TFI 1.12 EVALUATION: Discipline Data

The Tier 1 Team has instantaneous access to graphed reports summarizing discipline data organized by frequency of problem behavior events by behavior, location, time of day, and by individual student.

Data are used to develop plans and actions that respond to what is really occurring in the school rather than reaching at straws and making assumptions. Data that are kept current provide a real-time look at your school climate. Data is used to select, monitor, and evaluate outcomes, practices and systems.

TFI 1.12 Big Ideas

In this element, TFI 1.12, the Team will familiarize themselves with the Aeries Discipline data-base.

Action planning includes: ensuring all relevant staff have access to the Aeries Discipline Manual and trainings, providing staff with resources to support the accurate completion of office referrals, and ensuring site discipline data is input into Aeries in a timely and accurate manner.

Culturally Responsive - TFI 1.12 Elaboration

Teams regularly disaggregate their discipline data as an effective and objective way to assess and monitor equity in student outcomes. Teams are purposeful in examining inequitable outcome data first from a systems perspective, before viewing it as an issue with an individual student or family.

SBCUSD Discipline Data - Aeries Student Information System

Aeries is an online student information system for teachers, administrators, students, and parents. Aeries allows users to view student information such as attendance and discipline records, grades, assignments, and completed college requirements.

The Aeries Portal for Staff provides easy access to student data with a web-based application designed to provide school and district administrators access to the student information they need in multiple formats (PDF, RTF, XLS or TXT). Site administrators designate which staff have access to input and generate discipline data.

In TFI 1.12 the role of the Team is to identify all staff members who currently input discipline data and have the capability to generate reports. The Data Analyst will partner with these staff members to ensure they are properly trained and to devise a system for requesting discipline data to share with the Team and staff.

The Information Technology (IT) Department has developed a training guide which includes step-by-step data entry instructions, screen shots as well as complete lists for all drop down menu items in the Assertive Discipline section of Aeries.

The IT Department also provides a variety of training sessions which are available to administrators, certificated and classified staff on how to enter referral, suspension and expulsion data and generate site-level data reports.

Ensuring the Discipline Data is Complete and Accurate

In order for Teams to engage in Data-Based Decision Making (TFI 1.13), it will be necessary for the Team to routinely evaluate the site's data to ensure it is accurate and complete. The following trainings and resources assist in conducting that work.

This training shows how office referral reports can be used to determine if site level discipline data is being accurately collected and entered into Aeries.

Office Referral

The SBCUSD Office Referral provides a standardized form on which all schools document Location, Problem Behaviors, Environmental Factors, and Possible Function. Adoption of the district-wide form in 2007 made it possible for the IT Department to develop an in-house database to manage discipline data (SB2000, Aeries) making it possible for site teams to generate immediate, up-to-date Office Referral reports for on-going data analysis. Note: All Office Referrals must be input into the district database.

If the Team found that referral data is incomplete and/or inaccurate, consider providing staff with an office referral training.
