School Offered Courses
Can copy & edit to add if needed
Mark “no current offerings” on any courses you wish to hide.
Affects auto-scheduling, NOT manual scheduling
Can be done in current year - not tied to a specific year.
Make ONE course available for each version (honors/virtual/credit recovery…)
Do not use old special ed codes (can have "unwritten" codes)
IEP has diagnosis & service code - does not need to be in schedule
If scheduled manually, no separate course code needed (ID by teacher/room)
Append notes (Honors, AP, Dual Credit, collaborative, etc.) in title/short description: not automatic
Terms & credits: Usually, 2 terms/1 credit in HS, 4 terms/no credits in MS
GPA adjustment settings if needed
Create whole school plan defaults to define what schools & grades current students can request (SSCH.320) - completed by Scott
Auto assign schools to students (SSCH.320A) - Re-run in NEXT year before using PEP
e.g. assign 9th grade to current 8th graders
Auto-assign all future grade levels to current students at high schools
Recommend checking Clear Existing Plan to correct based on new information
Manually add school & grade in Student School Info, Schools tab
e.g. Mountaineer Middle 8th grader going to MHS

Several ways to add course requests:
Add with Ed. Plans (default courses to most/all students, then modify in student/PEP)
Add in PEP Plan (future years) based on graduation & program requirements
Add in student record (special cases)
Can specify which course an alternate can replace (not just any course)
Can specify administrative override (top priority to schedule)
Add in mass entry applications
Good for specific groups of students
Get Course Request Reports
Create an Instance in next year (maybe called "request counts")
Run Automatically Build Class Schedule (SSCD.500A)
Select the instance for reports
Set Requests Required to 999 to prevent actually adding classes.
Open selected instance and view the Summary and Detail Reports.
Built in next year
Each instance is a draft schedule
Create and copy instances
AFTER promotion, the selected instance is made Permanent.

Can just start adding teachers & students in classes (like Term Scheduled Classes) or grids
To manually build teacher schedules, first assign all teachers a homeroom
This makes all teachers visible in teacher grid, and homerooms can be removed if needed.
If classes run for 2 or 4 terms, change that in "# of Terms"
WVEIS will not show classes across multiple terms until the Scheduling Instance is coped to the Permanent schedule (in July)
We can (and should) check for correct settings with Teacher Class Schedules report in the Detail Reports tab.
Defaults to KEEP (not overwritten by auto scheduler)

In Automatic Scheduling, select Copy Instance to Another Instance (DO NOT COPY TO PERMANENT SCHEDULE!)
Pick the instance to copy from and to
Do you want to overwrite (Y) or just add to the destination instance (leave blank)?
All classes, students, etc. will be copied!
Select instance to change
Set “Factor” at which point another class is added
Set minimum number of requests to offer a class (999 if you do not want to add any classes)
Tip: Mark classes to Keep and create a backup copy before running.
Check reports, tweak instance, etc.
Adds students to schedule based on requests
Must have run Automatically Create Clase Schedule first
Summary reports for information while adjusting an instance
Detail reports for rosters, student schedules, etc.
If you are missing incoming students, try running the report for grade 5 (incoming 6th grade) or 8 (incoming 9th grade).
