Where can this student take classes? (set in current school year)

When can this student take those classes? (periods - in Next Year)

• Mass add/change app coming soon

• Constrains auto-scheduler, NOT manual scheduling

• MTEC students must only have ½ day of periods at home school for auto scheduler to work. (MTEC manually schedules, so no need to add periods there.)

• Applies at a specific school

• Rising 6th and 9th grades done in next school year

Who can teach the classes and when?

• Resources

• Not automatic - must build manually, but saves over years

• Can be added in School Offered Courses (add teachers to course)

• Can be added in School Teachers (Add courses to teachers)

  • Sequence/priority to prioritize certain teachers to be assigned certain courses

  • Set sequence of periods, delete unavailable periods

If double period, will assign x non-overlapping groups

• Room size sets class capacity (in Buildings, Rooms & Lockers configuration area)

• No current way to limit number of classes to a given teacher - but request is in (is it working in Constraints?)

What classes does the student want/need to take? (course requests)

• Can be added over multiple years, at multiple schools

• Will be able to import requests from Excel lists

• ONLY used to create Scheduling Instances by auto-scheduler

Several ways to add course requests:

• Add with Ed. Plans (default courses to most/all students, then modify in student/PEP)

• Add in PEP Plan (future years) based on graduation & program requirements

• Add in student record (special cases)

  • Can specify which course an alternate can replace (not just any course)

  • Can specify administrative override (top priority to schedule)

• Add in mass entry applications

  • Good for specific groups of students

Get Course Request Reports

• Create an Instance in next year (maybe called "request counts")

• Run Automatically Build Class Schedule (SSCD.500A)

  • Select the instance for reports

  • Set Requests Required to 999 to prevent actually adding classes.

• Open selected instance and view the Summary and Detail Reports.

Scheduling Instances

• Built in next year

• Each instance is a draft schedule

• Create and copy instances

• AFTER promotion, the selected instance is made Permanent.

Manually working in an instance

• Can just start adding teachers & students in classes (like Term Scheduled Classes) or grids

  • To manually build teacher schedules, first assign all teachers a homeroom

  • This makes all teachers visible in teacher grid, and homerooms can be removed if needed.

• If classes run for 2 or 4 terms, change that in "# of Terms"

  • WVEIS will not show classes across multiple terms until the Scheduling Instance is coped to the Permanent schedule (in July)

  • We can (and should) check  for correct settings with Teacher Class Schedules report in the Detail Reports tab.

• Defaults to KEEP (not overwritten by auto scheduler)

• Can make changes to automatically built schedules also

Copy from one instance to another

• In Automatic Scheduling, select Copy Instance to Another Instance (DO NOT COPY TO PERMANENT SCHEDULE!)

• Pick the instance to copy from and to

• Do you want to overwrite (Y) or just add to the destination instance (leave blank)?

• All classes, students, etc. will be copied!

Automatically Create Class Schedule

• Select instance to change

• Set “Factor” at which point another class is added

• Set minimum number of requests to offer a class (999 if you do not want to add any classes)

• Tip: Mark classes to Keep and create a backup copy before running. 

• Check reports, tweak instance, etc.

Schedule students

• Adds students to schedule based on requests

• Must have run Automatically Create Clase Schedule first

Schedule Instance Reports

• Summary reports for information while adjusting an instance

• Detail reports for rosters, student schedules, etc.

  • If you are missing incoming students, try running the report for grade 5 (incoming 6th grade) or 8 (incoming 9th grade).
