Policy:
The YMCA of Central Ohio requires a background check for each employee and high-access volunteer at the following intervals:
1. Upon hire or rehire - Any gap in employment with the YMCA of Central Ohio will require a new background check.
2. Return from seasonal absence or furlough; and
3. Once every two years or more frequently if licensing, local, state, or federal law requires.
Procedure:
The YMCA of Central Ohio operates a background screening program to preserve the safety and security of employees, clients, and members of the public and ensure a high-quality workforce. Fingerprint results will be uploaded to the applicant/employee's Employee Documents in UKG. This document outlines the steps YMCA of Central Ohio employees must take to facilitate criminal background checks or fingerprinting.
YMCA Employee Background Checks:
The YMCA will have two different background check processes. Most of our staff utilize name and social security number-based background checks. Those that will still fall under fingerprint background check include:
Childcare Staff
Head Start Staff
Day Camp Counselors
Community Strengthening Team Members

Initiating Background Checks in UKG Ready

Procedure:
1. Initiate a New Background Check
1.1. Access UKG Ready
- Locate and click the Three lines icon in the upper left-hand corner of the UKG Ready dashboard.
1.2. Navigate to Job Requisitions
- Click on Team.
- Select Recruitment.
- Click on Job Requisitions to access the list of current job openings.
1.3. View Specific Job Requisition
- Identify the relevant job requisition and click on the View Job Requisition icon to open its details.
1.4. Access Applications
- Navigate to the Applications tab within the job requisition overview.
1.5. Select Job Application
- Locate the applicant's name and click on View Job Application to open the application specifics.
1.6. Initiate Background Screening
- In the Background Screen section, check the checkbox to select the candidate for screening.
- Click the Initiate Background Screen button to proceed.
1.7. Confirm Initiation
- On the pop-up confirmation window, click Send to initiate the background screening process.
1.8. Candidate Notification
- The candidate will automatically receive an invitation email from HireRight, prompting them to log in to the HireRight Applicant Center and complete the necessary background check forms.
Note: The background check order is officially created only after the candidate submits the required forms.
Background Check Completed
2.0 The Hiring Manager and Peopleandculturesupport@ymcacolumbus.org will receive an email notifying them the background check is ready for review
2.1 The Hiring Manager will receive an email from People and Culture Team letting them know:
Background check is satisfactory and applicant is eligible for employment
OR
Background check is unsatisfactory and applicant is ineligible for employment

To preserve the safety and security of employees, clients, and members of the public, as well as ensure a high-quality workforce, the YMCA of Central Ohio operates a background screening program.
