DO NOT send a student’s name and WVEIS ID in the same email, IIQ request, etc
We can find the student in WVEIS from minimal information
Email is NOT secure
Be careful with screenshots and printouts. Redact with Snipping Tool or a marker before sending.
“Sensitive" setting in Incident IQ helps but it is better not to include too much information.
Consider whether a student can be identified with just the information in the message. Think again about including, especially if they are not needed or can be looked up easily by the recipient:
Address
Phone
Gender
etc.
There are many options for sending files identifiable student information safely.
Instead...
Remove personally identifiable student information before sending
Can you send just a list of student ID's instead of a spreadsheet of student information?
Use the Windows Snipping Tool to redact information (see screen shot at the right)
Share using a secure portal: Many vendors provide a secure, password-protected upload directly to them. Use this instead of email if possible.
Share in OneDrive through Outlook email:
This ONLY allows direct recipients of your message to open the file.
Start a new email message, placing your cursor where you want the link to the file.
Drag & drop the file to the left hand side of the message window where it says "Upload to OneDrive..."
You should see a blue underlined link.
If instead the file "attaches" at the top of the message, it is NOT being shared securely.
You may click the link and "Recipents can view" to add more people or change sharing settings.
