00:05 This video will serve to be a brief overview of batches, so under the module Taub and the brightness control, of course you have to have rights to see these things. You will have links to bachelors because this is financial payments. I'm under modules, there's patches, there's a search and ad. So let's first do an ad here. We're going to add a batch and there's one of two ways are the two ways to add bachelor's. Um, there's one from here which is through the batch is manual, still just going to call this test, that test batch and then it's the same sources as payments to status. And I was available and then batch is the theory of I've received a group of payments and I want to apply them in a batch mentality payment batch. So I'm going to have transaction five, five payments in the total transaction value of $1,250 we'll say. And then it has a batch date in there. Just simply save it from here. Same thing as we're doing from the batch, had name, transaction control, transaction control total, and add it, so back off of that, back to batches. So now it'll be bad at the batch. We can go back and search to match. Now I'm searching everything for the last five years. I mean, you're not gonna want to do that, but here's my badge I've just added on to look at it as a click on a hyperlink. And there's only one page to where batch to batch name payments. Um, then there's a transaction amount, number of payments in this case, and the transaction total batch total, which is the total amount of all those checks. Um, payment is one way to do that. You will have, you know, batches, billing campus, but you also have a payment search ad. We're just going to search your payments here. Start with, um, I'm looking for a customer name for the last try. I don't know if I've done anything that's open that up a little further.

04:15 Um, so I'm searching these and then I'm searching all receivable types here. This is credit memos and payments. So credit and a payment. They're both payment types, but in this case we want to focus on cash receipt versus a credit will cover credits from another video. Um, so I see I can have this payment type. It's document number 49 for my customer, Portland and if I want to view it, I can just draw on, click right on a hyperlink there and open up that payment to the payment page one, page two, a payment and it's showing me the activity of this particular item, so that's how you would view or search a payment until it closes and got back out of receivable, search and then go modules, payment add when to add a payment. Picked my customer, I got the check from her, my hand and the first thing is going to happen with this. If there is open payments or open credits, I'm like, I see for this customer I have four open payments, I want to view them. I can just click on the view button here
05:38 and there they are, there's payment 50 that's open for that amount payment, [inaudible] payment, 37 payment, 43, all open for those amount. And then I also have open credit credit memo number nine for $25. It's open as well. If I wanted to work with either one of them, I could just click on the hyperlink. I'm also under the payment. You can associate it to a batch. So I added a batch earlier in another video. I'm batch tests payments, so I want to associate it to a batch. This payment, I could edit the batch right from here, but. So you associated the batch effects your paradigm and then the amount of the payment, check them out. A reference number can be the check id is not required. You can put in a check date, um, if you so wish to. Um, and it also has a apply date teacher going to be applying this and be very careful with dates on payments because if we get a date that's out of fiscal calendars, you know, you put this in it, 20, 27 is an example.
06:50 It would be outside of your fiscal calendar and you will not be able to reach her open that payment because it's not in a fiscal calendar. And we don't have a way to search for it easily in the system, so be very careful if you're changing dates in here. I always had just do you know, you're applying the cash when you're applying a cash. Don't need to feel free. You need to work to payments, uh, by dates, but if you do, just be careful with him. Um, so I'm going to put in a reference there. There's my check number, you know, wanna reference the check, they'd absolutely, I apply heavy a pantomime out here, [inaudible]. I get a list of all open orders. I'm all open invoices for this customer and there's quite a few of them. So if I just want to apply the full amount and I can scroll through the list, um, you know, if I want to filter to a specific item, I can filter it down and there's that item if that's the way they pay by invoice number and you want to filter to it. And because of your long list into that.
08:09 So let's, um, let's continue with that one. I'm Jeff. I want to look at the invoice number. Everything underlined as a hyperlink that would take me to the invoice. If I just want apply the full amount of this payment to this invoice, I can just do an auto select and it'll apply the full amount of the payment to the invoice and until it's satisfied. In other words, there's the invoice amount was one 60, 2:50 now that have applied it invoice balance to zero supplied mountain was one 60 to 50,
08:51 so that will remain an open payment. And then Claire, my shelter here and then I took my filter out. Now I can see that it's still applied to this invoice or invoices there. Um, but let's say I just want to apply the rest of it here in a full apply which is an auto select. And then when it applies that Ron's transactions, now I still have an open amount [inaudible] that didn't satisfy that entire invoice or satisfied invoice, but the payment was not satisfied or exhausted. So now I select another invoice and I can see that, you know, I have a remaining balance and our applied that much. They're, my remaining amount is zero. So I can apply no more to against payments are. Another thing you cannot do here is once you apply a payment to an invoice and you cannot change down the payment amount two below the apply to mount.
10:06 If you made it, if you made an error and entering, hey, that should have been a lesser amount. What you need to do is unselect one of the invoices to open up cash resources and then you can change it. The payment model if you made that typographical error and then when you apply it is going to apply that with the proper math. So just a heads up on that. All right, so if I want to continue to add payments, I would just do my next payment. I'm going to do this again for Portland in my example here. And because I was working with inside of a batch, I selected a batch of my first payment. As long as I keep my payment window open, my batch will stay associated. So Portland again, I'm going to do another check for them. I can put another reference and room the dual data to remember for my check date from earlier. Now I can come in and show you a little different way to apply in a payment here. Now I could do auto apply payment plies, oldest to newest until the payment amount is zero on select that or clear payment would've done the same thing. Another way to work a payment here is to go under the edit of the item.
11:31 You can do the apply date as to, I mean just way you can do it right off your. So let's say I want to write off $10. If there's a discount amount available, and this is by payment terms, this is comes in. You can do a discount mount and you manually do it as well, but it's going to bark at you so it's not going allow that unless the discount is a payment term and then you can apply manually apply. If you don't want to apply the full amount of. Let's say you want to do a partial apply and then you can apply that and you can see it's applied there, but it also has a right off amount. Remember we wrote off that amount here and that will be available under reports, so mathematic, otherwise it's doing what it's supposed to do. And then um, so you can do that there. So I'm just apply the rest of this, exhaust that payment and we're done any payments, so that's how payments can be added and you just, as long as you keep adding, you're fine. Here, you will keep your bachelor association if that's what you're doing.
12:47 Um, but let's say in this month I'm going to do this one, but I want to go back to an old payment. I can just click the hyperlink here and this one's physical. A fiscal calendar is locked on this particular item, but it still allows for you to do on apply. But once you apply amount, you'll notice that the checkboxes are grayed out. That means if you're applying a lot fiscal calendar, you can apply, but once you do the apply, you're done. It does not allow any editing at all because these are fiscal calendar, fiscal information.
