Forget location, location, location . . . if you don't know the location, it won't do you any good! Organize, organize, organize! Watch the File Management presentation to see what we are going to do and why we want to do it!
Normally we organize our desktop H: drive (network drive) on the desktop computers in school but we cannot do that with Chromebooks so we are going to just organize our Google Drive today.
Part 1: Google Drive Shared Class Folder
Create a folder in Google Drive for work for this class. Rename it Last Name, First Name/ IT (example: Smith, Bill/ IT) . . . the spelling and capitalization and spacing must model the sample.
Go to Share setting and share by putting in Mr. Spaeth (tspaeth@oceanschools.org) or Mr. Ryan's email (tryan@oceanschools.org) and make sure the share setting says he can edit.
Once it is created, open it and create 2 folders inside it. Name one of them MP1 and the other MP2 You do not need to "Share" these as they pick up the same share settings of the folder they are in.
Drag and drop anything for this class that is not in the Google Classroom folder into your most current MP1 folder. Future work for this class should go in the folder for the marking for that folder.
Did you create any documents in your drive for this class already? Move it to the new folder.
***Important: Do not change or delete anything in your "Classroom" folder on Google Drive; this folder links to Google Classroom and stores all documents found in your individual Google Classrooms.
Side note:
Did you know you can chat in any shared document with your fellow students?

Does your newly created IT folder structure look similar to the picture below? If not fix it. (Don't put my name, put yours!)
Part 2: Clean up the Clutter
Open Google Drive and get rid of files you do not need from OTIS by right clicking on the file and selecting Remove. If you want to keep some, Right click on the screen and select New folder . . . (this can also be done by selecting NEW/ Folder on the Left task menu). Name it OTIS; then drag the files you want to keep into that folder.
Be careful here. If you have a Digital Portfolio displaying some old projects deleting them might remove them from your web-site. I might just move all of my old files from Middle School into the OTIS folder and then go through them all later to delete the ones I no longer want.
Part 3: Create HS Subject Folders in Google Drive
DO NOT delete the folder CLASSROOM -- IT IS YOUR GOOGLE CLASSROOM FOLDER for all teachers that use Google Classroom.
Create other subject folders for classes you have work for in Google Drive and drop existing 9th Grade files in them that you have done since the school year started.
For example you might have work from your English class. Create a folder named English and then move work there.
Note: If you are looking for work in the Classroom folder you must make a copy of the file you are moving first and then move the copy or it may cause problems.
Create a OTHS folder and then a 9th Grade folder inside it and move all you 9th grade folders into it. So you would put English, Science, History, and your new IT folder in there.
Every new year add new folders to your OTHS folder to stay organized. IE: 10th Grade, 11th Grade, etc
Part 4: Find your Digital Portfolio
You most likely created a Digital Portfolio website in Middle school. Find it.
Use the search bar at the top. Try typing in portfolio or just selecting under type: Sites.
When you find it you can right click on it to show folder location.
Make sure it is in a folder called Your Name Digital Portfolio. If it is not, either rename the folder it is in or create that folder and move all related material into it.
If you cannot find your portfolio just create a new folder and website inside it for now.
Name your website the same as the folder it is in, Your Name Digital Portfolio.
Make sure the folder (with the site inside it) is moved directly into My Drive and not inside any other folders.
Click share on this folder, go to Get link box, Click change, and select Anyone with a link.
Make sure it is View Only on the right side of the box
If this is not done your website will not work.
Is everything on your website located in your Digital Portfolio folder?
If it is not your website will not work.
We will spend time fixing this in a future class.
Double check and make sure you shared you Digital Portfolio folder properly.
Your instructor has access to your "shared" IT folder.
In your IT shared/ MP? folder (current marking period), create a New/ Google Docs and name it "Your name File Mgt" (eg- Bill Smith File Mgt).
Take a screenshot of your Google Drive main folders. Paste it in the Google Doc. Attach this doc. to the Classroom assignment post. Make sure the screenshot shows no files outside of folders.
The screen shot should be a view of your folders in My Drive showing no extra extra files outside of folders (except the shared ones you cannot move). If you have a lot of folders take two screen-shots so that we can see the bottom having no extra files (except the shared ones you cannot move).
DO NOT JUST DELETE ALL YOUR FILES. ORGANIZE THEM.
We are giving you time to do this. Use it. You will need some of your old work later.
There are many ways to do a screenshot . . . follow one of these methods depending on the device/ app you are using.
