Trusted Screening Service has been integrated as an enhancement through DAXKO Operations, and has replaced RAPTOR as our primary mechanism of screening against potential RSO matches effective March 1st, 2024.
There are two types of searches when using the Trusted Screening screening tool:
Single Search Options
A real time, automated scan conducted at the moment a new user is added to the DAXKO database.
Manually, within DAXKO operations - no additional username/password is needed! This options is ideal for faciltiy access points of entry for non-programs.
Batch Search Options
Nationwide Reciprocity- Using an API, batch screens of all ACTIVE members will be done nightly through NWR to ensure we have not missed any potential offenders during our single searches
Monthly Database Scans- In addition to real-time scans for new joins, Daxko's Trusted Screening solution conducts automated monthly batch screenings of your entire membership database. This includes both active and inactive members, providing a comprehensive and ongoing evaluation of potential risks.
Manually, within DAXKO Operations- no additional username/password is needed! This option is ideal for large groups/rentals.
Reviewing the Results
Trusted Screening Service automatically pulls all registered sex offenders from all fifty states, not just your home state.
The results will include the following information: height, weight, hair and eye color, date of birth, and 90% of the time, it will pull a photo of the potential match. *At times, only the birth YEAR will be provided; this is due to different requirements across the different states.
Results will be flagged as a "non-match" or "potential match," or "match."
Bonus Notifications
Upon request, staff members can opt in to receive real-time email or SMS notifications when a potential match scans into the building, and/or a nightly summary email containing the # of potential matches that have entered that day. A staff member may request to receive any of these for their home location, or multiple locations.
DAXKO Process for using Trusted Screening Service
All screenings will be completed automatically upon a new user being added to the DAXKO database.
Any potential matches will show up for you to review if they match the person attempting to enroll or enter as a guest; the Manager on Duty should review and confirm match/non-match at that time and will need to clear the member if indicated.
If no match is found, please move forward with the membership or guest process.
IMPORTANT! RSO Manager Permissions are needed to be able to clear a member; the Manager on Duty should have these privileges. To obtain, please watch the 15-minute self-paced video and release notes (available at the top of this page), and submit your request through the DAXKO User Request Form.
All online joins will be scanned automatically, and should be confirmed prior to providing new members with a membership card.
As a part of our SOP, each location should be reviewing the RSO Report daily and taking appropriate action as needed.

What to Do If Your New Visitor Is A Potential Match???
For Non- RSO Managers:
If an individual is identified as a potential match during the initial enrollment scan or a follow-up visit, you will see an alert indicating that access is denied. At this time, notify your Executive Director/ MOD immediately.
For Designated RSO Managers:
The Executive Director or Manager on Duty will review to confirm if it is a match; if no, they will select "not a match" within the RSO Review screen, and all is well.
If there is not enough information to confirm, the Executive Director/ Membership Director/ MOD will communicate with the individual directly to let them know we need to deny them access at this time, and ask for additional clarifying information from that individual to help make that decision.
If the match is able to be confirmed in the moment, the Executive Director/ Membership Director/ MOD will mark the account as a match, and communicate with the individual directly to let them know we need to deny them access at this time due to an abundance of matching information in the offender registry. If they feel this is incorrect, and they are not listed in the current registry, please refer them to Elissa James for further verification.
Protocol for when a match is found after they visit or enroll but not caught at the time:
For current members, please contact the matched member with the following script after ensuring that there is only one record in DAXKO for this member and merging when necessary:
"Good afternoon/morning. My name is ___________ and I'm calling from the YMCA of Central Ohio. I'm calling today because we regularly run our membership software against the national sex offender registry, and in doing so, there is a match with your (insert the proper ones: Name, address, DOB.) For it to come up a match, the registry would have to match two of our existing information fields or photos. Because of this match, we are going to have to terminate your membership with the YMCA of Central Ohio. If you are currently on a membership with other adults or children, I would be happy to change your membership to a different type of membership. If you believe that this is a false match or if you are no longer a registered offender, I can have someone else contact you to get this matter taken care of. In the meantime, though, you will not have access to the YMCA as a guest or member. You will not be able to reapply for a membership with the Y or visit as a guest as long as you appear on the offender registry."
Please then also make note of this conversation in DAXKO on their account
Please also make the appropriate changes to their membership as they would like it to be changed. Once they are removed from the membership, only put the alert under their individual file, and not the family so that they may still enter (If that is the case).
IMPORTANT! Due to this new functionality, we will now be sunsetting the Active Membership Category names "RSO," within the Metropolitan Branch. All current matches will be manually confirmed and receive the "match" flag, and have their membership terminated. As such, there is no need to sell an RSO Membership to any confirmed matches effective March 1st, 2024.
