Duplicate Student - Error Message when Deleting
Student has a fiscal year summary in a prior year that would cause decremented numbers on an NRS report for a prior fiscal year.
If the student was NOT an NRS participant and was not reportable on Table 2A for non-participants in any of the preceding fiscal years for which they have a FY summary record, you can delete the student record using the Delete Student button at the top of the student record.
If the student was an NRS participant or was reportable on Table 2A for non-participants in any of the preceding fiscal years for which they have a FY summary record, then the record cannot be deleted, as deleting the student record could affect the NRS tables due to removal of the frozen data. You can manually enter any additional data from the undesired record to the record you intend to keep, and then change the student name in the undesired record to DO NOT USE or something similar indicating that the record should not have additional data added to it from that point forward.
To check to see if the student was ran NRS participant in a previous FY:
In FY Summaries 16/17 or later:
In the student record, go to the History tab > Fiscal Year panel.
Double-click the row for the most recent prior year FY Summary.
Scroll down and search for PoP1StartDate.
If the field 'PoP1StartDate' is in the FY Summary with a date in it, the student was an NRS participant and the record cannot be deleted
If the field 'ActiveNonParticipant' has a 1 in it, the student was included on Table 2A and cannot be deleted.
If there isn't a date in the 'PoP1 Start Date' or a 1 in the 'ActiveNonParticipant,' and the student has additional prior FY Summary records, check each remaining record to see if any of them have a value of 1 or a date.
In FY Summaries prior to 16/17:
In the student record, go to the History tab > Fiscal Year panel.
Double-click the row for the most recent prior year FY Summary.
Scroll down to the NRS reportable field.
If this field has a 1 in it, the student was reportable and the record cannot be deleted.
If the field has a 0 in it, continue to check any other prior year FY Summaries the student has. If any of them indicate 1 the student record cannot be deleted.
