Process:
Office of Faculty Affairs and Professional Development (OFAPD) receives Letter of Intent (LOI) via email from SSM and enters information into OFAPD Faculty Tracker
The department administrator sends the electronic New Faculty Hire Packet (see below) to andy.griesenauer@health.slu.edu at least 2 months prior to start date
The OFAPD will monitor Faculty Tracker to ensure New Hire Faculty Packets are being sent in a timely manner. If the New Faculty Hire Packet has not been received by the OFAPD at least one month prior to the start date, the OFAPD will reach out to department administrator to request it.
OFAPD creates the Workday position.
Job Aide for creating SLUCare position in Workday
OFAPD makes note in Faculty Tracker
HR approves the Workday position.
OFAPD hires new hire to the Workday position.

OFAPD makes note in Faculty Tracker
OFAPD enters the faculty member's academic appointment into Workday.

OFAPD makes note in Faculty Tracker
Appointment letter is generated and sent via email from OFAPD to new hire's personal email address for signature.
OFAPD saves New Faculty Hire Packet in faculty member's file.
OFAPD saves signed appointment letter upon receipt
OFAPD follows up with faculty who have not returned signed appointment letter, as appropriate (typically every four weeks)
New Faculty Hire Packet:
Electronically send to Andy Griesenauer (andy.griesenauer@health.slu.edu) as one PDF file in the following order:
Copy of terminal degree
Process if being appointed to Adjunct Associate Professor or Adjunct Professor:
If the appointee has not previously held an appointment as Associate Professor or Professor at SLU SOM, the appointment be submitted for review to the Appointment, Promotion and Tenure Committee (similar to the process for full-time faculty appointment requests).

The OFAPD prepares and sends the Recommendation for Faculty Appointment form and CV to the Appointment, Promotion, and Tenure Committee for review at their monthly meeting. The Appointment, Promotion and Tenure Committee reviews the requested faculty rank and makes a recommendation to the School of Medicine Dean.
The SOM Dean reviews and approves the requested faculty rank.
If the rank is approved, the process moves to Step 5
If the rank is not approved, the OFAPD notifies the department chair and administrator and the process moves to Step 5
The Department Chair is responsible for notifying the faculty member and SSM partners about the approved rank.
OFAPD creates the Workday position.

Quality Control:
Weekly, the OFAPD will use the SSM SLUCARE Hires & Terms & Hire Date report to validate faculty that need to be added or removed from SLU's Workday.
The SSM SLUCARE Hires & Terms & Hire Date report is sent to the OFAPD via SLU HR.
Semi-annually, HR will run the census report and compare it the Workday “clinical” faculty data to the SSM HR data to validate completeness of faculty between both parties.
