Using Google Tools for Productive Collaboration

JilMac is a self proclaimed "Google Girl". When she was in the Marlboro Masters Program for Internet Engineering in 2002, her professor periodically would share "Google: the 8th wonder of the world" and analyze what Google was able to accomplish, she has been studying, using and incorporating Google tools at every opportunity since.

Anyone wishing to participate in the Workshop needs bring their laptop, gMail login and be comfortable in the Google environment. All are welcome to the presentation.

JilMac's 2 hour workshop on "Using Google Tools for Productive Collaboration", will include:

  • Creating a Google Site - we start here because it is the way your ORGANIZE your Google Presence

  • Login to Google - Click the 9-squares (JilMac calls it the Rubics Cube) > More > Even More > Sites > Name must be UNIQUE to Google Sites

  • After the site is created add to the home page (Pencil Icon opens the page to edit)

  • 1-incorporating Google Calendar, combining calendars (Display another Calendar) on a Google Web Page, Creating multiple views.

  • Add a New Page - click Page+ > Name the page Calendar > Insert > Calendar

  • 2-Docs (similar to Word 2003)

  • 3-Sheets (Spreadsheets similar to Excel 2003)

  • 4-Slides (Presentation similar to PowerPoint 2003)

  • 5-YouTube Insert > YouTube > https://www.youtube.com/embed/xcBSl06_Ai0

  • 6-Google+ Albums and Photo Editors Insert>Google+>PhotoAlbum > select album

  • 7-Add a Google Map - Add Page > Directions > Insert > Map > Marlboro Grad Center - Marlboro has ID themselves to Google

  • 8-Creating Clickable Images -

    • 9-Forms (Collect data and store data in a Google Sheet)

Edit an Individual Pages HTML

Pencil > click <HTML> from edit Bar

Edit the Website's CSS (in a manor of speaking)

Add a Favicon: Click Geer > Manage Site > Attachments > upload your favicon (must be named favicon.ico)

Let's make the Site Name more English Like: Click Geer > Manage Site > General > Change Site Name ( jilmac802 to JilMac 802 ) > Save

Change the Name of the Home page on the Left-Nav: Pencil > Click Home, replace with JilMac802

Change the URL Name of a Page: Geer > Page Settings > Page URL (If you want to change the HOME page - first change the Landing Page in Manage Site)

Click Geer > Manage Site > Themes, Colors & Fonts

  • The Base Theme is SKI - However you can change to Microsport (Red Bar, No White Body) or Branches

    • Add Background Image = Entire page > Background > Image > Change from THEME to Picture - upload Picture (note Options)

  • Left Navigation Link Color = Sidebar Gadgets > Text > Link Color > Change from THEME to RED

  • Add a Footer = Geer > Edit Site Layout > Click CUSTOM FOOTER> scroll down > Click to edit custom footer > Add Footer Info

Edit the Website JavaScript

  • To create the form: in Google > Double-Click the Rubics Cube icon >

    • Click: Drive > New > More > Google Forms Create Form > Add Fields > Save

  • To Insert a form into a Google Site: Insert > Form > Select Form > Save > Save

    • You can either create a NEW Page or embed it into your Assignment 11 page.

  • To view Statistics in a Spreadsheet Form: Form > Show Summary of Responses https://www.youtube.com/watch?v=FlJffj7VNhs

  • Edit the Form: More Actions > Embed > Paste into an HTML file

  • Customize the LOOK of your form (Fonts, Colors, Background Image, Borders, etc)

This tutorial is sort of a combination of Google Forms and Google Sheets, but it shows how to create an automatically generated certificate of completion to be mailed out after a user completes a survey using merge tags. This uses an add-on to Google Sheets called autoCrat. This seems like it could be really useful in instances where one would need a certificate of completion as shown in the tutorial, or even if you wanted a personalized letter or some sort of other information sent to someone after the finish a survey.

Google Sheets - Tutorial 06 - Advanced Image Insert and Formatting

This tutorial shows you how to insert images in a google sheet beyond the insert image command in the menu bar. It turns out you can actually use an image formula to import an image from a URL - the formula is =image(“imgURL”). This is one of the benefits of using Google Sheets - as they are entirely web based they can integrate web content. You can also use codes after the formula to change how the image appears - with no code put in by the user it defaults to 1. 2 will ensure that the image always fits the cell exactly. 3 maintains the image at the original size no matter the size of the cell. 4 allows the user to input the dimensions manually in pixels.

Google Sheets - Tutorial 03 - Template Gallery and Table Styles

This tutorial briefly goes over the add-on store and shows a really useful addon called “table styles” by ablebit. It looks like they have a lot of other useful addons as well. This is useful because Google Sheets does not have as much pre-made designs to choose for charts as Microsoft does, but with this it will be easy to create charts that look good.
