When Emeritus/a status is granted prior to termination date, the following Workday processes are completed (when a faculty member receives Emeritus/a status after termination date skip to Step 8)).
Note: Faculty member will be converted to Contingent Worker
Note: When converting to Emeritus or Volunteer, both the Termination and Contract processes must be done the same day prior to 3pm if entered the day of termination in order to keep their email. If the termination is entered prior to the termination date, these do not need to be done the same day but must be done prior to the termination date.
The OFAPD (Clinical Departments) or Business Manager (Basic Science Departments) will create an Emeritus Faculty profile. (Name the position the faculty members rank + Emeritus or Emerita, e.g. Associate Professor Emeritus).
After the profile is created, OFAPD will complete the following process:
Select Terminate Employee from the Actions icon under the employee name
Primary Reason: Convert Employee to Contingent Worker
Secondary Reason: Voluntary Retirement
Termination Date: 9-month faculty will be June 30 unless the faculty wishes to receive final pay in May.
If chooses May, salary will need to be adjusted to pay June’s in May.)
12-month faculty will be day faculty’s last day.
Last Day of Work: 9-month faculty will be the date on the contract (normally Commencement)
12-month faculty will be day faculty’s last day.
Pay Through Date: 9-month faculty will be June 30 (unless the faculty wishes to receive final pay in May.
If chooses May, salary will need to be adjusted to pay June’s in May.)
12-month faculty will be last day worked.
Convert to Contingent Worker
a. Enter Contract Contingent Worker in the Search field.
b. Select the Supervisory Organization to hire the contingent worker. Note: this is the same supervisory org that holds the vacant position. If one does not exist, then stop the whole process and create a new position.
c. Enter the previous employee’s name in the existing Pre-Hire field.
d. Click OK.
e. Select a Reason. The only reason that should be used in when converting an employee to volunteer is “Contract Contingent Worker > Convert Employee to Contingent Worker”
f. Select the vacant Position.
g. Enter the number of scheduled weekly hours.
h. Enter a Contract End Date.
i. Navigate to the Change Organization Assignments task in your inbox.
j. Click the Edit icon to edit organization assignments as applicable.
OFAPD Adds Academic Appointment
Select the rank they were when they retired. The Reason Code should be New Appointment. When you get to the Title, you will add “Emeritus or Emerita” after their rank, e.g. Professor Emeritus (male), Professor Emerita (female) – provided they were granted Emeritus/Emerita status prior to entering the appointment. Enter an end date of ten years out. The Identifier should be Emeritus/a-Other.
