STUDENT/EMPLOYEE AUP POLICY (Summary)

All of the District’s automated systems, including electronic mail, voice mail, internet access and electronic storage systems are district property and are not confidential. The district has the right to access, review, copy, modify and delete any information transmitted through or stored in the system, including e-mail messages. Files containing personal information or business of an employee are treated no differently than the district’s files and the employee has no expectation of privacy in such materials.

You will be given access to the District's electronic communication systems after completing the requirements of The Arp Acceptable Use Policy. Through this system, you will be able to communicate with other schools, colleges, organizations and people around the world through the Internet and other electronic information systems/networks. You will have access to hundreds of databases, libraries and computer services all over the world. With this opportunity comes responsibility.

It is important that you read the District policy, administrative regulations and agreement form and ask questions if you need help in understanding them. Inappropriate system use will result in the loss of the privilege of using the educational and administrative tool and may also result in legal action.

Please note that the Internet is a network of many types of communication and information networks. It is possible that you may run across some material you might find objectionable. While the District has taken reasonable steps to restrict access to such material, it is not possible to absolutely prevent such access. It will be your responsibility to follow the rules for appropriate use.

RULES FOR APPROPRIATE USE

Your AUP account is to be used mainly for educational and administrative purposes, but some limited personal use is permitted. You will be held responsible at all times for the proper use of your account, and the District may suspend or revoke your access if you violate the rules. Remember that people who receive email from you with a school address might think your message represents the school's point of view. You must maintain ethical and non-threatening communication while using any of the district's online resources. Please refer to The Arp ISD Social Media Policy and The Arp ISD Publishing Policy.

INAPPROPRIATE USES

The Arp ISD network is subsidized by the Federal Government, holding us accountable to their laws and jurisdiction. Using the network or any district device for illegal purposes is not only against the AUP but against the law. These include but are not limited to:

  • Borrowing someone's account

  • Downloading or using copyrighted information without permission from the copyright holder

  • Posting messages or accessing materials that are abusive, obscene, sexually oriented, threatening, harassing, damaging to another's reputation or illegal.

  • Wasting school resources through improper use of the computer system

  • Gaining unauthorized access to restricted information or resources

CONSEQUENCES FOR INAPPROPRIATE USE

Inappropriate use may result in any of the following:

  • Suspension of access to the system

  • Revocation of the computer system account or

  • Other disciplinary or

  • Legal action, in accordance with the District policies and applicable laws,

  • In the case of faculty members, this may result in termination, suspension, or loss of certificate.

COMPUTERS OWNED BY THE DISTRICT

Whether being used in the district or in another location: Only authorized employees, authorized students or persons authorized by the administration may use district owned devices. Employee, you are not to allow unauthorized persons access to district computer equipment, whether by allowing use of the computer or by viewing the contents of the computer.

Only software approved by the district shall be loaded on the computer. Employees are responsible for saving all documents in their Google Drive. Any documents that are not properly saved are subject to loss, deletion, or removal. Report any damage of a district-owned device immediately to your teacher or supervisor.

Passwords must not be shared or accessed by others. No one may bring a flash or thumb drive into the district without permission from the Technology Director. No personal device may be placed on the network without applying for a BYOD agreement and it being signed by parent or guardian.

E-MAIL USAGE POLICY

Use of e-mail to engage in any communication in violation of district policies including transmission of defamatory, obscene, profane, offensive, or harassing messages or messages that disclose personal information without authorization is strictly prohibited.

Use caution in addressing messages to ensure that new messages are not inadvertently sent to the wrong party. This is critical because of the sensitive nature of the documents we often may be asked to e-mail. Always double check that the address you are using is correct and current. E-mail and other electronic communications systems can be useful tools permitting rapid and efficient communication with a large audience. This same strength can be a weakness as a hastily written note may be subject to misinterpretation in the future, when the context is not so clear. Please note that the district email, chat and communication records are open to public disclosure and/or court order.

Use of another user’s name/account to access e-mail or the Internet is considered forgery and may be prosecuted by law. Harassment, sexual "hook-ups", disrespectful verbiage, or spam will be tolerated. Cyber bullying will not be tolerated and is against the State of Texas penal code. It is every users responsibility to report unauthorized use of technology to the appropriate faculty member. If you know about it and do not report it, you are guilty of violating not only the AISD AUP, but also possibly state law.

INTERNET USAGE

NO ONE may access the district network without a signed AUP agreement. Internet resources may be used for educational (TEKS-based) purposes that effectively support the district’s goals and objectives. The district has the ability and reserves the right to review records of use of the World Wide Web. Every user in the district is logged and tracked. Your browsing histories cannot be hidden from the Technology Department. Downloads and graphics, even if deleted from the device can be recalled and examined if needed. The district will not be responsible for maintaining or payment of personal internet accounts.

You must respect all copyright and license agreements regarding software or publications access from the internet. Do NOT copy and paste from any resource without proper citation. The district will not condone violations of copyright laws and licenses, and you will be personally liable for any fines or sanctions caused by any license or copyright infringement.

AGREEMENT & SIGNATURE

I understand that my computer use is not private and that AISD will monitor my activity on any device used on the district network. I have read The AISD Acceptable Use Policy and agree to abide by its provisions. In consideration for the privilege of using the District’s electronic communications system and in consideration for having access to the public networks, I hereby release the District, it’s operators, and any institutions with which they are affiliated from any and all claims and damages of any nature arising from my use of or inability to use the system, including without limitation, the type of damages identified in the District policy and administrative regulations.
