Emergencies
These are Safety Team's instructions to follow in case of an emergency. However, all members of our community should be aware what these steps are so that if an emergency occurs, Safety will not necessarily have to explain what needs to be done.
Safety Criteria for Calling Game Off
If we arrive on site and need to close before game-on, an XO will stay to turn people around and to make announcements.
If we need to call a game-off during the middle of game:
People will be told to pack up personal things and leave as soon as they can.
Depending on conditions, some people will stay behind to pack and load.
If we close early, as needed we will pack up essentials and leave without cleaning everything and possibly come back to finish at another time.
In case of major emergency, then we all evacuate ASAP.
If particular places are unsafe to sleep in, we will call a game-off.
If needed, then people would go as large groups to get their bedding and camp out in main buildings until safe to leave.
Food
If there is no electricity, use the gas stove in the tavern, which should still be working. Cooking will only be allowed if conditions are safe.
If there is a high risk of power outage at game, players will be told to bring their own nonperishable foods in announcements. If camping in a main building is needed, then food could be retrieved at same time as bedding as a large group.
Parking in Case of High Wind
Move parking to the middle of the parking lot instead of the edges. Those who arrive first will set example of where and how to park. An XO would volunteer to be an attendant to tell people where to park. People will also be asked at check-in and told where to move their cars.
ST Camp
ST’s are to help monitor during hazardous weather, along with major traffic reports to watch for road closures.
If a Stand Down Is Called
People will be kept indoors.
Play will be limited to roleplay only; no sig calls unless sensory.
Players would be directed to either the Wandering Bear depending on type of conditions and situation in order to gather for Stand Down for announcements/instructions.
To Add in Announcements (if we know about hazards before emails are released)
Players should bring extra blankets, nonperishable foods, extra warm clothes, and supportive boots; they will be reminded to not leave heaters plugged in or unattended. Unused electronic devices or those that “idle” need to be unplugged (e.g., crockpots, chargers with full batteries).
If a hazardous condition stops players from coming to game, there should not be in-game repercussions. Seek ST help so that there are no in-game consequences for players not attending due to situations outside of their control, such as weather and other natural phenomena.
U-Haul
An XO will drive and follow the U-Haul to and from site.
Safety Team Site Sweeping
The central meeting location for the team is the Wandering Bear.
Passive sweep done by the team members is based on where players are located at the time. After they have passively swept their current area then they would report straight to the Wandering Bear and we sweep areas that were not covered as a team. No team member would go out on their own.
Protocol for Specific Situations
Power Outage
Immediately call a stand down.
Minimal movement during these times; Safety Team will find backup lights to illuminate hazard areas. Backup lights will be located at ST camp.
Include flashlights with first aid kits for staff to access.
During colder events, close all doors and windows to conserve heat.
Beware water. The pumps being turned off can cause problems with the water, which will become murky and undrinkable.
Do not use the kitchen for any cooking.
Keep cooler closed as often as possible to avoid spoilage.
Await XO clearance.
Windstorm and Fallen Trees
In the event of large limbs falling during a windstorm, a stand down will be called.
Safe locations: Wandering Bear first, Fort field second. They are closest to the side of road, are least likely to be hit by falling debris, and have space for players.
Safety team and XOs will make sure that there is no immediate threat until the bulk of the danger passes.
Minor Injury/Illness
In the event of a minor injury or illness, a Safety team member will respond to the situation as needed by providing first aid and care.
The team member should stay with the player until they are safe to continue play.
While administering first aid, the player should be taken away from others and out of character.
Example: Susan has fallen and scraped up her hands and is now bleeding. She goes to a member of Safety and together they go to a first aid kit located in the nearest building. They both go out of game to administer first aid. Her hands are cleaned, bandaged, and she feels much better. Both the player and the Safety team member may now return to game.
If a player is being monitored, then depending on their situation they may be in character and in game if it is safe to do so.
Example: Joe is not feeling well. He has been out in the cold for a long time and thinks he may be in the beginning of hypothermia. A Safety team member takes him inside, his clothes are changed, and they stay in the Rose Inn and drink tea while a Safety team member monitors his condition. He feels much better after an hour and both people can continue play, but he should stay inside and warm.
A Safety team member who has responded to a concern from a player should check up on that player later and after game.
Emergency 911 Protocol
Call 911 mention we are at Camp Edward
Follow any instructions given by emergency personnel. Anything you cannot directly do yourself, have another member of Safety team or a runner/volunteer do.
A person, preferably a member of staff, is to be sent to the main road to direct/escort the aid car to the injured or sick player.
If it hasn't already been done, contact the XOs; this can and should be done secondary to taking care of the player. Preferably, send a runner who is not on Safety team to find and inform them of what has happened and that 911 is being called.
Anyone who is transported to the hospital must have a member of the Safety team go with them. The team member will stay with the person until they can be released from the hospital or until another person assumes responsibility for the player (such as a parent, partner, roommate, etc.).
Notes About Going to the Hospital
Always inform an XO before you go. This can be done via personal talk, runner with a message, or through ST camp.
It is better to drive your own vehicle to the hospital. That way, if the player is released, then you can drive them back. Or, if they get picked up by someone else, then you are not left stranded at the hospital.
Try to bring a phone charger.
Take a copy of the player’s emergency form, vcan be found at ST camp.

Salmon Emergency Box
This red box will be kept at ST camp. It is to remain locked at all times unless being used by a Safety Team staff member or an XO.
The box includes the following:
Printed list of medical accommodations (submitted voluntarily by players) and emergency info
Phone charger and adapters
Copies of emergency forms
$20 cash
This money may only be used by Safety Team members as needed to purchase things such as food during a long stay at the hospital with someone. Keep your receipts and send an email, with an explanation of what was bought and when, to the Treasurer so it can be replenished as needed.
