The Customer Age Analysis module provides all the functionality required to manage your Accounts Receivable. In addition to showing outstanding Invoiced amounts, it also displays what the current Work in Progress is.

The Age Analysis shows Total Debits (Invoices) less Total Credits (Receipts, Credit Notes etc).

Get Started

• The Customer Age Analysis module is a fixed module that needs to be added to the Main Menu or/and to the Tile menu using Main Menu > Setup > Menu Manager.
• User Access needs to be granted in Main Menu > Setup > Settings > Users > Accounting > Customer Age Analysis - Access Allowed.
• Make sure to first set-up Customers in Main Menu > Setup > Customers before attempting to use the Customer Age Analysis module.

Main Menu > Accounting > Customer Age Analysis > View

1. Set / Date - This field allows you to filter the records displayed in the data grid by date.
2. Periods - If checked, the date filter searches on the Period Date. By default this is unchecked.
3. All Accounts - If checked, this will display all active Accounts in the database. If not, only accounts with amounts outstanding/owing will display.
4. Use Allocations - If checked, the ageing is calculated based on how receipts and credits were allocated to Invoices. If unchecked, the calculation is based on allocating receipts and credits to the oldest outstanding Invoices.
5. Data Grid - This shows the Customer Age Analysis information. The following fields are explained below:
   • Account - This is the Customer name.
   • Credit Limit - This shows what Credit Limit, if any, has been extended to the Customer. The field will show red when the Credit Limit is exceeded, and will issue a warning in the Sales Order module should the Customer wish to place more orders.
   • Overdrawn - This shows by how much the Credit Limit has been exceeded.
   • W.I.P - This shows the value of work that is in production for the client.
   • Total + WIP - This shows the total outstanding amount plus work in progress.
   • 120 days - Current - This displays outstanding invoices based on their ageing.
   • Unallocated - This shows receipts or credits that have not been allocated to invoices.
   • Total - This shows the total outstanding amount per account.
6. The following functionality becomes available when right-clicking on a record.
   • Open Customer - This will open the selected Customer's Setups.
   • View Customer Summary - This will open the Customer Summary side-panel.
   • View Detailed Ledger - This will open the Detailed Ledger of the selected Account.
7. Output - This allows Users to E-mail statements to an individual Customer, or to all the Customers in the list simultaneously. To send a Statement, click on the Customer in question, then navigate to Output > Print (or Email) > Statement.
8. Menu - The Menu button provides the following additional functionality:
   • Suspend overdrawn Accounts - This functionality allows Users to suspend Accounts that are over their Credit Limit, so that no more Transactions can be put through until payment has been made.
