Each WEPO student is entitled to reimbursement of up to £500 for cultural activities, extracurricular instruction, or sporting activities. Students cannot claim expenses relating to other students, friends, family, etc. Reimbursements will only be made upon submission of an itemised receipt to the appropriate subsidy form before the stated deadlines.
Culture Activities: Subsidy money may be used for the purchase of tickets for anything that might reasonably be considered a ‘cultural event’- ranging from classical concerts, plays, theatre and museum admission fees, sports matches, and other spectator sporting events. This category will also cover travel expenses for day trips within the UK (eg. bus tickets, train tickets, accommodation within the UK, etc.). This does not cover meals whilst on trips, accommodation within Oxford, travel to airports, or international travel or accommodation. You can only claim personal expenses, not for anyone else. If there is any doubt as to whether an activity will be covered, please contact Katie ahead of time to confirm.
Extracurricular Instruction: Extracurricular instruction may include payment for music lessons, language lessons, dance lessons, etc. Students are responsible for seeking out the instruction they desire and must then consult with the Director of Administration about their plans and projected costs before subscribing to or attending such lessons. Once such lessons have been approved, ideally the tutor/teacher/institution should present the Programme with an invoice.
Sporting Activities Fees: With respect to sporting costs, the Programme will reimburse students for the necessary costs of participating in a sport in Oxford (ie. some of the expenses which students would not normally pay at Williams College). Such ‘necessary’ costs do not include things such as sporting dinners, ski lift passes, social events, team photographs, personal equipment (such as running shoes, rugby boots, rucksacks, team sweatshirts/t-shirts), overseas tours, etc. However, they may cover expenses such as travel costs to away venues or training grounds, team uniforms or ‘kits’, and/or University Gymnasium or Pool membership fees.
All Exeter EWH residents will be provided with £250 in reimbursements towards cultural activities. This funding is meant to be used for you to participate in events and activities with WEPO students throughout the year.
All WEPO students will be provided with three 13-week bus passes to be used on Oxford Bus Company or Stagecoach buses. These bus passes will cover each of the three Oxford terms, as well as part of each term break.
All Exeter EWH residents will be provided with £100 in reimbursements towards local bus passes to use throughout the academic year.
All receipts for reimbursement should be itemized and submitted to the Director of Administration via this form by the last day of 9th week each term. The last day to submit receipts at the end of the academic year is Wednesday, June 18. All receipts must be itemized in order to be processed for reimbursement; non-itemized receipts will not be accepted.
Williams students on the Programme are not eligible for supplementary financial aid from Exeter College. Students experiencing financial difficulties should get in contact with the Financial Aid office at Williams College.
