00:04 In this video we're going to be covering customers, adding, making an active and stuff like that. Interviewing mostly. Well. All right, so under my watch, logged in onto your modules tab and this site with every module turned on. So there's a lot. So we're going to wander modules, customer search. You can, if you just want to see everything, you can just click. The search is going to search everything. Um, if you want to filter down your list a little more applicable to anything that contains that criteria. Portland, so you can put in their name, put in their number, sorting on both as contained search under that. Um, if I want to go into my customer, I can select the row and go to a specific page or I can just click out of the customer number link here and open it up to the customer general page, uh, things that are going on here.
01:01 If your customer name, parent company for using that have to be a customer within blue streak to be a parent company, then you have your company name and listening, which was typically the same, uh, the customer type. It could be a customer or a prospect or a customer prospect doesn't stop you from doing anything in the system. It's just a way for you to label a customer. I'm doing sales calls and I want to see all my prospects, good way to use it versus an active customer. Um, then you can set industrial classes are default settings or industrial class one industrial class too. But you can add industrial classes. And this would be for reporting. I want to see sales by a, uh, industrial class if you want to use it. Then you have fields for a salesperson, sales estimator, account manager, which are all dropped down.
01:50 Users in your system, default terms for that customer standard or the default invoice type invoice data routine. Now this is all part of setup, but you can manage these things. And this is at the customer level. You can specify a different invoice report data routines. There's built in routines that you can specify quote report rather than a standard default. You can specify, um, certification type if you have multiple certification type, same deal, a shipper report, billing report, order, container report, order shipment container report, all of those reports we support having multiple reports in the system that can be defaulted at the customer level. If it's not said here, it gets the system default for it. There's an invoice delivery method field here. This works with our batch print email function that you can set up on a customer that when this customer using that function, batch print email invoices, you can default how the delivery method for this customer be.
02:56 And that segregates segregates between the printed and those accounts that do email them too. There's also a limited of liability contact. Um, this is part of our limited liability, but a function where you can have a limited liability in the system, the pdf or, but, and then you can email it to a contact. Um, in this case I didn't set it up, but once it's set up and you start doing this last date was sign, next date required, and then you know, you can view and control that there's default delivery days on our customer sites set for three. There's going up to the top of the screen active. If a customer is not active potent thing where this is, you cannot add or view any records for this customer because you made them inactive. So if you have a customer that goes out of business but you still have opened a invoices or payments or credits, you'll won't want to make them inactive until you satisfy those accounts because maybe whatever circumstance you want to make sure they're active so you can satisfy, satisfy the market records.
04:02 Ah, there's a checkbox for a non-disclosure agreement. That's all it is. There's a checkbox here also for on credit hold under a customer. Um, there's a checkbox email, customer contact, customer connect or opt out in was this customer. We have an automatic possibility of an automatic notification with customer connector, notify all my customer contacts with email addresses that we have customer connector available. This would allow you to opt it out on the customer level instead of the individual users is also a checkbox here. Show open orders with new shippers is function, works with the shipping. When you're adding a shipper, it shows you a open, a open order report that you're going to click add a shipper that you can see all the open orders if you need to, you know, if you're, I need to get everything for this customer on one truck that I have in house.
04:54 I don't want to call them in one of the five other orders that should be shipping with it as well. Others, a credit limit that you can set here on a customer. Now for altering the system setting on it doesn't do anything, but this can do a, um, with a system setting enabled. There's, you know, no tasks that doesn't test it. There's a warning at order entry and there's also a hard stop. So if you set the credit limit and you set the system settings, you can stay, you know, they're over their credit limit, can enter an order, there's field here for resale tax id if you need to store it. And then there's a field here, average days to pay, you know, by the system. Does customer pays average invoices in [inaudible] 27 days. Not the best, but you know, it's just like, ah, there's an export id field on this is if you're using this to do an integration with another system, say quickbooks and quickbooks has an export or an id for the customer that doesn't match something in blue streak, we can use this field to make that match happen.
05:51 Going down a page, there's nancy codes. They're all built in here. I mean just huge, huge list as nancy cold so you can set them on the customer. You know the customer, you have clients. You also didn't use labels under the new schools, but you can use labels if you want. Another way to segregate customers. There's a social media link under that social media link. You can set up their website, their facebook account, linkedin, twitter, youtube, Google plus account. You can link these up to the customer if you so do. And then why don't you set them up. The links appeal here. Appear here. Others are quick on his page, yet there's a quick added by a modified last modified under this. All right, so then let's get a move on. Let's keep this movement move over to addresses. You need to have set for a customer a primary billing and by clicking the radio buttons, Primary Shipping Address.
06:48 This is required to do an order I need one or the other because they have to be set on an order for an order to be allowed to be entered. So you, there's radio buttons between them. If you are emailing invoices out of the system under the billing address, there a field here for email. This would be the email address when you email an invoice that the system will pick up the send that to now have a single address here. You can do multiples to have to recall and separated colon space. And you know, um, I can't think of an email address right now if you get the drift, next email@hotmail.com, whatever it is to you, she wanted to send them to multiple. They need to be colon separated on this, on his billing address, customer billing address. So let's keep moving on this contacts in the system.
07:46 You can have as many contacts as you want, you manage your contacts, you can set a primary contact or to full contact and the system you can make them active and inactive. You can also see in this case, portal invites active portal user versus, you know, just active in the system because that portal is the customer connector. Um, so under contact, I don't need to go too much detail it this, but the edit you can set automatically sent a portal invite. That's something you have to add these columns boot for lending. You know, you can do salutations names, first name, last name required fields, security pin number doesn't do anything anymore. So it's inactive phone numbers, email addresses, fax numbers, there's email opt outs for campaigns and possibility of system. And there's also setting here for opting out that contact. There's this joy, that fax number, cell number and importance with the cell number.
08:42 If you get the carrier, if it's an 18, whatever cell phone number here, then that carrier, if you want to do a notification via text message, that's the field I need popular donor contact. There's titles, departments, droplets from the lists you know you control them. There's a field here, last contact date, next contact date, and then you can do sales status under these as well to a new prospect or whatever to list item, and then you have additional fields for just some basic notes. And once again there's a social media link under the contact. Close that out, also on the contact or you can labels. You can do notes to a contact, photos of a contact. You can assign tasks from a context. You know I need to do some customer service stuff I needed to contact. You could also email directly. I would email address have I want to e-mail that.
09:34 Contact email right from here, will open up a real basic email screen. That contact logged on, user reply to you, bill in a subject, the message, and you send an email directly out and then it also, when it does that, it saves a note under the customer of that email or the customer contact, so then we have contacts, purchase orders under a customer blanket purchase orders. These appeals you're going to use over and over and over again. You can add them, you know, just simply add here and you give them a defective date range. You know it's a Po number, the description, start date, the end date. Now I have mine defaulting for one day. You'd do whatever you want from the date of default. If it's a blanket default blanket po, that means it's used on every order. Unless you override it on a work order level, you set the default and this will populate at rapid, at ordered a date range has to be active still, you know if it's expired, it's not going to pop up.
10:33 And then there's an active button that allows you to pick it from. If it's inactive, either by date or by the check box, you cannot use it at order entry, add one, and then once you are at it, you can do a media underneath that. Then you have your parts page or the customer. This is where you store all your parts for that customer and what's, you know what's under that, depending on your site configuration, your part number description isn't all description, your alloy. The process I'm running into the control plan that is attached depart level of weight on this one has a different ship to the default. Set it at the part level. This part always ships to tr w. It has a purchase order. In this case, it's a blanket purchase order, so it's hooked up there through the Po field. Additional information, user notification.
11:22 This is a pop-up when an order entry when this view, this part number is selected and there's a certification statement field on this part gets to a work order unless overwritten by, um, a specification certification statement. This is a certification statement that'll populate a cert. And these are all a bunch of data default fields here. You know, all this information populated here populates at the work order level of rapid at when I picked this part. Whatever I've delineated here will populate into the system will cancel that. So of course as a filter to search contains search, it also gives you a drop menu of everything in that list. Once a part is that you have media links, bom links, Bill of material risk analysis. If you're using that module and there's a references like the importance of uh, references link, it will give me a quick list of active quote, date range and invoices attached to.
12:26 And I put a lot invoices into this one. This is multiple pages, big ordered parts and so on. Know if you want the history of part and not a lot of data here, but if you want to export it to excel there, you know there's an export button here as well. But part of the references were, was that part used good part information records, default operations, you know, preservative and certification here. What would the full operation is under a customer is the the rule works is if an order is entered for this customer and the process does not contained at the fault operation match, the system will add the costumer default operation to the process page of the work order highlighted in this kind of a pale green greenish color so that it's a reminder for the order entry. People are processing people that, hey, this customer always wants, in this case preservatives or always wants search, but it only populates through here if it is not on the work order process.
13:33 When you create the work order is the customer connector length. I will cover that in another video onto itself. I'm also under the customer. There's invoice history, quote history and open orders so you can from the customer, you can manage pretty much everything you need to do at this level. Other things that are here and this is not responding and this stuff. There it goes, so there's, you know, there's my invoice history for this customer status is approved, paid or not. All that other stuff. There's a quote, history link to all the quotes, you know, instead of doing a module, just here's all the quotes for that customer is open order which you customer open order report, others tasks here so you can do a task from a customer contact, you can do a cast from a customer, a reminder to do something so it's under the task manually sending last blessed page in a doing detailed coverage.
14:28 Here is we've moved a lot of the settings that used to be in a general page or the customer into new page called settings. This is where you can override the system default surcharges and we have search or energy surcharge. These work, the first two work together, which is a percentage at a minimum. Then there's another, they're going to hear straight percentage. There's a sales tax and there's a fixed surcharge, so there's this tax and surcharges for items ordering activity with history. Notification can be you don't edit it at the customer and you all things. You can also edit. Here are email subjects for quotes, invoices, certifications, you know, and so on and so forth. Down the list. There's different abilities here and you're like limited liability statement required, a new quote sign off in the number of days can be set here to customers.

These are all the notes associated with a customer and that's done with that just to review where they are and then there's media, the media underneath the customer and what it's attached to. And then if you want to view it from here, you absolutely can and then work it from there. So there's the link, we'll give you all the apart media appeal media and immediate attached under the customer part or po or you can add them from the individual items that she's just another way to get to them, you know. Then there's a search user guide. And the other thing about covering here for call this one is a customer and now you can do this module, customer and or from the customer page at customer. So I just want to start typing a name here and I'm going to. Shorthand is important thing to know when you put in a customer name, it copies it to the listening and it's looking for to avoid duplication. Anything that looks like that customer name on this case, I have the first name correct, the same, so it gives me that list doesn't stop you. It just gives me that. List them from adding a customer. You have to put in an address.
16:36 Here's, here's one, two, three, four, somewhere street, postal code, zip code, country code and providence so you can pick from the droplets here and these are all the United States or type in it's Canada and it's that sort of item there so we can manage the customer addresses regardless of what country you're in. There's sitting system settings for this stuff to allow some stuff here going on like phone number. We have a system setting to allow the US. Canada has, you know, three, three, four, 10 digit codes broken to brackets, candidate or not camp, excuse me. Australia has a totally different number and code system is a system setting to allow this to allow free form text here on their phone numbers and there's also email address. The importance of this is when you insert the customer and the Costumer, we require a billing and shipping address by doing it on the ad here, populating this shipping, this address here. The system is going to copy both billing and shipping address at one time and then you can fill out the rest from there. Feel fit, so that got close. I'm not going to see it by customer here, but it kind of closes out customer.
