT REPAIRS YOURSELF UNLESS YOU RECEIVE SPECIFIC INSTRUCTIONS FROM AUTO SHOP.

How will I know if my 2026 request has been approved? Enter your email address in the MaintainX request portal to receive an email when your request is approved.
