Your personal email address is part of a group email. The group email address is Office@simplesolutionscc.com. What this means is when an email is sent to the group email, everyone receives the same emails in their inbox. It also means when an email is composed from the group email address, it will be in everyone's sent folder.
NOTE - No one but you will receive emails sent directly to your personal work email.Example - JDoe@simplesolutionscc.com is private.
Email Aliases:
Email aliases are "fake" email accounts created for each of our clients. The format for these aliases is Company-Name@simplesolutionscc.com. There are a couple of reasons we use email aliases for clients - 1.) It looks like we're sending directly from a client email account rather than a call center email account, 2.) We can easily search for and track emails composed and/or received for our clients.
Each email alias is connected to the group email discussed above. So no matter which email alias is used to either send or receive an email, it will go to everyone's inbox.
The current list of email aliases is already in your email settings. When an alias is created for a new client, you'll be given instructions on how to add the alias.
Composing an Email:
Your email account is set, by default, to compose emails as Office@simplesolutionscc.com. The reason for this is to avoid accidentally sending emails from your personal work email.
Default From address
Important -If you are composing an email on behalf of a client, you will need to change the From address to the client's alias email and CC the same alias. The purpose of CCing the alias is to maintain fluid email communications. When you CC the alias, the email you sent will be in your co-workers' inboxes.
To change the From address, click the down arrow and select the email alias you want to send as.
You are now set to send an email as the client's email alias.
Using Email Templates:
Your gmail is pre-loaded with email templates to use for things like sending a quote for clients that do not have a way to do so in their scheduling system. To access your email templates simply compose an email and then click on the 3 dots in the bottom left, choose "Templates" and then select the email template needed from the dropdown.
Cleaning out your Inbox:
Since we compose and receive emails on behalf of most of our clients, it will be important that you clean out your inbox daily. If you don't you will end up with thousands of "unread" emails and it will be hard to keep track of current communication.
Email Assignment:
If you are not tasked with the email assignment for the day, you can mark your emails as read and archive them at the end of your shift. If you are assigned to the email assignment, you will need to pay attention to all incoming emails and direct co-workers to email communications meant for them.
