The Chief Fire Warden is trained and certified to advise, consult and approve the evacuation procedures of Citipointe Church. The CFW communicates with the Fire Department and refers instruction back to the Communications Officer and Deputy Fire Wardens. The CFW heads up the Emergency Planning Committee (EPC).
Process
On “Evacuation Tone” or alarm indicator if Zones are isolated and Mimic is being monitored
Take personal phone
Start Stopwatch
Go to FIP - take cap and locate threat or discover which device is in alarm on mimic
Assess threat level
If zones are isolated (mimic monitored) and threat is credible CALL EMERGENCY SERVICES IMMEDIATELY on 000
Take Instructions from FIP or Mimic monitoring station
If threat is containable seek to contain
If threat is not containable commence evacuation procedures
Take clipboard of Wardens areas for checking off
Stop stopwatch when everyone has left the building
Proceed to Evacuation Assembly Area immediately upon containment or if containment not possible
Check off areas as cleared. If not reported, promptly send Deputy Warden to check non-responsive areas
RECORD which Wardens are sent back
Chief Warden will meet the fire service on arrival; provide as much information as possible.
The Deputy Warden's role is to take control of an evacuation in the eventuality the Chief Fire Warden is not present and to support the CFW in their role. They are a part of the Emergency Planning Committee (EPC).
Process
On “Evacuation Tone”
Take cap from their respective area and personal phone (to use as a torch and maintain communication)
Make contact with the Chief Warden and assist as required
If Chief Warden is not present assume the role of Chief Warden above
If Chief Warden present, proceed to evacuation area immediately upon containment or if containment not possible
Check off personnel from live spreadsheet list as they arrive (use google drive staff list, intern list and visitor checklist)
Advise Communications Officer if all present or not accounted for.
The Communications Officer maintains communication between evacuees in the Assembly area and the CFW. They are a part of the Emergency Planning Committee (EPC).
At Assembly Points people will be reassured and briefed on a need to know basis on the situation. They will be retained until the situation is resolved. Once resolved the Chief Warden will instruct the Communications Officer to announce to people as to the next steps (e.g. threat contained and return to normal activities or threat not contained either wait in evacuation area or dismiss to return home safely through unimpeded internal roads).

Start Stopwatch to time
Collect Emergency Bag from Fire cupboard
Proceed to Assembly Area
Hand out caps and vests to relevant persons for check ins
Address staff and guests as they arrive
Manage the Assembly Area and instruct Area Wardens
Stop the stopwatch when no one else is approaching.
Inform the Chief Warden of the number of persons evacuated, or persons not accounted for.
The Chief Warden will communicate when it is safe to return
Instruct personnel to stay until authorised to leave or return to work
Provide information as needed
If an alarm sounds or an evacuation is required, Area Wardens should first get people out as quickly as possible, wherever they find themselves in the building when the alarm sounds. If an Area Warden is not in the building the Zone Warden will assume their role.
They are required to immediately take their cap from their respective areas (this ensures that those in the immediate vicinity know that someone has taken responsibility for that area) and their personal phone (so that they can light their way in the event of power failure or smoke taking over the building and can message their Zone Warden the “All Clear” of their Area). The Area Warden is then to ensure that everyone in their section is out of the area. Once an area or room is checked, the door is to be shut but not locked.

Area Warden Process

Take cap from their respective areas and personal phone (to use as a torch and report to CFW)
If you hear the alarm, your first task is to simply get people out!
Assess if threat is in their area, if so seek to contain
Turn off air-conditioning unit in their area if applicable
Ensure everyone in their section is exiting to the Assembly Point
Once a room is checked the door is to be shut but not locked
NB: In the event of a lockdown, the opposite applies. Doors should be left open in this case
Once ALL CLEAR Proceed to Assembly Point
INFORM the Zone Warden ALL CLEAR and AREA by texting in the group text on the way to Assembly point.
If the usual Warden is absent (indicated by the hat not being taken) then a staff member in that corridor must assume the responsibility)
Process

Lock computer
Take First Aid Kit to the Assembly Point. A number of staff are trained in first aid.
Ask anyone in the big playground to leave the area.
Staff must exit the building and move directly to the Assembly Area (Appendix 3 - Assembly Points) to be accounted for and not endanger the lives of fire-fighters or others who may think that you are still inside the building. Staff should walk quickly and not run.
If an Area Warden is absent, another person in that hallway can take on the responsibility of the Area Warden. Staff must know who their Area Warden is for their hallway and where their cap is situated.
Process
On “Evacuation Tone”
Check to see if your Area Warden has taken their cap.
If they are absent assume the responsibility of the Area Warden and proceed as an Area Warden Above
If Area Warden is present, continue to leave your office door open and proceed to the nearest exit if unrestricted and progress to Assembly Point
If the nearest exit is restricted proceed to the alternate exit and progress to Assembly Point
Register name with Deputy Warden
Wait at Assembly Point for further instructions
Do not leave the Assembly Point until you have given your name to a Deputy Warden and have been given the all clear
Do not re-enter the building unless authorised to do so by Chief Warden.
Anyone with limited abilities e.g. crutches, disability, vision impairment, pregnant, elderly should evacuate to a safe space outside the bus shed area or across the carpark and text their HOD or fire warden to let them know they have evacuated safely. They are not expected to evacuate to the oval if it is physically difficult to do.
If any staff have volunteers or interns working in their department on the day of an evacuation, or visitors in the building, they should ensure they know where to evacuate to (thus checking into the main building for volunteers and visitors is imperative)
