Expectations of Crew Minions

Interested in helping out at Shadow Accord without committing to volunteering? Crew Minioning includes being an on- and/or off-site volunteer working under the supervision of a Crew Member.

Working off-site involves assisting with laundry, inventory, maintenance, or lost and found between Shadow Accord events.

Working on-site involves assisting with the setup and/or teardown of one or more buildings at a Shadow Accord event. The buildings that need help are the Tipsy Chicken, the Pious Rose, the Golden Horn, the Church, and the King's Trust.

Crew relies on the playership for its on-site functionality. Without Minions, we would never be able to set everything up before the game starts or get out of site on time. To that end, this document will focus on on-site Crew Minions.

How to Become a Crew Minion

To become a Crew Minion, just come to one of the buildings during set-up and/or teardown. Set-up can begin as early as 2 p.m. Friday of an event. Teardown begins right after the end-of-game announcements on Sunday of an event. Simply approach a Crew Member and ask how you can help. There are no caps on Crew Minions.

Receiving XP

Minions receive 1 XP for helping set-up a building, 1 XP for helping teardown a building, and 3 total XP if they help with both. You may also gain XP for helping with various site decor, such as moving frisbee golf nets. Be sure to check in with the Crew Member you helped in order to receive your XP.

Obligations

A Crew Minion can expect to spend a good chunk of time helping set up and/or teardown. Expect this work to be in one uninterrupted block; if you leave/disappear for long periods, then we can not award XP. A Crew Minion may be asked to help with multiple buildings.

It is important to remain focused while Minioning so as to complete tasks in a timely manner. 

Though we do not want to deprive anyone of XP, it is the Crew Minion’s responsibility to report to a Crew Member and make sure they have the correct name. If the Crew Minion forgets or they believe there has been an error, they can email us at sa.crew@nwlarpers.org.

We cannot look into claims older than one game.

Check-In

A Crew Minion may join the priority staff line at Check-In, after first completing their work setting up building(s). 

Minioning: Three Strike System, Protocol & Offences

Process

Strikes are not given lightly. If a Crew Member notices unacceptable behavior, it will be discussed, then voted on between games by Crew Team. If the majority of the team agrees it's worth giving a Strike, then the offender will receive a Strike for the event that the behavior occurred. A player may only receive one Strike per game, but the penalty along with it may occasionally vary.

Efforts will be made to contact the offending party prior to the next event, but that is not always possible. All Crew Team members will be knowledgeable of the issue and will be able to inform the person in question at site if it comes to it.

Who does and does not have Strikes is not fully confidential; that information may be shared with other minions under exceptional circumstances.

Appeals may be made to Crew Team at any time for any level of Strikes to sa.crew@nwlarpers.org. Whether they are accepted or not depends entirely on the content of the appeal. We would be looking for proof that they have familiarized themselves with the Expectations of Crew Minions document, an understanding of what they did wrong, and what they will avoid doing in the future. Only one appeal may be submitted between events.

What happens when a strike is received:

1st Strike: They will be given a verbal warning and an explanation of what they did wrong from a Crew Head, as well as a chance to explain themselves. They will be asked to read the Minioning Guidelines before volunteering again. May be barred from Minioning for one game if the team agrees the offence was particularly egregious. Minioning XP will still be received for that game.

2nd Strike: They will be given an explanation of their violation and a chance to explain themselves. Then, they will be allowed to be a Probationary Minion only, and only if a member of Crew is willing/able to take them on. The probationary time period will last until the team has decided they may work more independently. No or reduced XP will be received for the event the infraction occurred, but they will be able to receive XP normally as a Probationary Minion.

3rd Strike: They will receive an explanation of their violation and then will be banned indefinitely from Minioning. They will most likely receive an infraction from the ORG. They will not receive Minioning XP from the event they received this strike. They will be asked to avoid the public buildings at site when set-up and teardown is happening. 

Probationary Minions

Those who receive two strikes will still be allowed to minion, but they must stay under the direct purview of a Crew member at all times during set-up and/or teardown. By default, a Crew Head will supervise, but if they are unavailable or another team member wishes to take the probate, it is permissible. The probate will be closely watched and will be required to work where the Crew Member wants them to. Not listening to the Crew Member in charge of them or continuing to fail the guidelines may result in loss of minioning XP for the event, extension of probation, and even possibly a third strike (i.e., full ban from Minioning).
