The Committee has developed Policies to direct their actions in a number of areas.

The area which has involved much recent discussion relates to the SPOCA "Five Year Plan". This has two main purposes: to provide some direction for ongoing Committee and Association activities and emphases, and to set a framework for what should happen to all the Association assets when the time comes for the inevitable winding down and closure of the organization. There is a separate section under this heading which keeps a record of the progress in discussions and affirmations regarding this formal future structure.

There have also been formal agreements signed in relation to loans of assets to other institutes. These are enumerated below (in order of date when established), and are followed by a file list linking to the formal documents.

1. A Loan Agreement relating to items of memorabilia on loan to St Ignatius College, Geelong.

2. A general policy for preservation, access and use of the memorabilia archive.

3. A Deed of Gift related to a large set of historical items which have been collected over many years and are stored by Xavier College.

4. A Catalogue listing the items related to that Deed of Gift.

5. A Policy describing the establishment and ongoing development of the SPOCA website and the Digital Images Collection of a large number of recent and historical photos.

6. The Scholarship Agreement between SPOCA and ACU

7. Three documents related to the production of the Rules of Association which SPOCA adopted in October 2020 (the first two documents are [1] the 'model rules' for unincorporated associations which were used to produce [2] a draft prior to the final version).
