When adding or changing information, start with Households and move to Guardians
Contact information is best updated in the Households tab
Guardian authorities are best updated in the Guardians tab
Get a snapshot of all of it with the Legal Sheet in Combined Reports (screen shot below)
In the new WVEIS, a Household connects adults and students who share a residence address with one optional mailing address. You can think of it as a file folder with the residence address on the label tab and sheets inside with information on the students and adults at that address.
Each Student and Parent/Guardian listed is linked to more information in WVEIS
People are linked here by Person ID (this is useful to get the correct guardians linked)
Changing information in a Household will change information on linked people (click Save to update linked people)
Each Student can be in more than one Household (like putting a copy of their information in multiple file folders).
If a Student is in more than one Household, switch betwen them using the dropdown in the green bar
TIP: Want to view all households without switching? Use the Legal Sheet option in Combined Reports
But why Households?
Households more accurately reflect student living situations with complicated relationships.
Old Family records often had parents who didn't live together but were listed together, creating confusion.
Links between Households, Students, and Guardians allow contact information to be kept up to date more accurately.
Any adult with legal rights & responsibility regarding the student(s) attached to them is a Guardian in WVEIS
It is usually best to add, remove, and edit Guardian contact information on the Households tab.
Guardians can also be viewed and their authorities edited in the Guardians tab
Resides with - this student resides at least some of the time with this parent/guardian
Online access - this parent/guardian will have access to view WVEIS information for this student (this feature is not yet active in WVEIS)
Release Authorization - this parent/guardian is allowed to pick the student up from school
Tags: Primary/Secondary/Tertiary guardian status
Exactly ONE guardian must be tagged as Primary for every student. This does NOT elevate that Guardian's rights above the others but specifies the FIRST Guardian to contact.
A comparison of student guardians on the Household Guardian tabs.
Option 1: Leave all boxes empty and Show Report. In the example screen shot, I have highlighted:
In green, Guardians who look correct.
In pink, duplicated names
May mean Households are duplicated and need to be removed.
Check Person ID's to keep the Guardian who is also in a Household
Be sure a kept Guardian has the Primary Tag
In yellow, blank Person ID's
These show Person ID mismatches
If these are duplicates, remove the one(s) you don't need.
You may need to use Person ID's to add the right person to where they belong.
Option 2: show only mismatched parents on household and guardian records. This will only show lines with blank Person ID's. Look up the student to see what needs to happen.
