[Music] hey guys christy here from distilled life and welcome back to the dl channel today's video is going to be one of my favorites because we are going through the beginner guide to click up here to silva life we are big fans of getting your business organized two of our favorite tools to do that are honeybook and click up our crm and project management tool i have a whole video going through the difference between the two so if you're still stuck on that head over to that link but when it comes to choosing the right project management tool people always ask me why click up why not other tools like asana or monday.com and to that we say everyone is different everyone has different styles different ways their brain works and it can take a little bit of trial and error to find out which project management tool is right for you and your business but with that being said we do believe clickup has the most features of all of the project management tools on the market and that's why we want to show you through some of them we also think it helps business owners streamline and organize the most messy side of their business and take their information to visually see it however they need to there are four different ways i want to show you today that you can utilize click up to organize some of the most messy parts of your business starting with project management so click up is a project management tool which means it's amazing for managing your projects but i want to show you a couple different ways that click up can actually help you do this so i actually pulled up these templates from click ups template center which i'll get into later in this video and just want to show you around just showing you visually how this looks so here we have a more in-depth project management template so we have different phases a bunch of different tasks for each phase and you'll see that they're grouped by the review category so you'll see everything can be tracked here we have dependencies that this is blocking another task you can track your budget spend budget remaining so many different things and this is just one example of a project management template so just giving you a snapshot of this but i don't want to overwhelm you you can also if your business is not this complex where you need to be having dependencies and budgets and different things like that you can have it as simple as this simple project management list where you have different statuses to do in progress complete and then just simple tasks who is it assigned to what is the due date is there a priority different things like that so those are just two examples of how to use click up for project management not only do you have to manage all of your projects but also what happens when it comes to managing the nitty gritty tasks within your business things like checking emails following up with leads posting on social media you want to make sure you're also managing all of those aspects of your business as well good news is click up is great for this now let's go through task management and click up so this is if you just have a million tasks that you have to do whether personal or in your business that you can manage and click up and they don't have to be related to a specific project so for example here's a recurring business task template i created in my membership and you'll see there are just things that are reminders like morning email and slack check-in check in on my facebook community voxer client and business work weekly tasks maybe bookkeeping on board new clients ceo work respond to my leads and my inquiries and so you'll see where i'm assigned to these and then have recurring due dates which is great because then this is going to pop up in my calendar saying okay christy here are all the things that you have to do today tomorrow this week this month etc so this is just basic task management that is pertaining to my business and then if you don't have this many moving parts you can even do something as simple as a standard checklist this is just going to be better than putting everything on pen and paper because it's going to remind you when you open up your click up every day that you have to do these specific things that you set for yourself so for example check emails create social media posts client work weekly bookkeeping as soon as these things are done you just check them off and they're done if you have other things to add to the list you can just create new tasks and then do that whatever that task is so that is a very simple way to manage your tasks there are so many other ways that you can do it but just showing you the basics of task management and click up when it comes to organizing your projects organizing your tasks it all boils down to one thing what we all really want is to maximize our time so i want to show you how i use click up for time management and productivity now let's talk time management one of my favorite topics to talk about so obviously click up is really great for project management task management but all this boils down to us wanting to maximize our productivity and the time in our day so this is actually my daily time block template which i will link in the description below and this is just a really great way that i break down my day-to-day between morning afternoon and evening assign the time of day i'm going to do those tasks and then the time block these are custom fields which we will get into later on in future videos but just to show you the different things that you can put on your click up and in your project management tool to really customize it and make it your own so i manage my time by using my daily time block and i will also track my time within a click up because they have their own native time tracker so how do you do that if you click inside a task you're going to have all these different things you could do within it write descriptions manage custom fields subtasks comments all of those things but pay attention right here we have time tracked so if i start this timer i'm now going to be able to time exactly how long this specific task is going to take me this is really great for evaluating your time and then deciding you know what's the breakdown or even for your clients as well if you time track for your business this is a really great way to keep everything organized and where it belongs so that is time management and time tracking with click up let's move on to the last feature i want to show you today and when it comes to growing and scaling your business having good team communication is key let me show you a few different ways you can do this within click up so here you see we have the standard checklist that i just went through but instead i added a new task for my team member jefferson so here i want him to onboard a new client when he clicks into this task i can then give him every single thing that he needs to complete this task a video recording so this is loom a software that i use to do screen recordings but click up also has a native screen recording software as well so if you click into it's not gonna let me right now but if you click into this little widget down here there will be a screen record and then you can grab that link and put in here it's going to show up exactly like this when i press play then my team member is going to have all the information they need i'm going to show them a tutorial on how to do this task give them any other things in the description whether it's username and password or different email copy or things like that or step-by-step written instructions i can then put subtasks in here for them add any attachments if i wanted to docs files etc and then we can chat back and forth about this task specifically as well so my team member jeff can tell me hey christy i need to know i need a little bit more clarification on this piece and then that's going to show up in my notifications and it's going to take me right back to this task you can also do really fun things like send gifs back and forth and just really make it personal and have really good team communication so that's within a task a few things that you can do to communicate your with your team and then we have the chat view so if you add view and then do chat you can see that now i just have a chat that's general about anything that me and my team members can go back and forth and just talk about anything that we need if it's not related to a specific task the cool thing about this too is you can edit the sharing and permissions where specific team members have access to specific chats so this having a team chat here this just means you can see the watchers here are me and jefferson nobody else can see this chat which is really great feature to have in case you don't want everyone seeing the communication back and forth so those are a couple ways to really maximize click up for team communication let's move on so if you're struggling with any of those particular things right now click up can be your go-to solution okay so i know that i just showed you in that stuff might look amazing right but you also might be a little overwhelmed with where to start so i want to show you through and give you a few basics of the click up hierarchy and what all of these things are and what they mean as you start diving into the platform we just went through a lot of information on me showing you how you can utilize click up in many different ways project management task management team communication etc but i didn't show you really what these things are what they're called and how you should set them up so i want to give a brief rundown of the click up hierarchy so starting with spaces what we have here on the left side that are all color coded are called spaces basically these are just categories for your business to categorize the different aspects and departments basically so you'll see i have operations in tech sales and launches marketing and pr clients time management etc you can see them here on the left how you create a new space is by clicking new space entering the space name and then going through these series of questions do you want to change statuses etc we won't get into exactly how to do set up an entire space i just want to show you what it is and explain that so these are the different buckets that you have for spaces now when you pop into your spaces you can then categorize things by folders and lists you can either have lists within a folder or folder list list which means it's just floating there not in a specific folder so spaces are a way to categorize things folders are a way to categorize things and then lists are going to be all of your to-do lists so they're going to house all of your specific tasks that you're actually checking off so here we have a folder here to create a new folder you just create click this plus and then new folder you can put the folder name there and then you can create lists under that folder now in the list you'll see i now have my tasks i can create new tasks assign them due dates etc and what we have here is called a status so here we have to do and i only have two statuses this is why it's showing off as a checklist to do and complete so if you only have those you can check it off the task goes away it's now going to be in the closed section if you want more statuses so say you are wanting to track if something's in progress or needs edits or something like that you can hover over this status click the three dots and click manage statuses you're now going to click custom it's automatically going to pop up with this one to do in progress and complete and here's where you can change the colors you can add different statuses so i'll put review here change the color and then press save you'll notice now that this is a box instead of a check mark that's because now you can move this specific task within all of these different statuses and you'll see that if i have another task i can then put this in a different status and they're going to pop up there and be in those separate statuses visually really nice to see where my tasks are so these are the tasks within your list the actual piece that you're gonna be working on within your business folders and spaces are just basically buckets and categories that you house different things in so then we have these are columns so the columns are where you're going to be able to visually see on the outside of your tasks the information that you want to see so who is assigned to this task is it me is it my team member you're also going to be able to see the due date if you put a due date on these things and maybe if you want to mark priority so you can give as much information on the outside as you want or as little you'll see that i can just click this column and then click hide column and now only see assignee and due date so how do i get that column back if i want to see it all you do is click the plus here and on the left you're going to have your standard columns these are all things that are going to be tracked within your tasks so you will have where was that priority if i click this it now shows back up and it's there if i hide it though it's still going to have the information within the task so you'll see this is still normal priority so that is showing your standard columns and then we have custom fields on the right this is where we get a little more fancy so when i showed you those other project management templates a little bit before in this video you saw the things like budget budget remaining things like that those are custom fields this is where you can put text check box drop downs extra dates that aren't a due date labels files etc and have that information on the outside of the task as well so you can have a really quick overview of the information you're trying to see there will be more videos on custom fields later on in the future so make sure you subscribe to this channel so you don't miss those because they'll be good and then lastly on the click up hierarchy i want to show you views so here at the top if you see this says list this is the list view where everything is just top to bottom checklist i can also add all of these different views and i recommend just messing around with them going into them and seeing how they work but let me just show you for example board view so if i click board view and click add you're now going to see this is going to show from left to right instead of top to bottom it's going to have all my statuses here i can easily put drag and drop different tasks into the different statuses i'll also show you one more calendar view here is where i'll be able to see anything that has a due date on it will then pop up in my calendar if you love visualizing your tasks like that so i don't want to get into all the views i just wanted to show you that there are different ways you can see your information and again definitely we'll be having more videos on views later on in the future but that is the basic click up hierarchy spaces folders lists statuses tasks views columns and let's move on to the next section so i just want to reassure you for a second more often than not people are so overwhelmed when they first start diving in but that's why i'm here to help and guide you it definitely takes a lot of energy and time to get used to your systems and platforms but i promise you after they are set up correctly they are going to save your life if you want another resource on the hierarchy of click up and getting started with the bare bones we actually have a free click up 101 guide i will link it in the description below that goes through the whole hierarchy and gives you just a better holistic understanding of the platform as a whole now to end this video i want to show you a few of my favorite time saving tips just as you're getting started with click up so once you get a little bit more familiar with click up you're going to want to utilize automations especially when you are managing a team this gets so helpful because it does exactly what it says it does automates things where you don't have to be reassigning tasks to people click is basically managing everything for you so for example let me just show you a really quick automation that you can do i want to create an automation that every time a team member marks something from to-do or in progress to review it then assigns me and puts a due date of two days later so how would i do that go into automations in the top right corner click active automations and create automations now you can do so many different things but for this one specifically it would be if a status is changing from anything to review i then want it to assign me but if i click change assigning then put me what's gonna happen is it's then going to have me and the previous team member but if i go into advanced i want it to reassign it to just me and i'm going to take off at assignee then i'm going to add another action so this is um specific to the business plan if you don't have a business plan you can't do multi-step multi-step automations but you can do this in two automations so then the next part of this i want it to change the due date to two days after the trigger date so when i click create this is now an active automation you can also add a description and then i'm going to take this task and put it from to do to review and then watch what happens it now reassigned me and now has a due date of two days from now which is monday so super great trick to be able to save you and your team time yourself time if you want to do automations for yourself as well and just never miss a beat because everything's going where it should be now let me show you another quick time saving tip is the task tray so you know how you minimize tabs when you're working on something on your desktop you can do the same thing with tasks you can actually minimize tasks into what we call a task tray so if you click inside the task you just can click this minimize task button and it's going to be here at the bottom now let me show you um example if you do more than one you can then have these down here waiting for you you can move them in different orders and then you can just flip between these things if you're working on something specific if you want to take them out of your attached tray just press x and that's it and the last time saving tip i want to show you today one of my absolute favorites again just like chrome how you can favorite things and bookmark it to your favorites bar you can do the same thing in click up so again how i took these tasks you can do this from any level task view space folder list so if you take this and do three dots add two favorites you'll now see this went to my favorites bar and every time i want to access this specific thing i just click it and it's there for me same thing with these up here i can click on them and then it'll take me to that folder list etc when you first have your click of account what's gonna happen is this is not gonna be pinned to the top it'll be a favorites drop down and you can either keep it like this if you like that or pin it to the top like so and lastly actually lastly one of my favorite things in click up in life in business is templates templates are my bff i do not like recreating the wheel when i know someone has done it before me or i have done it myself templates save you so much time so in click up they have a native template center where you can go and check out all different ways people have utilized click up and mapped it out for their business model some of these you can directly apply to your business while others you might have to maneuver around and really just apply to your business and we have so many templates within the disabled life system school membership that i have created for you that are just plug and play i have mapped out different hello hello we're going to be getting started here on the hour with our sneak preview of click up 3.0 um I know many of you are probably thinking probably what I was thinking when we saw the update that this was finally released no way Leila it's not actually here is it it is it is my friend so we'll be taking you inside 3.0 today going over every standout feature you may need to know or maybe just be curious about and give you the first look at what you might expect when this transition hits the broader user base in the coming weeks or months fingers crossed on that timeline we'll be starting here on the hour so in the meantime get cozy drop a little hello in the comment in the chat to let me know you can see in here and stay tuned as we wait to get started I see some questions I butcher anything else I mean I guess I have the whole hour to butcher things today so let's get ourselves started with this look at click up 3.0 I'm super excited if you haven't gathered to finally be able to share this with you all today if you're just joining us here's the lay of the land uh we're going to be going over click up 3.0 in detail today because I'm me and there's no way for me to be succinct so we're gonna go through all of it everything that's available today as well as some stuff that they've teased that is not yet available what I'm going to be showing you is an inside look at some of the stuff that is now in a Beta release phase so it's closed beta not everyone is going to be able to see this inside their account from day one but everything I'm showing you will eventually be hitting your plates so this is kind of a first look to get you ready and your team ready for what's to come as we go through today I'm going to be going through a ton of features we're also going to make sure to time stamp this recording afterwards in case you have to duck out early and you want to catch the replay when we go through here we will also be grabbing questions out of the chat thanks to Carly there thank you Carly um she will be pulling out questions that we see come up in the chat so we can make sure to answer them either throughout or towards the end if we have some time uh we have so much to go over so let's just Dive Right In if you guys are okay with it all right let's go to begin our journey on click up 3.0 I'm going to go inside this very familiar looking dock which yeah it's not really 3.0 this is just our format for today before I say anything I should also do this reminder everything that you're about to hear and every typo you're about to see today is my own thoughts here for folks who do not know process driven has no formal association with click up everything you're hearing is my own thoughts and Analysis and hopefully going to be something that's helpful to you but I'm not speaking on behalf of anybody other than myself today to get us started on our updates though let's go inside click up 3.0 woohoo there we go so here we have click up 3.0 inside our own process driven workspace here and we can see right off the bat we default into inbox which is where I currently have us located this is going to be our first standout redesigned area inside of 3.0 and this is where you're going to be replacing what is currently notifications inside the workspace now for those of you who attended level up with click up you probably heard discussions around inbox turning into a combination of email and click up and other tools that is not currently here in the version click up 3.0 that we have however for anyone who is here when click Up 2.0 came out you know how it goes we released 3.0 or 2.0 or major release and all that changes is the kind of the foundation for lack of a better word and over time we see those add-on features stack in so right now inside of 3.0 we're looking at the main inbox where we're going to start our journey here's what we see this is still focused on click up related information and it has multiple tabs to keep you organized for anyone who is used to living out of their notifications you're going to notice a lot more clarity in the new 3.0 version of notifications up here in the left you have the option to toggle between your open and close notifications nothing very different than what's there today however you also have a messages and activity section this is not functionally very different than notifications you're used to but it does take your notifications and break them into two halves messages is going to show you at mentions things directly related to you and what is currently known as delegated reminders so just a quick side note for anyone a little 2.0 review inside of Click Up 2.0 the current version you all have reminders right we have a video on that on the channel if you're like what is she talking about you have reminders and in 2.0 you are able to send reminders back and forth to other people almost like private messages in our reminders video I'm pretty sure we even said wow this seems like it'll eventually become a messaging feature well it turns out we were right and here in the 3.0 version this messages is the reconfigured main inbox for all of your notifications any delegated reminders which are now called chats any alerts that directly impact you or mention you it's all going to show up here to the right we have an everything else section Now activity is where you're going to see things like status changes a task becoming unblocked a due date becoming overdue activities where everything else in your account is going to live by having these two tabs you'll be able to better focus on the things that require real action and uh kind of go more quickly through the stuff that doesn't require action for folks that are part of one of our programs where you work with us maybe in how to click up to learn how to set up and use click of effectively you know we've already been teaching something just like this where you go through your notifications and you kind of triage it well now the interface has a little bit of an opinion on that and they make it easier to separate important from just an FYI in addition to these updates here you'll also notice some new symbols on the right side if I put my cursor over them they disappear so just kind of look closely on that right side you see the little at symbol and the person symbol that lets you know your relationship to the notification whether you're being at mentioned or you're the assignee or something else those little symbols on the right hand side are your indicator of how important and high how high impact a given notification is a nice thing that's in this as well is that we now have a more conveniently located clear all button we still have that double check so you're not accidentally deleting things but this is great particularly for that activity tab where you can get a lot of noise now some challenges with this because it's not all perfect um right now in this 3.0 mock-up when we have our notifications here you'll notice some differences around functionality we now have a red and unread function similar to your email inbox think Outlook so on but what we do not any longer have is an unwatch or an add to tray Button as a quick functionality that for me was a pretty hard thing to lose just all of a sudden with click up 3.0 and if you're someone who relies on Trey or um needs to unwatch things because you get a lot of notifications your job just got a little bit harder because to do those things you will now need to open the given task open it maybe in a modal or a sidebar and then add it into the relevant area not workflow breaking but definitely something to be aware of and something we're going to be working into our trainings as well over here on the right side you have the option to filter out using these preset filters for things that are assigned to you mentions and so on in this case I'm just looking at unread all right so that's the first section inside of the new click up 3.0 is Inbox the reason I did not show you home today the very first tab on the left sidebar is because at this point in time there are no major differences um at this point home is the same as home however let me just pop this one open home is expected to change in the near future so I'm going to show a quick screenshot of what we've seen in some mock-ups behind the behind the scenes here I believe they shared this at level up or something along the way we do expect eventually click Up's home view to change and redesign and look a little bit more like the Asana home kind of main area that you might be used to not currently here but um we can expect that to happen pretty soon as they keep evolving dashboards um as you can see from this little mock-up home is going to finally uh fulfill that promise that we've heard a while back of kind of merging with dashboards having customizable cards and so on that is coming but it does not currently here in 3.0 so I won't Bore You by going over the home that is exactly as we're used to seeing so that is that let me just check if there's anything on the sidebar I want to hit on ah yes thank you Layla from the past sidebar layouts you guys might have seen this video here where I went over the different sidebar layouts and click Up 2.0 they are a massive headache and something that is really a challenge when it comes to organizing your tasks inside of click up and training people and what has now happened in Click up 3.0 is we've eliminated them over here on the left side there is one sidebar one look one layout to click up so when you are looking at click up you see click up so that is a simplification no more do we have that little settings gear here switching between simple modern and clean instead it's just 3.0 that'll make our lives a little bit easier on the training front and I want to make sure everyone's aware of that in case you are working with some new users as well um I should say though if you are used to the clean I'm sorry the modern layout in Click up you will have a bit of an adjustment here because the one that we are going to have in 3.0 as you can see right here is most like the I believe it's simple layout currently we'll check the name of that one all right so that is the sidebar that is home and that is Inbox any questions on this so far guys I'm going to do a quick check on the chat Carly feel free to pop up anything that was uh jumping up on this uh one thing I did not mention but might be worth saying on inbox is right now there is no email integration but you can clearly see that there's there's possibility to add that with additional tabs um is there a dark mode yes there is I change it to light mode for training or for videos because people seem to prefer it but don't worry Cody I live on the dark side and yes it's still available um Isaac asked I wonder if email threads within click up tasks will show up in this inbox yes they will so just like any other notifications you're going to see them pop in I have not actually tested whether they'll go under activity or messages but it stands to reason they'd be under the messages side because they are kind of that action to comment okay I'm gonna oh another one is it possible that parts of these updates will be applied to accounts in the coming weeks or will it be one main switch over to 3.0 so the last question on this one Stephanie um yeah I think it could go either way my expectation is that we are going to continue to see drip to release of features which is what we've already seen a lot of you may have noticed if you go into your click up account right now and go to dashboards your dashboards area looks different if you look at your uh settings menu for spaces and folders and lists it looks different click EV has made a new habit over the last month or two of silently releasing little updates that give you pieces of the 3.0 interface without giving you the whole thing I can't you know speculate as to which click up is going to do but I would not be surprised if we see little drips like that to make sure that they're releasing features when they're ready but not releasing something you know half baked right we none of us want that and I don't think click up does either so with that let's let's keep on pressing on here and we will come back to some of these questions in a moment I want to give a quick warning about this inbox area for anyone who is going to be an early adopter in this Arena um I already mentioned you're not able to unwatch or add to Trey when you're inside the new inbox so if you're someone who does that you're going to want to audit your Watcher settings and audit your notification settings even more closely when you're in 3.0 another update and this is probably a little bit of a bug here on 3.0 is that right now 3.0 gives you a lot of notifications that override your current notification settings so when you are inside your notifications you might get an activity alert about a due date becoming overdue even if your notification settings say don't tell me when something's overdue I'm not sure if this is intended use or a bug at this point but I want to shout it out because it's definitely a behavioral shift after that we also have activity um activity is something that uh you know is intended to help you prioritize but it can easily become viewed as a dumping Zone I know just in the few days that my team here has been using click up 3.0 I have found myself just you know clearing all inactivity a few times and missing things that are important because click up doesn't tell me they're important but they are that laziness that comes at least for me of having things so separate um hasn't always been working out the best so that is just some watch out for on inbox let's move on to documents let me show you around first here we are inside of documents you can imagine I don't really use documents that much for some reasons that you've probably seen on the YouTube channel so far but here's what we have inside the docs area in 3.0 let me remove my big old head and here we have at the very top a recent section a favorite section and a created by me section all of these documents are pretty much placeholders because I don't use click up docs very often if I zoom out so we see Max width here you can see how they kind of Stack into three columns below this we have a list of all of our documents we currently have these can be bulk selected these can be filtered these can be tagged just like you're used to there is no folder functionality in 3.0 it's the same tagging system you either love or hate about 2.0 um what else anything else super interesting we've got some new pre-made filters here and we've got a filter button that gives us a little bit more options around organizing our docs but nothing crazy on the dock side what we're seeing in this feature is kind of the the first look at the management centers that we expect to see pretty much everywhere in Click up in the future inside of Level Up Click up told us that they are trying to build more managers so automation managers document managers anything that's not a task they want to keep very organized kind of like what we're used to with tasks and I think this document one is probably going to be our first look at what to expect for everything else down the line looking at this here though there's no major functionality changes documents became 3.0ified a while ago and so you all see exactly what I'm seeing when it comes to the documents themselves no major changes no major updates um and that is that I'll flip back to our overview just to check if there's anything I might have missed um as I mentioned this is probably foreshadowing what we're going to see to come with these object collections you can definitely tell especially in the docs area how notion inspired click Up's new redesign is um at least for me at least this feels like I'm in notion for anyone who's a notion and click up user let me know in the chat do you agree uh if I were to have to put one word to click up 3.0 I would just call it notion um because this is largely an interface update along those lines beyond that let's see anything else Layla of the past told me we have the search bar functionality improved this happened for everybody a few weeks ago but comes to a head in 3.0 and watching out for tags are still not quite folders and because of the new layout they're somewhat harder even to sort by all right that is where we're at so far in the documents tab quick question check Carly do we have anything we want to make sure we get tackled on this one Maggie asks do you know if you have the ability to tag Pages within docs or is it still just a full dock as far as I know it is still just a full document I haven't seen any functionality changes to documents um from 2.0 to 3.0 when I switched over and back and over and back I couldn't notice anything different within the document itself so it seems to be behaving exactly the same download still the same as far as I can tell let's actually do a quick check here maybe we can do a live test yeah I'm not seeing anything when I looked at this earlier that's going to be any different for us here yeah same deal sorry Anna uh any other questions on the Dax side the dock side now I'm like a Boston Dark Side anyway all right let's go ahead with documents and we will move on to dashboards dashboards is the next area and this one is not too too exciting all we have is some new terminology and new interface New Look new experience when you're using dashboards if we pop into this one you can see some dashboards we have here we still do not have a very functioning archive system as you can see which is why so many of us have just archived in our dashboards if we don't want to lose our history and dashboards have not really changed the only thing that is different is the organization as you see here where we have dashboards in the same kind of layout as we saw with docs everything else with dashboards is exactly what you see in Click Up 2.0 so those new kind of terminology around canvas and cards and whatever it's still there um if you want to see what dashboards in Click up 3.0 looks like just open your click up account and it's same as 2.0 right now because they dripped out this release a little bit early uh yeah I don't think there's anything past Layla told me I had to say about this other than that so we will leave it at that for dashboards if you have any questions about this though let me know just like Anna before um if there's anything you'd like me to check while we're on the stream I'm happy to do it it's possible I missed a feature that's important to you just let me know and I'll investigate it live on air so you can make sure you have that answer all right moving on from dashboards let's go into the the most funny feature in all of click up which is a whiteboards whiteboards whiteboards um you can find out more about whiteboards in general by checking out our video on whiteboards from when it was first released a lot of debugging has happened since then but the functionalities remained relatively stable um thank you so much for odd for that Super Chat super sticker super super thing whatever those are called um let's go inside of whiteboards here and let's talk about what we've got going on um whiteboards look very similar to dashboards and docs and so if I wanted to go in here and create a new whiteboard I now have a nice button and search as we've seen elsewhere but the functionality is not remarkably different so if I just want to name a thing here after our friend in the chat I can create a private whiteboard create that up on the screen and maybe make it actually full screen so you can see it and here's what we've got uh there's definitely some functionality differences with whiteboards but those are the same ones you're seeing in 2.0 so we can see our templates here and Pull It in um nothing super crazy about whiteboards except that we do see this language pop up do you notice this click up items button yeah so this is click up trying to embrace the distinction between tasks and other things you can choose to organize inside of your click up account by making both tasks docs people list all items they're collectively calling them all things you can organize in the way that suits you we see that first show up here in whiteboard's view because I think whiteboards is developing a lot faster than other features but I think it won't be long until we see that same terminology show up elsewhere in the interface which actually squirrel but quick quick note on that I know many of you like me probably had your ears prick up in Click Up's level up event when they mentioned item terminology the ability to take things in Click up and say hey that's not a task that's a dog or a person or a property or whatever um that as far as I've seen so far is not here in 3 3.0 yet it's to come from what I've gathered but it does not quite hear we see these little Odes with things like click up items but nothing is yet in the interface to allow us to rename it like we would expect in something like Monday smart suite and so on or notion so maybe maybe soon any questions on this part before we move on Beyond whiteboards I don't think I have any other major stuff just that they look prettier that was your main interest Mario if I missed anything that you'd like to see just let me know and I'd be happy to dig deeper the Mario VIP treatment all right until then I'm Gonna Keep moving on here and go into spaces folders and lists this is the thing that I think many folks are still super scared about when it comes to click up 3.0 what is happening to that hierarchy what is going on what is this going to mean for us well as we have been saying since click up 3.0 was first teased click up 3.0 is largely an interfaced update it's it's the notion update that's what we're going to call it um but the functionality of click up is not meaningfully changing right now there have been allusions to adding subfolders we've seen some stuff on Candy about that there have been allusions to having item terminology but none of that is here in 3.0 3.0 is making the platform perform better look better and be more enjoyable to be in so when it comes to spaces folders and lists we are not seeing anything that is uh crazily Wild Nothing that's going to shock you or scare you or change all of your workflows so you can take a sigh of relief with that what has changed is some of the finer points the finer details and interface around spaces folders and lists so let's just go ahead and dig into some of these so you can see it for yourself if I go inside my demo space here you immediately notice that the look of click up even in the light mode looks quite different my space title is up here I'm seeing my space views across the top and then I have my lists and so on the borders around each list become very very subtle compared to what you're used to in 2.0 and we have a lot more options around collapsing those collapse buttons are right in your face as opposed to in 2.0 where they're a lot more subtle and easy to miss our autosave save modal that we all love to hate is still here nothing's meaningfully changing on that but with each layer of the hierarchy we now have more consistent information we can organize you guys probably know in 2.0 that in lists we are able to have list descriptions list colors list assignees and dates They Don't Really function very well for anything other than Sprints but they are there well in 3.0 we take all of those things that we liked about lists in 2.0 and we add them everywhere and make them more functional regardless of how you're operating whether it's agile waterfall or just getting your work done what that looks like is in here we can now have different information attached to our spaces folders and lists here you can see the menu that is very similar to what you see in 2.0 with the new edition of the leave space button this works a lot like slack where now rather than hiding spaces from your sidebar which has always been an individual setting we can now leave and join spaces in our sidebar we can do this by clicking on view all spaces locating the space we want to join and joining that space so you can see some of my ones here if you want to learn more about my life and Home Project space we actually have a video on that on the channel but if I were to join it it would then show up on my sidebar leaving and joining is a bit of a scary terminology but do think of it just like slack in that all this is doing is hiding it it's not deleting anything or damaging anything about your account inside these lists here let's just go to this folder and give a peek on that you'll notice that we now have some new areas to add information about our lists so list info looks a little bit differently not in this view apparently let's go inside here see if it'll let me add it in come on you can do it list info oh now I'm getting back to the 2.0 list info hold on rookie mistake let me figure out where I'm supposed to be going on this one to get it to show up for you oh come on um basically what we can do is we can take these list info and we should have the options to have our list statuses our folder statuses and so on it was showing up when I was looking at it earlier this morning but now I'm wondering if I might have buggered something one thing I have found when it comes to the beta test of click up 3.0 right now is that a lot of areas in our account at least feel like they are half in half out for example if I switch back over to my other workspace which I did right before this stream my sidebar will stay in 3.0 but this will go to 2.0 and it keeps kind of half switching all around things so right now I'm having a little bit of trouble getting this to show where we want it to show for you but we'll keep experimenting it I'll come back to this one to make sure I'm not missing something um in the meantime you do see inside the space and folder here are buttons for creation have moved a little bit we see new tasks in the normal spot we would expect and we see some new options around tracking our statuses do you see this here the kind of fractional progress bar on our statuses that's pretty cool our multi-select looks a little different and this button up here now says items instead of tasks this allows us to again think more than just tasks when it comes to click up and create those other objects as well right inside our hierarchy if I go up here there we go there's the missing button I was missing expand header not sure how I ended up clicking that somewhere along the way but hey I've a day or so into this new layout using it daily so mistakes happen up here is where the extra info was that I was trying to locate earlier on this header animation here which is a little disorienting at first as it kind of lags behind as you scroll is where you can store the extra information I was trying to get at earlier if my brain can keep up with me here is where we see the different info now again strange thing that the 2.0 description is also there and this info is still there I don't know if that's gonna be intentional or if that's a bug but this description area is now attached to neat space folders and lists this gives you a general area to write an overview about any spot inside your hierarchy this is going to be especially powerful for folks who are agency owners service providers property managers anyone where your hierarchy represents your projects if you're someone who's sitting there thinking wait should my hierarchy represent my projects we have a video on that too where we talk about my my cheat sheet for building out the click of hierarchy for many of you that will be the case for you and this feature should become your new best friend being able to write out descriptions could be a great place for you to add notes about your brand guides attach documents information about the property the address the property manager you're going to need the contact info for everything you could imagine putting in a document is now included in this description area this overview area in the header of each layer of the hierarchy this is almost like having a document built in in to your task hierarchy all right so looking at that over here to the right we also have statuses now this might look familiar for some of you if we go in here and add an edit we can rename and alter these all these statuses are are ways for us to add colors you've already seen these by having folder list and space colors in the past but now rather than just those list colors having meaningful value you can add the same location statuses to all of your stuff it is yet to be seen whether this will work with automations or work with reporting which has been the big criticism at least from me when it comes to folder and list colors but just having them can be nice to help you have some more defined meanings around your status for each location beyond that your space area list whatever can have an assignee as well a priority flag and those dates just like you're used to seeing for list colors um or sorry for list dates that is kind of how the header works I'm showing it on a space level here if I go down to the folder and I actually click on the correct thing this time we will also see it on the folder level once click up catches up well while this loads this might be a good time to say uh the infrastructure updates of click up the stuff that's going to speed up the performance is something we are still hearing is scheduled for this summer summer U.S summer so I think the last I saw was mid-summer so I'm thinking July August of this year is when we've heard that the infrastructure changes are going to happen which should help speed up some of these uh things that are still a little bit funky let me just do a full refresh I might have just pushed click up a bit too far on this one this morning um and we'll keep going while we wait for this to refresh do you guys have any questions about the hierarchy structure and what we've built I've got this back up on the screen it's functioning properly now you can notice how different it looks with the collapsed sidebar really really transforms the whole look makes it very minimal um and if I'm in here you can now see that header area if anyone like me is like where's the header like I just did on the stream this is a good time to call out the expand header option which does not um expand by default but does Collapse by default when you scroll I don't think there's anything else stand out about this we have an expectation that very soon these overviews will also include cover images think about kind of like documents how they have the cover image I'm expecting that to happen quite soon for overviews but it's not currently here uh any other questions about this so far do a quick check got click up behaving so that would are there any other RTL compatibility added I do not know what you mean by RTL right to left expand on that one a little bit and I can try my best to answer but if I don't know the the meaning I probably am not going to be the best source on that one um are whiteboards public share available good question I'm not sure off the top of my head but let's go ahead and give it a quick check Cody so here we are we're going to go back into whiteboards we'll go on to our friends one here we'll check share and we have the ability whoops here we go share with anyone this should in theory give us a sharing link we'll see if it behaves but it suggests this will be possible yep there we go I'm going to go ahead and disable that but that should check out for you there any other questions on this phase how many of you are happy with click up versus how many of you would recommend that new users choose to invest in another platform and you can ask a bunch of click up users that we're all gonna say we're along for the ride now um I I think for folks that are using click up it is worth checking out what 3.0 can do it's worth it right like you're there already don't switch just because of what could be but ultimately 77 plastic surgery or anyone else the tools should be serving your workflows so if you need a different tool because your workflows require more database features or formulas or this go ahead you know switch to the tool that works for you we shouldn't be treating our software companies like you know fashion brands that we need to become addicted to obviously that's not my forte anyway but we need to find the best tool for our business and for our processes and we can't get too attached to anyone because ultimately it's a tool it's a toolbox this isn't you know we don't need to be a cult right so um find the tool that works best for you and anyone who wants to share your experiences please do so in the chat but I don't think you should make the decision to invest or divest based on other people's opinions listen to your team know your business and make the right choice for you if you're stuck on click up and you know whether it's the right fit we've got some videos on that on the channel alrighty moving on we've got another dead end on this one so let's just go back to documents here and let's keep on moving uh dashboards we're going to check that out whiteboards we've talked about already and we've talked about these hierarchy pieces um looking at the Sprint settings this is one that's actually I believe also in 2.0 but the Sprint lists have been upgraded a little bit and when we look at the location overview as I showed you earlier once it actually showed up for me um because of user error we have those new header options here to keep you organized really great for folks who use their hierarchy for projects quick check on the chat I see that Anna highlights that you can project manage with a pencil and paper if that's what works a men I'm not religious Anna but I might be for that phrase because that is exactly what we need to get behind the tool doesn't matter it's your processes that do all right if there's any other questions please do type them in the chat otherwise we're going to move on to tasks the one of the more exciting and More close to home features that have really really changed in 3.0 so let's go in to our click up account here um we're going to give up on this view because I think click Up's given up on us a little bit there and we're going to go inside our sample space and look at some of the tasks we have in here in this case I'm going to go inside my list called list which is blocked by my big old head so we'll move that out of the way we'll let this load for a second and we're going to go inside a task itself before we do that or while we wait let me pop over to the new task area and show you what this modal looks like notice that this new task option allows you to have two different options adding tasks from another list making multitask really easy and creating a task meaning creating a new one from scratch using that kind of Command Center Central modal no longer do we have that bottom right modal that we're all used to seeing for task creation it's John goodbye Gone Forever instead we've got these ones built in that use that Center modal option and we have this new item button up at the top which again opens in the command center area um inside this list which I think I'm now going to just give up and refresh on I don't want to blame click up for this by the way it might just be because I'm streaming and my computer is is sad at me so don't blame click up for these slowdowns um when we're back in here we're going to go ahead and create a task called task and we're going to go inside and peek around this is the new look for click up tasks bam let me get my head out of the way because I promise I'm not going to be on every task you have here is what we are looking at on the left hand side of the task we see the familiar information we're used to seeing first here we have task name then we have our status we have assigned to we have a description and up at the top of the task we have the options that used to span the entire modal things like our due dates show up right here where I can add these in we've got our priority Flags we've got time tracking which you can just click on once to start ticking we have time estimates where you can type it right in we have Sprint points if you have those enabled and any other enabled features you have in here such as tags here we also have the option to add a cover image directly notice this is a big difference than what we see currently currently when you want to have a cover image for your task it's called a pinned attachment or a pinned image you attach an image once it's attached you scroll all the way down to the attachments area and click the little pin with click up 3.0 this is now changed we can now have covers set just like you can for documents let's go ahead and put something pretty on there and reposition it so we can see what the heck the scene is and there we go great for if you want to upload again those brand guidelines or things if your projects are at the task level or should I start saying item level you'll see below the task name we have all of our standard Fields showing up here we have our description which is collapsible and then we have our second class citizens which are our custom Fields one thing that is a little tricky about 3.0 right now is how separate these custom fields are from your standard Fields there has always been this divide in Click up but I do think this is something we're going to have to keep a closer eye on in the future when it comes to our team our team are are coming into a task to find information and right now there are multiple levels that they need to check in order to find the information they need so standard Fields up at the top quite spacious uh for better or worse and then we have custom Fields here where we can add in our normal statuses Fields whatever you have as well as add new fields from this custom field manager here you can also make your custom field manager full screen and search through them if you have a lot of fields which can be great for folks who are using intake forms and have a lot of data tracked in structured ways below this we have the subtasks area where we can add subtasks and Sub sub tasks and Sub sub and so on and so forth for folks who don't know you've still got those seven layers of subtasks that you might expect one thing that is still nice about the 3.0 update is that we now have collapsible toggles still there and the tab to indent in still works perfectly no major changes when it comes to these subtasks and that includes some changes we would hope to see but are not quite there yet just for clarity here for a moment I'm going to go ahead and number these because I want to demonstrate to you one thing that has not changed but may be valuable for some of you to see in the future and so if that is you I want you to be aware of it subcast layer 4 here if we go inside that we open up the record we can see the subtask 4 up at the top and we can see the list name and if we scroll up we can see that there is a subtask 3 above it you see how that kind of changes as we scroll a bit of a delay which is a little disorienting but it's fine it's there and it's nice what we do not see are breadcrumbs I know this is a really requested feature especially for my team here at process driven I mean some of them even this week were like I can't stand these nested subtasks anymore because you lose that context um that has not changed in 3.0 but we can imagine how easy it would be to change it right now we have some great breadcrumbs which is quite new inside the task modal here showing our location in the hierarchy but our hierarchy of subtasks Still Remains quite basic we only see one layer above and or the parent task name which isn't really going to be that helpful we still don't see the layers two layers three we have to just keep clicking up and up and up to find them which is not ideal ideally we'll see breadcrumbs not there yet in this version sorry for those of you who need it what is nice though is our subtasks have an automatic progress tracker built right in no need for an extra field if I go ahead and add a subtask to and I mark one closed we can see the automatic progress tracking right here at 50 percent we can also collapse these sections y'all know how much I love my toggles um these toggleable sections are fantastic and the to Do complete breakdown here is a nice reminder of what's up so you can give them a click and see just what you need to see below the subtask area we have checklists not a lot of Behavioral changes on checklists um the same kind of stuff you're used to seeing but the structure is a lot nicer rather than having that gray on Gray or white on white kind of section for checklists that's quite hard to see we have this kind of grid with a rounded Corners box to really let you know that you are looking at a checklist and that there's something you can add here I think Asana users in particular are going to really enjoy this um I thought it was a nice upgrade but nothing in terms of Behavioral changes to these checklist items still have used template um with mixed capitalization and there we go attachments are working just the same here on the bottom an activity on the right hand side has not really changed you do have a notifications Watcher here which is a little bit different and worth noting so this is replacing the typical watching feature the creepy little eyeball in the corner that's gone um yeah there's probably still going to be creepy eyeballs but not on the interface this time so instead we've got watch and unwatch in the ability need to add people from this that is our new Watchers area over to the right we have a filter just like you're used to seeing now and that's when we get into the interesting stuff over here on the right hand side we have our relationships and additional information this becomes kind of like a collapsible side menu to add bonus features so in this case I think I have a partially set up Harvest integration and we would also have our relationship show up here if we had any set up so let's just go ahead and create a a custom relationship and we could create this right here link it to anything in my workspace and create it on the side unlike in Click Up 2.0 where our relationships will show up either in the Legacy format below here where we'll see dependencies with big call outs or at the bottom in 3.0 our relationships are going to show up on the side which is a little bit of a shift for people who are used to seeing them all connected all of your relational data is on that right hand side so if you're coming into a task and trying to figure out what you need to do you're going to want to head over to this right sidebar to find the relevant relationship and fill it in when you have relationships you can see them all in a nice compact list but you have to go over and look at them they are no longer kind of side by side with your custom fields which might tell us something about where where click up is heading in the future um beyond that oh layout I should speak to that a little bit click UPS layouts uh simplified when it comes to our sidebar but when it comes to tasks they have become a little bit more complex we now have three different options for how our task can look in Click up 3.0 we've got default which is the modal you're used to seeing we have full screen which will make all of our notion users very happy and we have sidebar which for anyone who's using smart Suite or Monday or Asana like you're going to feel right at home with this one this is a right sidebar where over here on the left hand side we have the hierarchy we have the location right here and then our task becomes this expandable sidebar on the right side when you have your task open like this or in any layout really do notice how we have some new options up the top for tracking the ID and the status looks a little bit different between these as well but that is that we've got our yeah that's our task layout I'll make sure click up or Layla from the past here doesn't have anything else she wants to let you know about um backlinks all the same New Look obviously a big Improvement big change for some uh oh well watch out for yes if you have any beginner users in your account even though we don't have sidebar layouts to worry about we do want to talk about those task layouts what I just showed you could be just extremely disorienting for a new user who is trying to follow along with your um with your test they're opening tasks and it shows this sidebar right now there is not the gradient we're used to seeing seeing on all other tools where in other tools when your sidebar is expanded this becomes kind of grayed out or darker that does not happen in Click up it just kind of pops out like a right toaster and that can be a little disorienting especially if you are training them in a different sidebar layout for anyone who is doing team training and not having process driven do it for you make sure you include sidebar conversations excuse me task modal conversations into your training okay probably goes without saying but can't be hurt to remind you all right any questions on this front so far I imagine there might be quite a few on the task modal piece I know I talk fast by the way for folks who are not comfortable listening at the pace I speak I am sorry do know there's a little settings gear in the bottom of YouTube you can slow me down into slo-mo but I promise this is me trying to talk slow all right can we make the areas smaller or bigger like we want them to our liking yeah let me show you around on that a little bit um the answer is yes and no so when you're inside say this task you can still resize the two sidebars to a degree maxing out at two-thirds one-third same with the other layouts here sidebar itself can resize up to 50 so it can either be a quarter or fifty percent the sections going vertically you cannot resize however you can collapse and expand them and yeah that's probably about the extent of it Maggie asks do you know if you if you still become a watcher automatically when making any changes to a task it seems like they've made it harder to stop watching things um I haven't noticed any changes on that front Maggie the settings area um inside your click up account your notifications and so on have not changed at all so if they are going to change that behavior I would expect some pretty loud you know announcements about that as of right now I haven't noticed any changes and I haven't seen any changes in settings or in using the tools so far it's definitely become harder to stop watching things so you might actually be onto something in that it wouldn't be unreasonable to expect some new settings and notifications to help us cut back on Watchers overall good idea Kia asks can you clarify which features will apply to the different plans Kia if I knew I would share um right now everything that I'm showing you is inside our Enterprise account that click episode graciously shared with us showing us the full demo of 3.0 from what I have gathered so far our plans and permissions in Click up 3.0 should not be changing because 3.0 is primarily an interface update it's the notion update it's looking sexier and Slicker and going to perform faster this should not have any changes in your experience on your plan so for example if your plan includes forms you're going to get the forms in 3.0 if your plan includes lists which hint every plan does you're going to get the new lists I don't think there's going to be a real difference in terms of plans and permissions at this point however it wouldn't be shocking if click up changed their pricing tiers down the line given all this new work but I don't have any insights or any reason to think things would be meaningfully changing Stephanie says in task 3.0 is there a way to keep a default set of columns for subtasks within the parent task oh interesting let's go check on what you're talking about here Stephanie so if we go inside this task I'm going to go full screen because you know we're just going to serve the notion audience today uh we're gonna go inside here if we have these subtasks in place and we open them up they default to having any custom fields that are pinned or required so they're always there but otherwise they default to blank on these other variables click up made the choice in 3.0 that all standard Fields will be available up at the top but collapsed by default so if you want to make sure that these columns I'm assuming that's what you're talking about here correct me if I'm wrong but these columns will only be visible if you have value set or if they're required in some way so if you want to make sure that all of your subtasks have the priority field visible you might want to have a baked in default value of low for all new tasks created and that'll make sure that column is there if I misunderstood your question though please clarify because I think that probably could have gone a few ways and I might just be on the wrong one any other questions Victor Victor De La Cruz how do tables look does it have a Monday like appearance like table groups oh great question Victor let's go pop over to some views and show you those um by the way Victor is like leaving the charge here if any of you have questions or things you want to see my click up is your click up for the day so I'm happy to show you anything that we've got going on here so inside our view options no new views have been released at this point in time even though I think we all kind of heard in in level up that there is going to be some kind of notiony view coming um but let's go what was it oh question went away um table view I think table view so we're gonna go ahead and add a table view in here to show you what it looks like the behavior at this point looks very similar to 2.0 um so not board-like in any way if you want a board like you right now you're probably still going to be looking at the board layout in Click up which you know it's great like it's not exactly matching the interface of the tool that they have right now so I wouldn't be surprised if this changed I mean we still see those drop shadows and things that kind of are an Ode to the old click up but right now no major changes on the views in 3.0 except for the one that you've already all seen which is that team is now box view they renamed that one view but no other sorry I hit my microphone no other major changes that I have seen Victor when it comes to table views uh yeah Javid asks hi everyone Monday user here I'm kidding you're welcome to the party um main reason for click up gcal two-way sync issues are those resolved for this update um I'm not sure which issues you're referring to when it comes to the two-way sync um yeah I haven't seen any Integrations updates about debugging on that front but if they were happening they wouldn't be happening likely in this release 3.0 is largely interface and big impressive shiny awesome features and looks um debugging on things like maybe a two-way sync issue would be showing up any bug fixes that are released every week it might have already been resolved by now not sure um but that would be the place to check for an up-to-date info on debugging check out clickups canny where you can see their bug list and get alerted when things change uh long yes are the subtasks showing in the left side of the task like ducks now I'm not sure let's go look let's find out together folks uh we'll pop in over here all right so we've got our subtask showing in the left side let's check so we're over here we open this up in terms of left sidebar our options are to see yes the subtasks like pages right here it's kind of funny though because they also show down here and in here they show them with layers but we do have that left sidebar like document pages this is again kind of how click up is making everything like itself these objects anything that aren't tasks are kind of merging all together which will be interesting to see what it comes in the future do you notice the the function on on these the sidebar is not quite there yet quite slow and definitely not something I've been making a habit of using yet but good thing to know subtask sidebar I actually never noticed that name of it until right now other questions on this phase Stephanie asks in the subtask section within the task you can add custom Fields is there a way to make it default through the space ah yes okay so not not in any way that's different than 2.0 Stephanie you do have the option in our list here to have some list settings I believe where we can set a default task template for the entire list which my face is blocking and so is your question we'll hide those for a second um here you can see default task template that will be the closest but that is the exact same as 2.0 if you want subtask values to have certain defaults or to line up with the parent task there has been no functional Improvement it's the same thing doesn't mean it might not be just around the corner but again with this being more of an interface update those kinds of functional changes not seeing too many of them here all right I'm going to keep moving on then out after this one more question nope never mind oh sounds like there's one more I'm seeing I'm getting a finger okay not that finger this finger um rainiac or Renee asks I'm not sure Ray Nas uh how are you hiding the left sidebar or is it only some screens and Views it takes up so much real estate good question let's pop over here I'm going to go back to my workspace this left sidebar is two things can be adjusted first it can be collapsed like this just dragged around and also it can be collapsed with the Q command just like it can in 2.0 when it's collapsed is actually super sleek and for folks that are used to the I believe it's the modern layout um they're probably going to find this pretty similar rain sorry I wasn't sure where one name ended and the other or began because it's you know YouTube handles are funny sorry rain um thank you for the question though and I hope that answers your question alrighty let's keep moving here um I told you this would be long let's go to settings uh when it comes to settings there are no major changes yet except for those that you are already seeing in 2.0 like the new guest rules and so on if you have any questions around guest permissions please do contact click up directly they can help you debug your account or figure it out and expected future updates we do expect some major changes to Integrations and apps I from what they said at level up and from what you guys have probably heard as well this seems like it's going to be very close but it is not here in the 3.0 that we know and love already today apps and integration management inside of settings is the exact same however click up has told us that an app center some kind of management hub for your Integrations is coming soon it is not here yet though this should be one place where you can manage all of your connections to outside tools which will eventually feed into that Universal search and will allow you to manage all of your connection points May maybe for just yourself or maybe for your whole team we don't yet know all we have are the same mock-ups that you've all seen when it comes to level up and as we've talked about here on the channel I'm trying my darndest to not just regurgitate the marketing stuff so until that's here we'll stay we'll stay optimistic on that next up top navigation let's talk about that up here at the very top of click up you've got your click up logo or your white labeled logo right here you've got a search bar that is the same functionality as it is now but slightly more prominent and you've got These Guys these guys are the replacement of what you know and love in the bottom right corner of your 2.0 click up account you'll notice that there are some new options here as well that are not there in 2.0 we have the ability to quickly see tasks go to our calendar track time we can pin our notepad we can pin all sorts of icons here up at the top and we can even pin people these different pinnable options create these buttons up at the top which just save you one click should you need to use them however if you are someone who is a Savvy click up user odds are you're not really using your mouse too much anyway you're using hotkeys hotkeys have not changed so keep using those but these are our new buttons to do quick actions such as track time open your task list for the day or view who you have in inside your workspace if I click on people right here you can see some of the people's information and if I go over here you can see again all of those other options for quick actions the new button does say new items which we've already talked about and we can create them here one call out I will make which I'm not yet sure is a bug or a feature choice is the fact that this creation modal wizard thing here does not feed into your tray this was a big red alert bug issue for me not sure again if it's intentional or not but the tray the unloved step cousin down here in the corner is still here in Click up it's the only thing that's left in the bottom right corner it can be pinned across the bottom I believe as well but when you go to create tasks in this new Command Center and you draft the task but do not create it currently in 2.0 it goes to your tray and you can finish the draft later in 3.0 no if you don't finish that task it is gone and that is a real headache and one of the things that we're still not sure if it's a bug or a feature in the new version some funkiness about the creation but otherwise there we go that is the top nav bar and the customization that's there you'll notice your profile is up here in the right now and your workspace settings are over here on the left nothing really is in the bottom that you need to worry about anymore uh oh and some warnings on this one again not sure if it's bugs or features yet there is now no visual integrator indicator around time tracking so if you're someone who uses the native time tracker please be careful in 3.0 you will have no idea whether time is being tracked or not this icon stays the same no matter what is happening similarly clip is having a little bit of issues in 3.0 it will start but it may not stop and so just just some funkiness you can always expect when you have a new release so that is top navigation I've got a few more things to go on um if there's anything pressing Carly we can pull it up here for a quick question break otherwise I'll move on to new features Franklin is it now possible to filter tasks by relationship custom field oh that's a good question I haven't tested it I have no reason to believe it would be but I'm an optimist so let's just pretend give me a second here and I'll build a quick relationship so we can check this out ourselves um we'll do a relationship field test relationship and I will create it quickly here on the fly all right we've got it created we've got our test relationship and apparently the tasks aren't showing up so let's just create one there we go we got our task we've got it connected to a subtask which is nice that hasn't always functioned properly in the current version of click up if we Group by custom field and no we do not yet have our relationships if we filter by custom field I believe we might nope also do not can we sort by it maybe no we cannot all right nope Franklin the answer is no although I appreciate you asking because that means you're even more of an optimist than I am any other questions here for folks in the chat about how we have uh this stuff going before we move on into features note once twice sold okay awesome I'm getting thumbs up let's keep going um I guess I'm so concise I should say that that feature I just showed you on the top nav is now called tools that's a bit of a shift and one thing I did not tell you which I should have let me just go back and fix this is that there is now a chat feature built in uh this allows you to basically send those delegated reminders it's the same functionality as 2.0 it just has a nice button with it so if you delegate reminders in 2.0 congratulations they're now called chat and 3.0 and I think this area is going to really blow up in the future and become more of a real-time messenger between people for private DMS not there yet but that is a cool little release to see in the 3.0 update but again don't you don't have to wait if you don't have 3.0 you can still do that today just use your reminders next up new features this one you have all probably heard about you either love it hate it or love to hate it um click up AI is here click of AI is a feature you've probably seen as I've just been clicking around today it shows up pretty much everywhere in the interface but of course if I'm looking for it it might hide here we go use AI tools click up AI allows you to take information in your click of account combine it with the power of chat GPT and do things for yourself um if you're someone who thinks AI is going to take over the world this is only going to reinforce that however this can be a nice way to consolidate information review information and write messages in a more effective way the gotcha that many of you are already aware of with click up 3.0 or sorry with click UPS AI tools is the pricing uh this is an elephant in the room that you're all probably quite familiar with but despite this cool little AI feature the pricing of click up AI is per user that doesn't sound crazy right but it's per user for all users so if you have a 50 person team one person wants AI you have to turn it on for all 50 and pay for all 50 right now that might change in the future maybe it's changed today but that's the reality of the click up AI release which is available in 2.0 it's more prominent in 3.0 just because I think they were kind of designed together but you already have access to this feature you can play with it yourself if you're someone who's like I don't want to spend 60 bucks on AI don't just use chat EBT in another tab if you want AI or just hold off because this technology is only become more accessible yes chatgpt is free so unless you need that convenience and click up it might be something to hold off on unless you have the budget for it right now moving on chat oh AI I've already mentioned the pricing things to watch out for let's go on to views uh one thing beyond what we already talked about with views which are mostly unchanged is that we have some new looks and forms now have conditional logic this is something that is available I believe in 2.0 right now uh so let's go in and we'll give it a look here we have our form I've actually not played with the conditional logic feature which is fun so let's figure this out together folks we've got a form view here with a broken image which is cool below here we've got our different form questions which we can drag in looks like we've got a little bit of funkiness happening in terms of the load of this because there are questions here but they're not loading that's okay we'll we'll give it some hope um and inside here we should see some options to adjust these fields right now none of my fields are properly loading so we might just give click up a quick Refresh on this and then we'll pop back in but yes I thank you for clarifying Anna it is available in 2.0 thank you um so if anyone is looking to explore those conditional field logic you can check that out in your account if I can get this one to reload ah there it is now it's there again we should see some of those features here as well overall the form Builder has just kind of changed in look so we have kind of a different aesthetic through it we've got the same button we're used to the same responses no functionality differences really um and yeah forms are forms there we go if you want to add conditional logic or other rules into your account you can check out whether your plan allows it by checking the pricing page or contacting click up support and digging into it in further detail beyond that the views just look a little different especially the top pill area here is quite different you can see your filters are now collapsed inside this pill the group here same content but different button and so on all of these options can now be hidden to make things very Sleek so for whoever asked before about that left sidebar you also have the ability to collapse other information like this making it a lot more user friendly as long as you can remember where all the damn expansion points are which um me it depends on the day whether or not I can remember where they are notice here on list settings we do have some new options as well so we've got our view options now has this kind of sidebar area if I go back we can see our name of the list right here subtasks our collapsing options are even more hidden please be careful with this guys already folks have issues understanding how to navigate subtasks the fact that this subtask setting is even more hidden is only going to make that worse so please train your users to look for subtask options and just think about them from the setup stage below that we've got our our usual things we're used to seeing filters search and so on all showing up here and yeah nothing major in terms of behavior changing on these views here still can resize still can reset field width actually that one might be a little bit new not sure about that one and we still got the same collapse and multi-select bulk toolbar all the same all right moving on to Beyond views here we've got Trey let's go to Trey uh really not too much to talk about here other than it is still here like I said it's the only thing that's left in your bottom right corner I know this is probably a bit small but hopefully you can see my flashing well you can't see the flashing but you can see my shaking cursor in the bottom right Trey is still there it still works the same way it's just harder to get things in and out of it because you cannot quickly add things from notifications you need to open up those tasks locate the options in the navigation area up here and minimize that task that's how you can add it into tray don't ask me why it's minimize half the time tray the other half of the time that's a conversation for another day um I already talked about the bug or maybe intended Behavior not sure on the drafting issue um leave it to say I think Trey is going to be seeing a lot of change in the times to come next up little features so little features and things to watch for is that the teamview has been renamed that's the same as 2.0 there are new Banner colors in 3.0 which I think is also available in 2.0 here we go new Banner colors if you like these kind of formatting options the default task template which is also available in 2.0 is more prominent in 3.0 and statuses now look beautiful like the new look a lot if we go back to our overall list here we look at the activity we have inside our area if I go into one of these that has some content in it we can see if I add the task that our statuses can go to complete and closed we can also have them move through the progress I wish I had one of these with the multiple statuses there we go you can see the progress here it goes from 25 to 50 to 75 to 100 automatically showing you progress based on the number of statuses you have you can choose the colors for those statuses but you cannot change the actual um percentages if that makes sense it's all just proportional right now all right so that is little features wow we made it to the end it's amazing I would say this is a short stream but it's me so it definitely isn't what hasn't changed let's do a quick review of what hasn't changed for folks who are worried um I want to do something kind of sassy right now just because I'm reminded in the moment um one thing that hasn't changed is the visibility issues so you'll notice I keep zooming in on my screen when I'm trying to share with you guys here on YouTube or wherever you're watching it from that hasn't changed click up has always been a very small small font tight finer details kind of tool much like notion and that has only become more of a double down in this new redesign for folks who we call ourselves with old eyes or just bad eyes or who prefer things that are more in your face this has only gotten worse in 3.0 definitely a lot more finer details better contrast but not as easy to see in some ways um beyond that your information hasn't changed if you flip over to 3.0 all of your information is there I know we have a lot of folks probably on this feed and for folks who have you know worked with us at process driven who are scared of systemizing their business or don't want to build out that new formula yet because they're afraid of 3.0 and what it's going to do well here's a news flash nothing it's not going to do anything 3.0 changes how the tool looks and unless there's some kind of catastrophe it will not do anything to your data itself getting your saps in order in 2.0 is fantastic when you flip over to 3.0 with one click it's all still there it just looks a bit different so don't let your information be held up by needing to wait for 3.0 next thing that's not changing is pricing and tears I know we had a question about that as of right now no information has suggested that the pricing or options of click up 3.0 is going to change next up the hierarchy there have been rumors and there's been updates on canny about sub folders coming super super soon but they're not here yet so your hierarchy is not really changing in Click up 3.0 you just have a bit more information to expand and some more document area pulse goals favorites tray all these features are not really changing in 3.0 if you love these features congrats if you hate these features well it's not any worse than it was before bulk action toolbar is also in that boat and your process of course I have to mention this if you have a awesome workflow that's working well in Click Up 2.0 all that's going to happen is it's going to look better perform faster and be nicer to work in in 3.0 so do not hesitate getting your stuff set up in 2.0 while you wait I know many of you like me were probably really disappointed with the 3.0 everything right waiting since last June for it to be in November but then it to be in February for then it to be in May and you know worse many of us are still waiting right I get it but at the same time we want to have a tool that's stable right so what we have today I would wish this on your team my team doesn't even want to be using this in some ways because there are so many bugs in quirks let's like click up get this beautiful perfect functioning great and then let's use it but in the meantime let's not hold ourselves back let's not prevent ourselves from taking on new clients let's not prevent ourselves from building new systems everything you built all of your processes will transfer seamlessly to 3.0 in a second so keep moving forward I know it's frustrating I share that concern but it's coming and one step at a time don't let your part of the journey though your process that click up needs you to give it be held up for no reason you still have plenty to work on even if we're waiting on click up on some things so final thoughts before we go into some questions here um overall like I said before I would call this the notion release it is a look release for folks who love notion congrats for folks who hate the look of notion like me some days um it's not the best but it is very much in that aesthetic um overall the context switching that was a real challenge for new users in Click up has greatly improved with this new design with sidebars and the way things are layered it's a lot easier to tell where you are in most layouts as long as you're not in full screen however we still have some issues in Click up 3.0 with visibility around buttons and options especially ones that you need to be able to find easily but are a little bit still tucked away that's always going to be a challenge with the tool as powerful as click up but it something to be aware of in 3.0 that it's not entirely cured especially with the new way relationships are handled might trip up some of your new users even more so than the current one finally um yeah as I said before let's all give click up some Grace on their timeline here I know we like many of you guys have been like yeah no yeah no waiting on this to be here um what we have right now is the early release of 3.0 that's why we're sharing it here today if I can answer any questions for you in the Q a section here to come I'd be happy to but this tool right now this 3.0 is not yet ready for everybody and let's respect click up trying their darndest to give us a high quality product and give them some time all right great things take time we don't want to have something like this released to our team that Causes Chaos it's not enough for our team even in the version it has been to cause chaos and so let's give them some Grace and uh let's keep an eye out for 3.0 for folks who might be wondering 3.0 is intended right now to release to the broader user base in summer us summer which means typically June through August this year um I don't have any more details than that but you can probably pester click up and they will also tell you they don't have any more details than that but maybe they do um so that's kind of the current lay of the land I'm going to just flip this up on the screen and have Carly grab any questions you guys might have as we wrap up here um I should say click up has been incredibly gracious in letting us look at 3.0 before it is live we've been asking for a while I'm sure many people have and they finally allowed some users here access to show you guys what's up we're so so grateful for this but it's only possible because folks like you tell click up hey we want that it's valuable to us it helps us as click up users if you would like to see more early release previews like this please help us get that access by letting click up know okay it's my little ask for you feel free to leave a comment on this video letting them know why that would be helpful to you so we can do more like these but with that questions any questions any anything you want us to check out here um any details I missed can you compare changes to Smart Suite yeah I think click Up's taken a step closer to Smart Suite in this migration because they are really taking objects seriously non-tasks they're really starting to take steps in that direction however I really think if anything click up is a lot coming is coming a lot closer to uh notion in this release than they are with smart Suite uh the real differences right now are still that click up is in this just interface update mainly um it's still a project management tool and so we haven't seen those meaningful changes to the database features that would push it closer to the smart Suite side of the spectrum they are both so different tools on opposite sides of database versus task and in this release click it did not take any steps in the database Direction but their interface uh would open them up to be able to do that in the future if they wanted to I think before we'd say any steps closer to that we want to be looking for things like updates to I can't speak updates to relationships um the way those are handled formulas reporting dashboards when we see functional upgrades you'll be maybe we'll say yeah they're getting closer to that middle of the run but at this point I think they're both owning very different parts of the market I love them both they're both great tools just like notion for all the hate I put in to notion I mean I really like that tool too for what it is um Cara asks do you recommend using zapier for automations over click up automations um it depends if it's just you and you're comfortable using zapier and you're already paying for it yeah for the same thing you're going to get greater reliability reporting and auditing from zapier than you would from the Native automations however if you don't pay for zapier or if you want the convenience of easy editing I would use the click up ones currently there are some pretty pesky uh click up bugs around automations but I think so much of that is going to be wrangled through this inner infrastructure update this Summer that if you don't have zapier and you want an easy entry point to automating click up automations are a great thing to incorporate into your workflow any other questions Erica asked can I have a task reopen if the client responds to my email sent from click up yes you should be able to do that so you would just make sure that there's kind of some ways to do it this is where you'd probably want to do what we just talked about and go into zapier or make or something else I don't think the click up automations will have a trigger for comment responded but those third-party tools should and what you'd want to set up is when so and so is received and status is closed then change status to open alternatively you could do this a bit manually Erica which might be worth it for this kind of simple use case and whenever you get notified that there's an email response your project manager knows human wise just to reopen it that notification comes through either way so if you can save yourself some work and not have to set up the automation it might not be worth the time anyway then you could go that route as well any other questions Herman asks can you force the flow of statuses for example can you not skip second stage in status yes uh that's not going to be a 3.0 change the way you would do that is through an enforcement automation it's not like a rule in Click Up Click up's not opinionated enough to say force you to go this way but uh we can be that way uh so if you check out our video on the channel about the I think it's like the nine most common automations every small business owner needs it's called something like that um that video breaks down enforcement versus management automations Herman to make this possible you'd want to create an enforcement automation that requires folks that if they don't do what you want it yells at them or undoes it or does it for them um so yeah it's an automation Justine asked quick question about embeds from OneDrive within a task for paid Microsoft 365 accounts I cannot embed a file to be edited within a task is it possible that it is restricted by a click up plan um so I shouldn't be no I don't know of any click up plans that restrict the quality of embedding most often your limitations around how customizable an embed is is either the tool itself so in this case your other OneDrive embeds do they they work properly if not it might just be a one drive and click up thing or it could be the restrictions on the actual thing in Microsoft 365. maybe you have view only permissions I don't use uh OneDrive that often to be able to give you from my experience whether or not full editing is possible I don't do know click up has a stronger integration with Google documents I know you have full accessing access and full editability with that my suspicion would be just the OneDrive connection is not as strong I see Leon in the chat might have the same issue so that could confirm it might just be a limitation of the connection for clarity though I would stew that into click up support they might be able to help debug and they probably know more than I do on that part for sure uh next up we have are we getting a custom Fields manager I really need that tool oh man you meet both man um so we're supposed to um right now it's not there so custom field manager is still looking the same as what it does in 2.0 but we are told it's supposed to be coming in 3.0 um so it may be 3.01 I don't know it's not here currently but it is supposed to come they showed mock-ups at level up anyone can access those recordings to see what it looks like but it is a central spot however let me show you real quick um hold on Carly go back to that question for a moment um kind of a preview that helps you look and this is probably something I should have shown earlier oh okay nope it's bugging up here for a second here we go um so forget that constant error of popping up here's what the new automations manager looks like it does I believe also show up in 2.0 and you see kind of the navigation here where you can see all of your spaces and you can toggle between them to see what automations exist at each level this kind of manager is what I suspect our custom field manager is going to look like in the workspace settings but it is not currently here so long story long yes but it's not here right now okay there we go Carly move on Sergeant T2 asks hi I may have been addressed already sorry then are there new options to prevent Boomers in my team to mess with the views of the spaces and lists the boomers are it's always the Millennials I got to worry about so um so right now when it comes to permissions it's the uh the same no functional changes right now on permissions if you're looking to lock down views you can either upgrade right now to their Enterprise plan maybe business pro plus whatever also has this but I know Enterprise gives you those Advanced permissions where you can dial in access to views and so on um but there's no changes that I've seen so far in 3.0 that suggests more permissions are going to be happening in the main interface for all plans so sorry about that um sorry I had to join late don't be sorry you're here I'm so grateful for that um was the custom task type feature covered is that part of 3.0 uh to talk about a little bit but let's break it down um item terminology or changing tasks to mean something else is not currently there by default we've seen rumors of it in the interface things like items and objects being referred to throughout the new interface but we're not yet seeing the option to rename anything so yeah hope that helps Justine asks was there any word on mobile app changes with the interface no not yet I haven't heard anything about the mobile app changing it's kind of being developed separately and it has its own look to begin with so I wouldn't be surprised next up Alexis do you know if you can turn off the percentage indicators and statuses you mentioned you can't change what percentages are shown but I wasn't sure if it's possible to turn them off completely Alexis I have not seen any adjustments to that be possible yet it's possible click up has um had a really great track record of whenever there's a new feature and half of the people hate it they turn it into a Click app that's what happened with um custom Fields being alphabetical it became a Click app after release because people were in an uproar um so I wouldn't be surprised if you are not alone in this and if many people would prefer to turn this off it may become a Click app if enough people ask for it but right now I'm seeing it baked in uh next up Sophia asks do you use Google Docs instead of click up docs yes I'm evaluating what will be better because I think Google Drive is interesting to have for a backup Sophia if you haven't already you can watch the video on our channel of why we left click up docs and are never ever ever going back and that will tell you why we definitely do not use click up docs here at process driven they have their place for temporary files if you're using them and it works for you I'm so happy for you it is not something I will recommend or ever use again for regular usage except for like right now it's a nice tool but not how we go um in terms of performance in the EU I think that's going to be more of that infrastructure piece I know they are reorganizing how their information is served I think they talked something about a CDN and having contact or having information more localized I know they had a lot of investment in their European offices but I think anything with performance at this point is either a question for click up directly because it's very possible I just don't know or part of that infrastructure project which should time out to be sometime this summer or maybe even fall we'll see and I think that's when we're going to see Major Performance and stability changes uh I know that performance is the most important factor totally agree this is not that release though that's going to be that other infrastructure project that I think last I heard again July or so of this year but things are always subject to change any other questions Bree asks how do you do your hair like that I've braided you know you grow out short hair enough times you get creative with ways to keep it all wrangled um any other questions on this are we at the end we've got I got a finger I should map name new options similar to what we have now and we do have the filter options these are the same as what I'm used to seeing in 2.0 but they are here if you're looking to filter by status you can do that right here using filter status is whatever it is and it will show you just the the locations by that status really convenient for folks in real estate property airbnbs that's a metaphor or normal release I suggest folks wait at least two weeks this was kind of our our practice back in the early days of click up when there were those weekly major updates I would tell our clients to never build anything on a new feature until at least two weeks because the quality assurance wasn't quite where um many teams needed to be for Mission critical workflows we couldn't afford that kind of bugs with 3.0 I I'd probably dive in pretty quickly because click up is taking their time with this one which I know people hate but also we all have to kind of respect and if it is at the Quality that we all hope for and expect it should be safe to be using right away and in those cases you could flip it on immediately I would probably pair that with immediate training though so whenever you can train that's when you want to flip the switch when you have access to it for folks who've been asking um the expectation is still summer of this year so it could be in a week or two it could be in six weeks but it's definitely coming soon it's clearly here and click up moves pretty quickly through these these beta test periods so as soon as us guinea pigs debug the worst of it for you um I would imagine this to roll up pretty quickly and if anyone is nervous about that 3.0 roll out to their team we are working right now at process driven on building out our updated training where we just got access this week we are filming next week all of our updated information about 3.0 you'll see new videos on the channel but particularly for our clients a whole lot of new stuff like everything is being rebuilt here at process driven to help our users get up to date first before anyone else so if you need help retraining or training your team or how to click of course would be a great thing to enroll in it's lifetime access and we keep updating um it every time things changes whether it's a weekly update or 3.0 um Leon's thinking that they might dive into forms right away but doing everything else feature by feature that's that's completely that makes a lot of sense uh dive into what you need to but don't overdo it because people can get stressed out by the change yes the bug tickets are
