The TexShare program allows patrons of a participating library to check out material from another participating library. What that means is patrons of our library can get a card to check out books from a different library. This is really helpful for distance learners. However, it also means that we allow patrons from other libraries to check out books from us as well.
Creating a TexShare Card for Our Patrons
If a patron applies for a TexShare card at the desk, have them fill out the form which is located on the top shelf right next to each station's monitor. Make a photocopy of the application using the copier behind the Circulation wall, and SHRED the original. Then place the photocopied application in the TexShare bin. All digital applications will be printed out and placed in the bin by a supervisor.
Remember, we can only issue TexShare cards to OUR students, faculty, or staff!
Steps to Creating a TexShare Card
Please note: This is typically done by the ILL specialist but in the event the specialist is not available, you may need to create a Texshare card. To do so, do all of these steps in order.
During your desk shift, check the TexShare bin behind the Circ wall to see if any new applications are in the top tray.
2. Take the application and place a checked by sticker on it which are found in the folder behind the typewriter. Write the current date.
3. Take the application to Circ 1 or 2 and verify the person's information. Make sure to write down their ID number on the application. When it comes to the address, go with the one that they have on the application UNLESS it is missing information that is in Sirsi! (Sometimes things like street, drive, or apartment number will be left out of the form).
4. Sign you initials next to the "Computer Checked by" portion of the sticker.
5. Take a blank sheet of TexShare cards and feed them into the typewriter. (This can be difficult sometimes, especially towards the end of a partial sheet).
6. Type in the blanks of the TexShare card using the information from the application, skipping the "Authorized By" line. For the date, for students and staff put the end of the current semester, for faculty put August 31st of the current year.
7. CAREFULLY tear out the completed TexShare card (if you have a lot of applications, fill up the TexShare sheet first... makes it SOOOO much easier).
8. Grab an envelope from the box on the course reserve shelf and type the person's address onto the envelope.
9. Once completed, paperclip the TexShare card and the envelope to the application and place it back in the TexShare bin on the "To be checked" tray.
10. After a supervisor checks the card and the envelope for accuracy, they will place it on the "To be mailed" tray. If you see this, stuff the envelopes with the TexShare card, the green TexShare info card, the TexShare card program flyer and if the application says distance learner, the distance learner brochure. Then, place return address label on the top left hand corner and seal the envelope (there is some envelope glue in the drawer next to the typewriter). Once finished, place the filled envelope on the "to be mailed" tray and the application on the "TexShare to be Filed" tray.
11. Take the applications that need to be filed and grab the "Filed TexShare Cards" binder located a few shelves down from the stack maintenance binders.
12. Go to the current month and put a tally mark (in pencil) under each category for each date an application was received.
13. Finally, file the application in alphabetical order based on last name.
14. Please let a supervisor know when supplies start to run low.
That covers the many steps in creating a TexShare card for our patrons... but what happens if someone comes in with a TexShare card from an outside library? In this case, you will have them fill out a Patron Updating and Hand Check Form.
<- Fill out this portion for the patron by filling in the information from the TexShare card. Once this is done, get a copy of their Texshare card AND a photo ID for each applicant. We do not need to get a copy of their library card.

<- If they are checking out a book, fill in this portion. Remember, TexShare users can only have 5 items checked out at any given time.
Once the user completes the application, attach the photocopy you made and place it on a supervisor's desk. They will create a affiliate member card for that person to use. Once they are done, they'll place the card along with the application and a letter on the TexShare "To be mailed" tray for an envelope to be created.
