In LACES, the NRS Tables are generated from the FY Summaries rather than from the raw data in the student record. The FY Summary is basically a 'snapshot' of the data as of the time the FY Summary is generated. If the FY Summaries are not updated prior to generating the NRS Tables, the data on the tables may not reflect all of the data that has been entered in the student record.
The FY Summaries are automatically updated each night, but if you would like to review your NRS Tables the same day that data entry has been done, you can manually update the FY Summaries.
Manually Update FY Summaries
FY summaries can be manually created or updated for 3000 or fewer students at one time. If there are more than 3000 students, you will need to subset a selection of 3000 or fewer students, run FY summaries, and then repeat the process for the remaining students.
The default number of records set for your profile displays at the bottom right of the grid, or you can select Profile from the Person Profile menu to verify or change your default rows setting.
Go to the student area and select and subset the students who need FY summaries manually created or updated.
Click the down arrow on the More drop-down and select Create Fiscal Year Summaries
In the resulting window, the Fiscal Year will default to the current FY. Click Schedule. If your selection is more than 3000 students, the Schedule button will be grayed out and the following message will display: The Schedule button is only available when the selection of students is 3000 or less.
Once you click Schedule, you will receive the following message: Fiscal Year Summaries were scheduled. If your account has an email address, you will be notified by email when the summaries are generated.
Scheduled FY Summary updates are triggered every minute for each client.
Check your email. You will receive an email when the summaries are finished.
