Inviting Speakers to Your MBA Student Organization Events
MBA Student Organizations are welcome to invite guest speakers to enhance learning and engagement. Please follow the guidance below to ensure compliance with university policies and event planning best practices.
Invitation Process: Georgetown deans will not issue invitation letters for speakers attending MBA Student Organization events. Student leaders may submit a request to the MBA Program Office, but historically, we do not send official invitations. Club leaders should plan to extend invitations directly.
Press Coordination: If media will be present, MSB Communications and University Communications must be informed to coordinate.
Security: Georgetown University Police Department GUPD event security form should be submitted for all Georgetown Event Management System (GEMS) reservations (Lohrfink, for example) with standard criteria where one or more of the following will occur:
external speakers/presenters are involved;
public invited;
estimated attendance +200;
alcohol is served;
press invited.
They may decide that no security is needed but will assess your event plans based on the information provided via their form.

Prominent Speakers
- If you would like to invite prominent speakers to your event, contact GU Office of Protocol at guevents@georgetown.edu and the MSB Dean's Office at msbdean@georgetown.edu. Please keep the MBA Program Office (mbaprogramoffice@georgetown.edu) and your MBA club advisor cc'ed in all your communications.
- If you are unsure if your speaker is a prominent one, please contact the Office of Protocol and MSB Dean's office to check.
- Review this Checklist created by GU Office of Protocol to ensure you follow all necessary steps.
- If you wish to invite federal figures or government officials (e.g., Barack Obama), the Office of Protocol will ask you to contact the Federal Relations Office.

- Before inviting a prominent Georgetown alumnus, please contact msbalumni@georgetown.edu and the MSB Dean's Office at msbdean@georgetown.edu. Please keep the MBA Program Office (mbaprogramoffice@georgetown.edu) and your MBA club advisor cc'ed in all your communications.

Inviting Speakers with Sensitive or Polarizing Viewpoints:
In accordance with Georgetown University’s Speech and Expression Policy, we affirm: “It is not the proper role of a university to insulate individuals from ideas and opinions they find unwelcome, disagreeable, or even deeply offensive. Deliberation or debate may not be suppressed because the ideas put forth are thought by some or even by most members of the University community to be offensive, unwise, immoral, or ill conceived.”
MBA Student Organizations may invite speakers with sensitive or polarizing viewpoints, but are responsible for appropriate preparation and risk management. Careful planning protects the university’s commitment to free expression while ensuring a respectful event environment.
Inform the MBA Program Office in advance: Notify the office both before and after the speaker is invited and confirmed—at least one month in advance.
Preparedness: Be ready to explain and defend your speaker selection. Note that controversial speakers may lead to reduced attendance and limited funding.
Event Monitoring: A trained Speech & Expression Monitor (Georgetown Staff) is required, especially for keynote events. Only the monitor may authorize the removal of disruptive audience members. You must request this to the MBA Program Office at least 2 months in advance of your event.
Audience Engagement: Include audience Questions & Answers (Q&A) as part of the program to foster dialogue.

Costs: All event-related expenses—including security if required—must be covered by the hosting organization. No university funds will be available unless pre-approved.
Guest Speaker Parking Information
On-campus parking for guest speakers is available at the Southwest Garage for $5 hour or $25 daily (see here for visitor parking rates). Exceptions for parking at the Hariri Building Garage are made only for VIP guests or those requiring special accommodations. For more details, contact mbaprogramoffice@georgetown.edu.
Steps to Request Parking for Guest Speakers
MBA Club leaders submit a Payment Request
If the MBA Club decide to sponsor parking for the guest speaker, please complete a Payment Request via Hoya Connect (refer to the Payment Request Tutorial) at least 15 days prior to the event. The MBA Program Office will review the request and confirm availability. Min of 15 days in advance. Please note that the MBA Program Office can only provide stickers for daily pass, so every pass will be $25.
Pick Up the Parking Sticker
Once approved, the MBA Program Office will notify you to pick up the parking sticker from the MBA Program Office Front Desk.
Provide Parking Sticker to Guest
On the day of the event, give the parking sticker to the guest to ensure complimentary parking. Also, share instructions for accessing the Southwest Garage and details for the event location. If the venue is Hariri, provide the specific instructions on how to access Hariri.
Georgetown University Southwest Garage Parking Instructions
Parking Information:
Parking is available at Georgetown University's Southwest Garage. Please enter the campus through the Canal Road entrance, located approximately 200 feet past the Exxon Mobil gas station. You can use the following address for GPS: 3611 Canal Rd NW, Washington, DC 20007.
The Southwest Garage will be on your right as you drive up the hill. At the entrance, pull a ticket from the gate dispenser and park in any available spot.
Walking Directions to the McDonough School of Business (Hariri Building):
After parking, exit the garage through the "North" exit. Walk up the hill along the football field. The left side is steeper but quicker; the right side is less steep but slightly longer. It's about a 5-minute walk. The McDonough School of Business – Rafik B. Hariri Building is directly past the field.
Parking Payment:
Our MBA Club is sponsoring your parking, and we will provide you with a sticker for exiting the garage without payment. If you do not receive a sticker from us, you must pay by credit card at the exit gate or at the pay station on the garage's ground floor ($5 hour, or $25 day).
Arrival Instructions for Guests:
Finding the Rafik B. Hariri Building can be challenging for some guests. Parking on campus is limited, and we strongly recommend that visitors travel to campus by taxi or rideshare. DO NOT use the campus address, as it will navigate to the front gates across campus from the Hariri Buiding. Uber, Lyft, and Google Maps all recognize "McDonough School of Business Rafik B. Hariri Building" if you type the building name directly into the app. West Road by Cooper Field is currently closed for construction. Your driver will need to enter and exit campus via either Entrance 4 on Reservoir Road to get dropped off at the building, or Entrance 6 on Canal Rd. to access the SW guest parking garage.
For general guest parking on campus, you will need to pay to park in the Southwest Garage (check link for rates), which is accessed by entering campus via the Canal Road entrance off of M St. To get to the Hariri Building from the garage, exit the garage through the North exit and walk around the football field to the stone-faced building on the other side of the field.
