The View Manager controls which columns are displayed in the population grid. Views let you customize how data is displayed, making it easier to track the information most important to you.
Shared Views: System-defined or agency-shared views.
Custom Views: Views you create by adding, removing, or reordering columns.
Default View: The system view called Student List, showing key student status and assessment information.
A View controls which columns are displayed.
A Search controls which records (or rows) are displayed.
You can apply column filters after selecting a view.
Click the dropdown arrow in the upper-left corner of the Student grid.
Choose from:
Favorites: Views you’ve marked for quick access.
My Views: Custom views you’ve created.
Shared Views: System-defined or agency-shared views.
Selected views remain active until changed, even if you navigate away from the grid.
⚠️ Note: Shared views cannot be edited directly, but you can copy them, make changes, and save under a new name.
From the Student grid, open the dropdown and select Open View Manager.
In the View Manager window:
New: Start from scratch.
Copy: Duplicate an existing view and edit it.
Share: Make a view available to your entire agency.
Select View (left): Your saved and shared views.
Available Fields (middle): Fields you can add.
Selected Fields (right): Fields currently displayed.
Add: Select a field → click Add (or double-click).
Remove: Select a field → click Remove.
Multiple selection: Hold CTRL while selecting.
Reorder: Use Move Up and Move Down.
💡 You can also drag and drop columns directly in the grid to reorder them in your custom views.
Sort: Use Sort By to set default column order.
💡 Default sort is alphabetical by last name. You can also click column headers in the grid to sort ascending/descending
There are two ways to share a view:
At the Local Agency
A user in a local agency may share a custom view with all users in that agency only. A custom view is a view created by the user.
Sign into LACES and go to the area where you wish to share a view.
Go to the View Manager.
Select the custom view you wish to share.
Click the Share button.
A message will display alerting you that the view will be shared with all users in your agency.
Click Yes.
You will then see the button switch to Unshare.
Click the SAVE button.
The shared view will now display on the View list at the Shared Views category.
All users in the local agency will see the view on their View list at the Shared Views category.
A shared view may be set as the default, added to Favorites, or copied to create a new view.
At the SEA
An SEA user may share a custom view with all agencies in the client that are part of the SEA agency tree.
Sign into the LACES SEA and go to the area where you wish to share a view. (ONLY state users have access to the SEA.)
Go to the View Manager.
Select the custom view you wish to share.
Click the Share button.
A message will display alerting you that the view will be shared with all agencies and users in your state database.
Click Yes.
You will then see the button switch to Unshare.
Click the SAVE button.
The shared view will now display on the View list at the Shared Views category.
All users in the state LACES database will see the view on their View list at the Shared Views category.
A shared view may be set as the default, added to Favorites, or copied to create a new view.
There is no need for a view shared at the SEA to be shared again in an individual agency. A message will display at the top of the view manager alerting the state user that they have already shared the view.
At both the local and SEA, a view may be Unshared at the View Manager. Simply select the view and click the Unshare button.
A shared view set as the default, or added to Favorites by a local user will be removed if the originator of the shared view unshares it. The view will revert to the default view at that area.
Remember that a local user cannot remove a shared view, so only share views that are useful to other users.
To return to the system default, select Student List.
To set a custom view as your default:
Open View Manager.
Select your saved view.
Click Set as Default.
Your chosen default will load automatically whenever you access the grid.
