Below is a complete list of the items we are now responsible for as well as the contents of each kit:
There are equipment check forms located in the wooden shelves next to both circulation computers, these are to be completed BEFORE checking out AND discharging. These forms are front and back, both sides are to be completed and then turned into the pink file folder on the door in the camera cabinet UNLESS something is damaged or missing.
As the form indicates, if the item appears damaged or is missing a piece then DO NOT checkout / discharge. You will need to place that form on the next available supervisors desk AND place a note on the camera in the cabinet that it is to not be checked out.
Below is an example of the Camera Check Form, you can use this attachment to print more copies as needed.
BEFORE CHECKING OUT, verify that all pieces are in the kit and check for any damages. There is a small, laminated inventory sheet included in each back that has details for the items that should be in the bags. Items that are often missed on check-in: SD cards, lens caps, batteries, cords. Once everything has been checked, checkout the item. IF anything is missing or damaged, DO NOT CHECKOUT and inform a supervisor.
When the item is returned, BEFORE DISCHARGING, verify that all pieces are in the kit and check for any damages. Items that are often missed on check-in: SD cards, lens caps, batteries, cords. Once everything has been checked, discharge the item. IF anything is missing or damaged, DO NOT DISCHARGE and inform a supervisor.
Once the item has been discharged, delete any pictures off of the device if needed.
If the device needs to be charged, plug it in to the new charging station next to the evening supervisor's office. Be sure to keep the entire kit with it, so we keep everything together. The item will need to be locked up at the end of the night.
All of these items are located in a lockable closet next to the evening supervisor's office. It is important that these items are locked up each night.
Each bag/container is labeled with a number that corresponds to its location in the cabinet. An inventory log on the inside door of the cabinet will let you know which item goes with which number. This log will also have a spot for you to mark any items missing upon checkout.
This cabinet is also color coordinated, there is a zip tie on each back that corresponds with a shelf that matches that color.
Cameras are not to be renewed and loan period is one week / seven days. They can be discharged and checked out again if there is not a hold on the camera, but they must be checked before returning them to the patron. If there is no hold then one equipment check form is appropriate in this instance.
When an item is placed on hold it will remain on hold for 3 business days (Monday, Tuesday, Wednesday, Thursday, and Friday).
If a patron places a hold before 3p, it will be available for pickup for that day, the next day, and one more after that. If a patron places a hold after 3p, it will be available for pickup on that day, the next day, the day after that, PLUS ONE MORE.
So, if a patron places a hold and receives their notification before 3p on Tuesday, it will be available for pickup Tuesday, Wednesday, and Thursday.
If a patron places a hold and receives their notification after 3p on Thursday, it will be available until the following Tuesday (Thursday evening, Friday all day, Monday all day, and Tuesday all day).
This DOES NOT mean they can't pick their holds up over the weekend, they certainly can. This just means that we won't remove the hold until the ILL specialist returns to remove it.
This is VERY IMPORTANT to know because the cameras can be placed on hold just like everything else, and they are used frequently. We cannot renew cameras, they are first come first serve so some patrons will continuously place them on hold for themselves throughout the semester.
