Communication is considerably one of the most important tool for it influences all the other functions in management. Engineer managers at various levels use different communication systems in order to plan, organize, direct, and control the activities within the organization. Therefore, it would be beneficial for an engineering organization to build an effective system of communication for facilitating job performance and promoting satisfaction between employees and clients.
According to Wolf and Kuiper, communication is defined as a process of sharing information through symbols, which includes word and message. It may happen between any members in an organization and must be made for a purpose in an effective manner.
Communication is then used to serve the following functions, namely:
Information Function
Motivation Function
Control Function
Emotive Function
The process of communication consists of eight steps, which are as follows:
Develop an Idea
Decode
Transmit
Receive
Decode
Accept
Use
Provide Feedback
Communication is comprised of two major forms, which are:
Verbal Communication
Non-verbal Communication
There are various factors which hinder the efficient flow of communication. Even if the message is successfully transmitted by the channel, the timing and meaning are still affected by these factors.
The barriers to communication is classified as:
Personal Barriers
Physical Barriers
Semantic Barriers
In order to prevent these barriers from impeding throughout the communication channel, engineer managers should take into account the recommended measures as shown in the right in order to eliminate problems due to noise, selective perception, and distraction.
Communication may be classified according to the type of message flow, which are as follows:
Downward Communication - It refers to the message flows from higher level to lower level of authority.
Upward Communication - It refers to the messages from persons in lower level positions to persons in higher positions.
Horizontal Communication - It refers to the messages sent to individuals or groups with same organizational level or position
Management Information System, or MIS is defined as an organized method of providing past, present, and projected information on internal operations for use in decision making (Boone & Kurtz). It is made up of written and electronically based systems for sending bulletins, memos, reports, and such.
The MIS is established due to different reasons according to Wheelen and Hunger, which are as follows:
Effective communication significantly affects all the functions of management. It is said that communication serves as a building block of successful organizations. It promotes motivation by informing and clarifying the employees about their assigned tasks, and how to improve their performance. Generally, it helps in socializing, for it fosters the relationships between engineer managers and their subordinates. As engineering students, it is necessary for us to discern the functions of communication as well as its process. It would be beneficial for us to impart the important skills in communicating because managers should have managerial proficiency in delivering and transmitting messages.
