Using Google Tools to Collaborate: Documents, Spreadsheets, Email, Presentations, Photo Editing

You don’t have to purchase any software or apps for this course – Google makes all these products free. You can use a computer, tablet or phone! Demand for online collaboration tools is skyrocketing – and for good reason – you can get a lot done in a short amount of time. Learn how to use Google Documents to read Word, PDF, Excel and PowerPoint files without having Microsoft software. Learn how to SHARE these documents with other people, a class or group, and how to have multiple people from anywhere in the world update the documents...even at the same time. Extra help will be available until 8:30. If you need help setting up a gMail account before class starts or if you have questions, call JilMac at 802-254-8628. Class limited to 12 students.

Session 1

Introduction & Discussion: What does it mean to Collaborate on-Line?

Handout(s): "Google Documents & Spreadsheets", "Google Document - Sharing Documents"

Workshop:

    • Login to each students individual Google Account (gMail login)

    • Create a Google Document

    • Create a Shared Folder

    • Move the document into the Shared folder

    • Share the Document with JilMac and at least one other student

    • Change permissions from Can Edit to Can Read - note the changes

Session 2

Spreadsheets can ADD

Discussion:

    • Review of Google Documents

    • Answer Student Questions

    • Let's add a Graph to the Above Spreadsheet "Spreadsheets can ADD"

    • Everyone Update Google Sheets

      • Login into Google gMail

      • Click Rubrics Cube > select DRIVE > click SHARED WITH ME >

      • Open the Folder ___WRCC-Collaboration-Can-Edit

      • Add your Name and Eye Color - watch and see as everyone add's their data

      • Everyone Create a Google Sheet of their own > NEW > Google Sheet > Rename Sheet-MyName

      • Everyone SHARE their Google Sheet with group Google

    • Microsoft Word 2007, 2010, 2013 & 2016 have the Ribbon and are very similar

    • Word 2003 is similar to Google Documents, Excel 2003 is similar to Google Spreadsheets

How we use a Google Group to give everyone permissions in a file or folder without having to share/maintain emails:

I have shared my folder "Google-Collaboration-JilMac" it will be in your Google Drive > Shared with Me

  • Can everyone access? https://drive.google.com/folderview?id=0B_nsZH_N7X9mVEZvZnFjQ0IzZ0E&usp=sharing

    • Create a document in this folder - write your name in the document, rename the document to the name you want me to call you (File > Rename > YourName)

    • Share the file with me JilMac.MacRand@gmail.com - am I already listed ?? is our Google Group Listed??

  • Look and see who has access to this file - and what their permissions are - change them if you like.

  • Update your Google Document, have the student(s) who you have shared the document with update your document also

  • View the Revision History for each document, does it reflect what was updated?

  • Create a Spreadsheet - it can be from a Template upload an Excel file, convert it to a Spreadsheet, Download it as Excel learn more about Google Spreadsheets

  • Give another student permission to update the spreadsheet

  • Update each others Spreadsheet

  • Check the Revision History

  • Create a Presentation, upload a PowerPoint, convert it to a Presentation, Download it as a PowerPoint learn more about Google Presentations

  • Take your Document, Spreadsheet & Presentation - Download and Convert them to Microsoft products.

  • Modify them in Word, Excel & PowerPoint - Upload them to your Google Drive, notice how Google identifies them?? now read them as a Google file.

Discussion:

    • Review of Week 2, review of Reading & Writing Microsoft files

    • Imbedding a Google SLIDE into a Google Site to look like a slide show/powerpoint/etc. Insert > Google+ > Album

    • Answer Student Questions

    • Synchronize - Question from you!

      • Some people have their Google settings set up to AUTOMATICALLY SYNC - this may cause you to upload files that are in the WRCC1's login DOWNLOAD folder. You may want to change this setting in your Google > Settings or use your own computer while in class.

      • At the High School/WRCC you are prompted to log into CHROME to Login into Google go to http://Google.com

      • To see what is Synchronized - if you have logged into Chrome:

        • From the MENU button in Chrome > SETTINGS > ADVANCED SYNC settings button,

        • It will display exactly what's synched.

      • On YOUR computer - choose what is Sync'ed https://support.google.com/drive/answer/2375083?hl=en

    • Images

      • Go to your Google Drive

      • Create > Drawing (note: if you are in a Shared Folder, it will ask if you want to share this Drawing) > Click the Button Create & Share

    • Using Mobile Technology with Google Docs - most things are the same ... remember - working with Tablets & Phones takes some time to transition from using a Computer

      • We have learned how to share documents for others to Own, Update and View in this "Using Google Tools to Collaborate "

      • Let's look at a few products that you can share in View Only

        • Calendar <-- Only the owner of a Calendar can edit it, but you can Combine Calendars to see overlapping open spots.

        • Pictures

        • Google Search for Web, News, Videos, Images, Documents .... Don't forget Advanced Search Use "-" to remove, Time and Location

        • Maps

        • YouTube <-- we shared the ability to INCLUDE a video into a Presentation, but only the author or the video can edit or upload it.

        • Google Books

        • Blogs

        • Translate

        • Groups

        • Hangouts

        • Forms

Wrap-Up:

  • Once data starts appearing in the Form's Spreadsheet you can ....

      • When you are looking at the raw data in the Spreadsheety click:

      • Form > Show Summary of Responses

      • It creates Statistics for you about the data.

      • You can copy and paste the statistics and put them into a Document

      • This will keep a snapshot of the data at a particular time

      • You can also make a copy of the FORM as a snapshot in time.
