New User Basics of Bluestreak
Video Text
[00:04] This will serve as an introduction to blue streak as each of you are added as a user to the site. You will be given a user name and password to answer to site. You would enter the url. In this case it is deb had Pradesh Blue Street. He would enter your username and password and log in button and you'll be logged in. Um, you log into the portal page. I'm, I, I'd like you to do when you log into the portal page is in the upper right corner there where your name shows. When you swing a mouse over it, you'll say user settings and like you to click on that, and that will open up your user settings or preference tab. The first tab starting left to right is the general tab. If writes user rights are enabled, you can edit your user preference information here, which is your full name, your title, your email address on, in a company cell phone with courier for use and notifications.
[01:10] To edit that gives me just hit the edit button, enter your password, and then a edit your information. And then okay, to save or cancel to revert back, uh, the next tab here is the password. Tap the Kinda. This allows you to edit your own password. You'd enter your current password, which is six character password, and then enter your new password and then reenter your new password. Um, by default the system requires six character passwords in. It cannot be any smaller than that, but we do have system settings that you can require a more complex passwords, special characters, caps, whatever you want there and expirations on them. But once again will not allow under a six character password. That is our internal setting for that was canceled. That the next tab is the appearance tab. This allows you as a user to change the appearance of your version.
[02:13] And then as you logged in as a user of, of Blue Street, um, I have a set for a window satisfying seven theme. Let's change it to a metro black theme just so you get an example of that. And then you can also change the font text size, which is a search grids to different points. I always set it to large because I'm kind of a blind guy. So let's change it back. Um, then once again, that would be to you as a user. I'm the next tab is the preference tab. This is our way of storing preferences of search search quicks, um, topics, ample inventory, search layout, and this is just a storing that, um, that preferences, you set it up. I will explain that, how to set those preferences later in another session. The next tab is notifications. This will allow you to manage notifications that are assigned to you at the system level, or let you add notifications for yourself. An example, here's a maintenance order notification that I was receiving an email email. I no longer want to receive that one. Just click the delete button. Okay? It. And that notification has gone to add a new one. Just click the add button. You picked a notification type, you know I'm top on equipment in and out of service. Um, give it a name.
[03:51] Um, if you want to put an expiration date on it, you can, um, and then you select the delivery method by email, by mail or by text messaging, and by inserting it it would save it. And then it would be a notification just for you that would fire off the event in this case, equipment in and anonymous service. Cancel that. Excuse me. The next link tab here is a links tab and these are personal preference link that will appear in a software. And this would be to you as logged on user is click the add button. Active date. You don't want to, I want this on for, you know, two weeks or maybe I don't. Maybe I just want active all the time. Um, give it a title and then you type in the address, some type of properly it would help. You have to type in the whole address and then, uh, you can give it a description
[05:16] and then I clicked on the box that you can test the url. And of course, because I didn't get the Url right, it gives me a dead page. So you have to get to the proper url in there, not going to save this and then inserted to save it. Just cancel this, I don't want to add it to the next tab is alerts. And this is us alerting you to the version or revision history of your system. Now I'm current version is seven slash 17 one. Um, the term available version is five one slash two. Now this is a development site for us. It's usually a head of our current releases, which is perfectly fine. Um, but then that's for the Blue Street version and then there's another version below that for customer connector for those customers that have that and it tells you what connection of version you're on and the most current available version and both versions are uptodate.
[06:19] So let's look to exit out of. Just hit the done button and it'll take you back to the portal page. Um, to the right of your name is the log out button is it's log. I log out. I'm next to that is if enabled, and this is under system settings, we enable this, um, we have an emergency link tab which think of this as a way to present documents to your employees at one link, you know, in this case, to excuse a little bit of sarcasm here, but you know, my emergency contact info is on the sky is falling, I think of this way, is to put up a company directory. Um, and we're using Google docs as in our example here, so we can share this and allow this to be open for many machine. Um, don't. That's just what that's there for. A next to that moving left to right to left is a help request link.
[07:25] And this is direct communication to us. It flew street, um, by the log on user. We picked a center, um, then you can put it into the request. Type on I'm looking for features and short message. You need to do this, you know, some description here. Um, and then when you hit the send button, it will send off a notification to us and enter it as a concern on our version of a blue streak that we use to manage our couch so that we can assign and address these in a timely and professional manner so that we don't need to send one next to that is a feedback link of this feedback is meant to be, think of it as a suggestion box. Um, you know, feedback, Dah, Dah messaging is quite clear. It's important in anonymous. We do not track the center of these things and we will not track the center of these things.
[08:27] It is meant to be anonymous. Um, so your employees can enter these feedbacks, you know, maybe it's as a, Hey, I've got a suggestion on a process and I'm a little hesitant to tell you, tell you up phase or maybe as simple as, you know, can we change from Pepsi to coke in the, in the vending machine. They put it in a subject and a message, send it off. And then, um, with the, with the administration rights to feedback in system, you would able to view these, these are not for blue streak, these are for your company as canceled. That Solos literals tabs. We'll start on the left side here and we'll cover modules. The modules are going to be the major per may, just modules you purchase us, so they'd all would put whatever you have here would show rights controlled. So I ministrative rates on the system, so I have rights and anything.
[09:24] Everything in the system and all the modules are turned on in this particular site. Sorry. Um, you know, batches for payments, Bill of ladings kappa certifications, concerns, credit memos, customers, a customer connector, if you have that. I deliver inventory, appeals system invoices, maintenance orders, a nonconformance payments once, skin production, a gms documents is not active. Quotes, scheduling module and the work order. And there's a search and add in all cases except production pathway. Then it's just an open button. Um, we'll go through how to work them later in another session. Next to that is the rapid ad tab. This is where you add your major documents, invoices, maintenance orders, maintenance, request a quality shippers, work orders, and work order medias. I'm next to that is reports. Now we'll give you a little more definition of reports. We have all the different report menus that are available on your site.
[10:26] I'm just going to click on the all reports. My example here is give you a feel. Um, but let's say I want to, uh, I want to age trial balance report. I don't want to fish through menus to find it. I just click on the star turning this car next to the age trial balance report name. When that flat screen it now becomes available in my favorite report so you can look at a short list of reports that you work with on a regular basis instead of hunting through the system. To find them, just use the favorites tab, find the report, Hey, I liked that one. Look at as one of your favorites, and then save yourself some time and just go into the favorites of your reports. I'm next to that is the setup tab. Now we'll cover setup tab and in additional videos going forward, but you have to communication tools, financial tools, lists, media manager, a production quality, a risk assessment, which is a new module, or coming out with a security system, data tools and inventory.
[11:42] Um, we'll go through these tabs in a, in another session. Then next to that is the link tabs. Now this tab does not become visible until you enable links. Now in our example, we have a company link, so there's a system setting to set up company links versus personal links. So this is company wide. These are links that the administrator and your systems. Yeah, I want everybody to have access to these, um, and these become available. Then just click test, go last tab here. Going across the top is the about tab. This was about a little bit about us, you know, through consulting or address or add eight number or info email address, um, application version. This is where a little more of the important stuff here. This is the application you're running at this time, the database version, telerx reporting, telerx, spurgeon, Keller report version and customer connector version. And then licensing is below that, and then user guide to cover a couple of meets in a second here. I'm under next to the application version. You'll see a revision history. If you just click on that, you can see all of our revision history notes
[13:02] in this. Sorry, slow Internet connection this morning. So this will give you a ability to view all of our revision histories of the current revision history is always blank. Um, but the latest production releases six slash 11. And then, um, you know, if you want to see it click, I click on the links and it'll open up the most, most current or that revision history. Go, wait a second. There we go. Um, it does read kind of a little cryptic, but it, you know, it just tells you what our guys have been working on. We don't hide them. Um, it's just a link to the stay. We, we, this, we tweaked it was a bug fixes, new feature, fad and items like that. You know, as you go through your list, you can see there's quite an extensive list. You are going back to 2012 year when when you said you just fold written documents, um, but you prefer, feel free to scroll through and see the revision history, what we've been up to a under licensing. This is the licensing that are enabled on your site and if ever we enable a new licensing, I would, I would tell you to come to your site, I wouldn't tell you to come here, you know, about licensing and then get licensing and that would enable the licensing on your site. Um, go from there. Last thing on this page is the user guide. We have an online user guide.
[14:50] It's got a little slow opening because my internet connection, but it's a, it's a document of um, a high level document of how tos within blue streak each broken the categories, customers quotes, work orders, rapid ad work orders, Kappas, just some very brief descriptions on how to feel free read through. If you want to print it out or view it online, it's entirely up to you what that document is always available. Um, okay, back to the left side. Here. We have a search menu now this is, this is a quick search menu and I'm searching all. There's a bunch of categories, you know, I want to search customers or contacts or parts or operations work orders and we'll just, you know, pick it a little simpler. So, but I want to search and I know you know, the guy's name is Jimmy. Well My, I just type in the J I m, m and as, as I type it filters so it filters down so as your database gets built out, you may have to get more specific in your search all's or breakdown for category and it's going to search and find by what you've typed in.
[16:05] And if you want a quarter of the item you can click on a contact or use the flyout menu. And I'm going to end. This is a customer context, so it's going to take me into the customer page, the general page, the address to contact page, um, it a little quicker way to open instead of opening to a general page and then looking to a contact page. I'm just a little quick how tos, I'm below that is the recent items list. Now, recent items are items that you have logged on. User has recently touched two major elements, you know, in this case, invoices, quotes, uh, certifications you, you know, I was working on a part and operation and this list is showing that the last 25 items you recently touched and if you want to see more of them, just click on the more button and then you'll get a list of the last hundred items you touched.
[16:58] And everything is a link. So if I want to go to the hyperlink, so if I want to go to this invoice from here, I would just click on it and go in, click done on that. Um, but if you want to look at this invoice, you know, in my example here, it's always seems to be a little quicker. If you go to the fly out menu, you get every page of the item, the general page of detailed. I just want to quit prentice invoice. I want to email. This can save self couple steps by using the recent types. Oh, I forgot to email. That will go in, use the flower manual email and then it'll direct you to do the email messaging system. Okay. Below that is our car quick create section. Now it's defaulting to the first one on the list, which is a customer address.
[17:44] There's also a customer contact, customer note, customer, Po Order, Pre promise date. Click on that, get the order number, type it in and it takes you to that page. But there's also a pre order entry order for um, promising work so you can sway to do a work order that's not there yet. You have very cryptic information about a quick way to enter the order, um, and they have a reminder for the order entry people when it's, when they call to answer in order for this customer, that disorders is there. If you're interested in that feature, you know, let us know and I'll show you how to set that up. Um, and below that is a recycle bin. And the recycle band is system wide. So this is, you know, whatever was deleted out of your system. Now there is a couple of rules here with what we're storing, major documents that are just pleaded here, maintenance orders, work orders, concerns, Kappas, nonconformances and media.
[18:49] Uh, the exception with media is only media. That is a specification. Media is being stored here and then you can later be permanently deleted, but there's a special role to allow for that. You've had some people removing media, some issues with that. Um, yeah, they deleted two media off the SPEC but they weren't supposed to and it was gone. So now it's media Spec or I'm sorry, specification media is now being stored and recycle bin and administrator will have to go into manage it. Um, one other item to mention on this page and you'll start seeing more of these little question marks a popping up on pages and they're just little informational tabs about the page you're working on. This represents items that have been deleted to the. That's it up a little quick how to, what it's about, what you're doing. So that's what these little question marks and you'll see us adding more and more of them as time goes on.
[19:56] So that covers the basics. I'm sorry. She does not. Do we have the center of the page? When you log into blue streak, the page you log into is, is it'd be the, what we call the email or portal page, which is displaying at your I mail I mail is one part of our notification system. I is internal mail. It's very, very simplified email except it's only available on the software, on your version of blue streak when we see guaranteed delivery on imls and you can verify this stuff. Um, so if I open this email by clicking on the envelope and this item is an inventory pl, so I have a link to it, just click the link, it'll open the inventory. But under this it'll have a show status in here. You Click that, you can see who the item was sent to, if it was open, if it was and what data is open and if it was deleted or if it was not opened and deleted, you know, that'll show that there. So in this case, you know, I opened it on the 17th of June and todd deleted it without opening it, so I know he did read it. Um, this is how you could use this for your own employees to say, Hey, I sent you this email message about this. I know you got it because you went in and deleted it out of this, you know, deleted it off your, your availability. I'm also under the IML. There is a sent box
[21:35] so you can see what has been, what's in your inbox and also what has you have sent out to other people. Switch that back over. Um, next to the IML tab is the calendar Tab. Now this is just an internal calendar to the software that you can use for,
[21:56] logging personal events, events you need to address or reminders for yourself. It is not linked to I'm a Google mail or I'll look male or an outlook calendar and not locked to that at all. It just internal to the software. Next Tab across its tasks. Tasks are fairly new feature to the system. Tasks can be assigned from a maintenance order, a concern, a nonconformance, a kappa, a reminder tool. I'm a, I'm in charge of this kappa, but I'm tasking. I'm Bob to do something so I can assign that from the task menu of the kappa. Bob will get a task here and also an email reminder that needs to do it. And then you open the task manager, the task from here and then complete it out. Um, last tab here going across, left to right is the dashboard dashboard is a item for each site, a meant for simple Kpis, key performance indicators for your company so that you know, you have measurements of success in your business, how you're doing and, and whatnot. And then we can design these things in a context about us and we can divide sign in a report that will give you a graft. I'm an example of a, you know, one of your, your, your important kpis. So that covers the session for today. And I want to thank you for your time and I have a good day.
