Part of our on-going stacks maintenance is inventory. Inventory is vital to the library. Inventory allows us to weed our collection. The inventory system also helps to make sure books are in the correct order. To do Inventory student workers will need to use the iPad and scanner. These items are located behind the circ desk, near the charging station and camera cabinet. Please leave the iPad unplugged until it reaches 15% battery life. This will keep the battery working longer. Follow the following steps to log into the iPad.
Getting the iPad Started
1. The code to unlock the iPad is 9450.
2. Ensure that the iPad is connected to the WiFi. (This is often an issue and the first thing to troubleshoot if things aren’t working correctly)
3. Click on the MobilCirc icon to load the WorkFlows app.
4. Once you have opened the app, you will need to sign in using the following:
Username: inventory
Password: inv
5. Click on Inventory to begin.
6. Now you can begin scanning.
Steps to Inventory
Retrieve the iPad and scanner.
Locate the folder for your team in the binder.
Find the location where the last person stopped. They should have noted it in the inventory section of the team folder. This is where you will start.
Retrieve your location sticker.
Fill in your name, date, and a call number where you are starting.
Place the sticker on your name tag so you can leave it upstairs when you complete your shift in the stacks.
Take the iPad and scanner to your section.
Begin where the last person ended.
When you scanning the book, pay attention to the iPad. It sometimes buzzes when it comes across on of the following errors.
Out of Order
You'll see this message come up if the item you have scanned is out of order according to LOC standards. Be sure to correct any books that are out of order and rescan to check your work.
Not Scanned in Home Location
When this happens, it means that you are scanning in a collection that is different from the home of an item. For example, a book from the lower level getting shelved with the upstairs collection. If you have questions, get with your supervisor.
Duplicate Scan
This means you have accidentally rescanned an item.
Missing
This means that the item was flagged as missing in the system. Bring it down and discharge it to mark it back into the collection.
Call Number Incorrect
The system will not buzz for this mistake. Instead, you will find that some items have call numbers that don't match what is in Sirsi. Bring it down and fill out a Health Check form so that we can get this fixed in the system.
10. As you scan, be sure to front and straighten the books as you go.
11. Once you have completed your shift in the stacks, place your sticker on the shelf by the last book inventoried for the next student to find. You will need to bring the sticker down from the person who worked before you.
12. Note the call number of the last book you scanned.
13. Go back to the Circulation Desk and note the place that you stopped in the location log and what time you came back down.
Helpful Hints about Inventory
If the inventory system stops working, double check and make sure the WiFi is still connected.
The scanner can sometimes mess up when scanning a barcode. This can lead to an error code popping up for no reason. Rescan to be sure.
