MLS Listing Cancellation & Relist Process
Sometimes a listing doesn’t hit the mark on the first try—and that’s okay.
In many cases, instead of simply adjusting the price using OREA Form 240 (or Form 212 for leases), Sellers and their Representatives may choose to cancel and re-list the property entirely.
You might also encounter situations where a Seller’s circumstances change, and they decide not to proceed with the sale. If the intent is to temporarily pause the listing instead, please scroll down to the suspension section.
Cancelling Your Listing
You'll need to complete the OREA Form 242 – Cancellation of Listing Agreement (or Form 214 for leases).
Please note: Only the Seller and the Broker of Record (BOR) or Managing Broker can sign a cancellation. As a salesperson or broker, you do not have the authority to sign on their behalf.
Send the Cancellation Form for e-signing to one of the following:

Once the form is fully signed by all parties, forward the following to: Ops-Admin@HouseSigma.com
A copy of the fully signed Cancellation Form
A copy of the original Listing Agreement (full version)
Our Ops-Admin team will handle the termination from there.
⚠️ Note: You cannot upload a new listing until the current one is officially cancelled. Suspending a listing is not the same as cancelling it.
You can process price changes yourself without BOR approval using OREA Form 240. However, you're still required to forward the signed form to Ops-Admin to comply with audit requirements.
Ops-Admin operates Monday–Friday, 9 AM–5 PM. If you submit a cancellation late Friday, we cannot guarantee a BOR signature before Monday. Please plan accordingly.
Cancelling a listing to sell exclusively in order to suppress the sold price is a violation of MLS rules and may lead to disciplinary action.
Cloning Your Listing (TRREB)
Tip for TRREB Members:
If you plan to re-list, use the Clone feature in Add/Edit to duplicate the original listing. This saves time by keeping details like room measurements intact while letting you update the price and dates. If you’re on a different board using Matrix, check for a similar function.
⚠️ Important: Re-listing requires a completely new set of documents. Do not reuse the old paperwork by crossing out and initialing.
Sign in to your TRREB account.
On the Dashboard, click Realm.
Select Listing Add/Edit.
Click Edit Listing.
Enter the MLS# of your previous listing.
Click Clone Listing.
Enter all applicable updated information (price, dates, etc.).
Save as Draft.
Once you receive confirmation that the original listing has been cancelled, you may submit the draft to go live.
Suspending Your Listing
A suspension is a temporary pause on an active listing. This is typically used when:
The clients do not want showings for a period of time (e.g., due to guests, illness, or property repairs)
Reminder: All active MLS listings must be available for showings.
There's a breakdown in the relationship between the client and the representative, but the client is not being released to list with another agent. In this case, the suspension runs from the date signed through to the expiry date of the listing.
To suspend a listing, the client must sign:

(Use Form 213 for lease listings)
Important: Only the Managing Broker or Broker of Record can sign the brokerage side. As a sales representative or broker, you do not have signing authority for suspensions. Please tag either:

Fully signed Suspension Form
The complete Listing Agreement
Our Ops-Admin team will process the change and update the listing status to Suspended.
Set a calendar reminder for the suspension end date!
It is your responsibility to reach out to Deals/Ops-Admin to request that the listing be unsuspended in accordance with the signed form.
