Literacy Rollover to Update LACES to Current Fiscal Year

In LACES, each agency has a fiscal year setting which determines what information is included in some search results, calculated fields, and assessment fields.   The rollover to update the FY settings for an agency is not done automatically because most agencies want to finish any reporting for the previous fiscal year prior to rolling over the data to reflect the new fiscal year and agencies have a wide variety of reporting timelines.  

If your agency does NRS reporting or if you need to run the NRS reports, you will need to make sure to Create / Update FY Summaries for your agency before rolling over.  FY Summaries for the prior year cannot be created after the rollover.

When you are ready to rollover to the new fiscal year, please contact Tech Support.

The following in LACES is based on the FY Setting and will be updated to the new fiscal year during the rollover:

• Current Fiscal Year Search – this search returns students who are involved with your program in the fiscal year your agency is set to.

• Current FY Instruct Hours – displays the instructional hours for the fiscal year the agency is set to.

• Assessment fields – if your agency uses NRS approved assessments, the Subject Area, Entry Level and Current Level fields are based on assessments administered in the fiscal year your agency is set to.

• Dashboard - the dashboard widgets that are based on a fiscal year reflect the fiscal year your agency is set to.

Your agency can choose to update hours only without updating the assessment data, but we recommend that you only do this if you do not use NRS approved assessments that generate level info.

To Check Fiscal Year Settings for your Agency

• Click the Person Profile icon at the upper right of the LACES screen and select Agency Settings from the dropdown menu.

• In the Agency Settings screen, click the Details tab.

• The Details include both the CurrentFY and the FYStartDate.
