The library has a variety of services that we offer that require payment. However, since these services are available to everyone and not just students, they cannot be charged to a specific patron account. (NOTE: AS A STUDENT WORKER YOU WILL NEVER BILL A PERSON'S ACCOUNT) Therefore, we have set up accounts in Sirsi for our services so that we can keep track of these payments.
Below, you can see the different reasons why someone would be billed at the library. However, the ones you will see the most are Laminating and Faxing. This chart also shows the information you will need to bill that service in Sirsi. This chart has been taped next to both computers at the Circulation Desk to aid you in processing services correctly.
NOTE: It is very important to verify payment before performing a service. Make sure you visually see the payment or swipe their Texan Card to check their balance. Always make sure the service is complete before you bill the user. For example, if a patron is needing to fax, first complete the fax then bill the user.
Click on "Billing a User".
2. Load the account specific to the service your are performing by typing in the "User ID" field the name of that service. Again, the chart above found at both Circ1 and Circ2 will aid you in this.
For example, if a person is needing to send a fax, in the "User ID" field you would type "FAX". When finished, press enter.
If you typed everything correctly, after hitting enter, you should see the account information like below. (If this field is blank... go back and try again)
3. Select the "Reason for the bill".
The third column of the cheat sheet lists what you will put in this section. So in this example, we are sending a fax, so we would select FAX.
4. Choose a payment type.
This will depend on what service is being used. For Faxing and Laminating, we ONLY ACCEPT CASH OR TEXAN BUCKS. For everything else, we accept cash, Texan Bucks, or check. (Remember, in Sirsi, onecard=Texan card). Occasionally, we will receive a departmental transfer for laminating -- speak to your supervisor if this occurs.
PLEASE NOTE: Students will sometimes try to pay for a Fax using their printing dollars, thinking that this will work. It won't. ALWAYS swipe their Texan card to verify that there are Texan Bucks on their account before sending the Fax.
5. Type in the amount the patron owes.
We do this step last because if you accidentally hit enter at any time during this process, and the amount field has a total in it, the payment will process. This will make sure that everything is correct and prevents billing errors.
6. Click "Pay Now"
NOTE: NEVER HIT BILL USER. This does not process the payment, but instead saves it to the user's account to be paid later. No receipt will print and you will know that you have made a mistake. If this happens, let a supervisor know so they can void out the charge.
7. After the receipt finishes printing, give the customer the yellow copy and make any change.
8. On the white copy, write the library account number associated with the service (found on the receipt under User Name or in the cash drawer), the amount paid, and your initials.
9. Place the white receipt in the first slot in the cash drawer and the cash in the corresponding slots.
