Process:
Step One - Notify The Office of Faculty Affairs and Professional Development (OFAPD)
The department electronically sends to Andy Griesenauer (andy.griesenauer@health.slu.edu) as one PDF file in the following order:
Copy of terminal degree
Step Two - Create New Position
Enter Create Position in the Search field
Select the Supervisory Organization for which you are creating a position. Using the Smart Search function, type in the manager's name or the Supervisory Organization Title
Click OK
Select the Job Posting Title for the position
Example: SLUCare Assistant Professor
Enter the Number of Positions to be created
Complete the fields on Hiring Restrictions Tab
Availability Date - Today's Date
Earliest Hire Date - Today's Date
Job Profile - SLUCare Faculty
Location - Primary Building of Worker
Time Type - Full-Time (0.80 FTE or greater) or Part-Time (0.79 FTE or less)
Worker Type - Employee
Worker Sub-Type - SLUCare Faculty
Add Cost Center - Enter the correct department/division
Step Three - End Contingent Worker Contract
Enter the Contingent Worker's name in the Workday Search Bar
Select the Contingent Worker Record in the results
Navigate to the End Contingent Worker Contract task and select Actions > Job Change > End Contingent Worker Contract
Enter the Contract End Date
Enter the Reason. If the contingent worker is converting to an employee and select End Contingent Worker Contract > End of Assignment > Convert Contingent Worker to Employee
Indicate whether you wish to close the position or if the position is available for overlap
Enter a comment
Click Submit. The request will route to HR Shared Services for review
Step Four - Convert Contingent Worker to Employee
Department reaches out to OFAPD (andy.griesenauer@health.slu.edu) notifying them of the change.
OFAPD uses Convert Contingent to Employee process for this change.
Enter the Contingent Worker's name in the Workday Search Bar
Select the Contingent Worker Record in the results
Under the worker's profile picture, select Actions > Job Change > Convert to Employee
Select the Supervisory Organization where this worker will report
Click OK
Enter the Hire Date
Select the Reason: Hire Employee > Convert Contingent Worker to Employee
Select the Employee Position (if the contingent worker is being hired into their existing supervisory organization, you will need to remove the existing position and select the correct employee position)
Enter the Contract End Date
Select the Reason: End of Assignment > Convert Contingent Worker to Employee
Indicate whether you wish to close the position or if the position is available for overlap
In the Additional Information dropdown, update Job Title, if needed, and the Scheduled Weekly Hours. The Default Weekly Hours should remain as 40 to calculate the FTE
Enter a comment in the Comments section
Click Submit
Step Five - Add Academic Appointment
OFAPD adds Academic Appointment in Workday
Task will arrive in Faculty Affairs Program Director's Workday queue
