Standard Operating Procedure (SOP)
Subject: Rehire Process for Former Employees
Purpose:
To outline the procedure for confirming eligibility for rehire and the steps to process a former employee’s return to employment at the YMCA of Central Ohio.
Procedure:
1. Eligibility Confirmation:
Prior to extending an offer, Hiring Managers must consult with the former employee’s previous supervisor or the People & Culture department to confirm eligibility for rehire.
2. Application Requirement:
All returning staff are required to apply for open positions. They can access available roles by logging into UKG and navigating to My Info > My Career > Search For Jobs and then click Apply For Job to apply.
3. Interview Process:
Upon confirming eligibility, Hiring Managers are responsible for conducting an interview. Following the interview, a request for a Background Check must be submitted, and the Checkster process should be initiated.
4. Rehire Criteria:
If the individual is being rehired within six months of their last day worked, they are exempt from completing a new Checkster.
5. Background Check and Rehire Action:
Once a clear Background Check or Fingerprint result and a completed Checkster report are obtained, Hiring Managers should navigate to My Team > HR > HR Actions and submit the Rehire a Former Employee HR Action.
6. Rehire Checklist:
Upon approval, the rehire will trigger a Preboarding Checklist, which includes a new I-9. Once completed a Rehire Checklist will be assigned to update W-4 information, banking details, etc. Note that returning staff rehired within six months are exempt from completing a new Checkster, provided there is a completed Checkster for their last position. All returning staff are exempt from completing NEO again.
7. Background Check Intervals:
The YMCA of Central Ohio mandates a background check for employees and high-access volunteers at the following points:
- Upon hire or rehire
- Upon return from a seasonal absence or furlough exceeding six months
- Every five years, or as required by local, state, or federal law.
