Gmail Features
Use your gear wheel icon in your mail and select Settings. Under the General tab, go down to My picture. Select Change picture and browse to load your Spartan JPEG if you have not already done so.
Look at the rest of your General settings and decide if you would like to change any options offered. Switch to the themes setting and decide if you would like to change the theme. Changing the theme is optional. Keep in mind that this is your school mail and should be appropriate if a picture. If it utilizes colors, make sure your text is visible on your menus.
Do you know your Gmail shortcuts so you can work more efficiently and improve your productivity? Turn on your shortcuts under the General settings tab.
Organize and Create Labels -Required
Gmail uses the equivalent of folders on the left task menu but refers to them as Labels to let you save conversations for future reference. Here's how to create a label that you can add to any of your messages:
If your Gmail side panel hides you should pin it open by clicking on the 3 lines in the upper left corner.
On the left side of the page, click More at the bottom of your labels list. (If you don't see "More," grab the gray dividing line with your cursor and drag it down to show more labels.)
Click Create new label.
Type the name of your new label and click Create.
You can also create a new label for a message in your Inbox by selecting the box next to the message, clicking the Label button above your message list, and then clicking Create new.
Make a new label and call it IT so you can save emails/ conversations related to this class.
Also make a label called Daily Bulletins so you can keep important information regarding meetings and events.
Make other labels as needed if you have messages you want to save.
Note that you can assign a color to a label by selecting the dropdown next to the label name in the left menu. (click on the 3 dots on the right of each folder to bring this up)
Now you can drag messages (one of many ways to label emails) to these labels to save them but get them out of your inbox.
When viewing your Inbox, select the checkbox next to those messages, click the Labels button, and click the label you want. (Or check the boxes next to several labels and click Apply.)
When viewing a message, click the Labels button to add a label to the message. You can also click and drag a label from the left side, and drop it on the message.
When writing a new message, click More options in the bottom right corner of the compose window, click Label, and then select one of your labels.
Take a minute to clean up your inbox and sent items and delete or label messages as you see fit. Save all IT messages between your IT teachers and you as proof of communication and what was said.
Delete Spam and then empty the Trash. No mail can be in your inbox to receive full points for this part of the assignment. It is important for you to begin to check and deal with your email everyday from here on.
If you’ve followed this process, you should have been able to cut down on the volume of incoming emails. Now we’ll help you sort the emails you do care about.
This part is optional, but it can help if you receive a lot of email — particularly for different purposes. For example, you may have combined several Gmail accounts into one inbox and get all your personal and work emails in the same place.
Try creating filters that automatically sort your incoming email into specific labels. For example, you can have emails from your Bank automatically get a “Bank” label. You could have personal emails get a “Personal” label and work emails get a “Work” label. Receipts for purchased products could get a “Receipts” label. There’s no need to do this part manually — just set up Gmail so it will automatically sort your email into categories for you.
Color-code all these labels and you can have your email client automatically categorize your emails and show you at a glance where they’re from. To color-code a label in Gmail, click its color box in the left pane and select a new color.
Again this filter or automatic label part is not required.
Submission
In your IT shared/ MP folder, create a New/ Google Docs and name it "Your name Gmail Practice" (eg- Bill Smith Gmail Practice).
Take a screenshots of your GMail. The screenshot should show no mail in your inbox and your labels menu unhidden on the left hand side (use 3 lines in upper left corner).
