You are encouraged to work within the chain-of-command to resolve any problems and concerns as soon as they occur.
When a problem or concern cannot be satisfied within the chain-of-command, a more formal investigation and review may be appropriate. Please refer to Section 3.3 of NKY Health's Personnel Policies for details about formal complaints.

NKY Health uses two secure Human Resources Information Systems (HRISs) to manage your personal data.
ADP = System for Payroll, Taxes, Timecards. Our primary system. All employees will have an account in ADP.
KHRIS = System for Health-Related Benefits and access to MyPURPOSE for Full-Time Merit System Employees. Our secondary system. Only full-time merit system employees will have an account in KHRIS.
Anytime your personal information (phone number, address, marital status, beneficiaries, dependents) changes, please be sure to change it in ADP and provide any documentation requested to substantiate the change. For example:
An updated social security card for a legal name change.
A marriage certificate or a divorce decree for a change in marital status.
Proof of birth or adoption to add a dependent.
REMEMBER: In addition to updating your personal data in ADP, you must update each of your insurance plan(s) by adding or removing dependents and/or beneficiaries as changes are made needed.
NKY Health is "home" to its own contract and merit system employees, volunteers, and students. NKY Health also hosts staff from other agencies who work side-by-side with us to achieve common goals.

Pay Amounts
If you are a contract employee, your pay amount has either been determined by the funding source assigned according to the starting pay for a similar classified position in NKY Health's Compensation Plan.
If you are a merit system employee, your pay amount has been determined according to NKY Health's Compensation Plan.

Pay Raises
Any pay increases other than those obtained through completion of the Introductory Period or promotion to another position are budgeted annually and allocated according to the pay plan approved by the District Board of Health, usually at the June meeting.
Pay bands may also be adjusted to keep alignment with the market. These adjustments could result in changes to pay.
Pay Frequency
Employees are paid regular payroll every two (2) weeks via direct deposit, which usually hits the account on Friday but can hit sooner
Employees are reimbursed for expenses reported ???
Employees may receive one-time lump sum increases (similar to a bonus) via special payroll runs
Payroll and Taxes
Payroll for all employees is processed bi-weekly through ADP. Timecards are entered by employees and approved by supervisors.
All employees must log in to ADP in order to enter their timecards and to set up and maintain/change all of the following:
Personal Information (name, phone number, address)
Beneficiaries and Dependents
Federal (W-4) and State Tax Forms
Direct Deposit Accounts / Bank Accounts
W-2 forms and 1095-C forms are available electronically through ADP at the beginning of each calendar year.
NKY Health is required to withhold federal and state payroll taxes plus payroll taxes for the county and city where you are based. If you live in Indiana (IN) or Ohio (OH), we are authorized to withhold taxes for those states instead of Kentucky taxes.
You are responsible for paying local taxes (city, county, school district, etc.) for where you live if you reside outside of Kentucky (KY).

Requesting Time Off
Please check with their supervisor about procedures for requesting time off.
In addition to following your supervisor's instructions for requesting time off, please enter all time off requests on your timecard in ADP.
Time Off Tracking
ADP automatically calculates time off accruals and tracks balances.

Paid vs. Unpaid Leave Time
Paid leave time is available to merit system employees. Part-time employees are eligible for paid leave under certain circumstances. Full-time employees are eligible for leave in addition to the same leave as part-time employees receive.
Once paid leave has been exhausted, unpaid leave may be approved in certain circumstances. Refer to Section 3.3 of NKY Health's Personnel Policies for details about paid leave.
Unpaid leave is always approved when legally protected by laws such as the Family and Medical Leave Act (FMLA). In addition, a limited amount of Leave Without Pay (LWOP) may be granted under certain other circumstances. Refer to Section 5.13 and subsections of NKY Health's Personnel Policies for details about those circumstances, criteria, and the process for requesting the leave.
Employees may work with their supervisors to flex their time instead of using leave whenever possible.
NKY Health may close due to inclement weather. Please check the forecast and remain alert for announcements. You'll get an email to your fname.lname@nkyhealth account. And you can text the word CLOSURE (all caps) to 833.693.3992 to opt into text notifications if you like.
Refer to Section 3.7 and subsections of NKY Health's Personnel Policies for information about unforeseen closures due to inclement weather, facility problems, etc.
