Records are stored as Google Sheets (spreadsheets) and have the following sheets:
IDENTIFICATION
All records have this sheet which summarizes key identifying information you have entered in quizzes (name, supervisor, etc.)
QUIZ RESULTS
All records have this sheet which is a record of the quizzes you have submitted.
New quiz submissions are posted to this sheet within ~10-20 seconds and you can see here if your result is a PASS or FAIL.
DOCUMENTS REGISTER
All records have this sheet which is a record of the documents you have declared as read.
NODE SUMMARIES
All records have one or more of the following sheets to summarize results from various 'nodes':
CHEMISTRY - this node includes Chemistry Induction, Lab Skills and Haz Chem modules
CHEM_INSTRUMENTS - this node includes Instruments and Equipment training modules
LOWER_CAMPUS_STORE - this node includes Induction modules for the Lower Campus Store
Area Inductions and Module Competencies for each node are summarized on the appropriate sheet.
If you have not attempted a module in a node, then the Node Summary sheet may not be included in your record.
The figures below show examples of Node Summary sheets and how to read them.
Node Summary sheets have three sections:
INDUCTIONS REGISTER
COMPETENCY REGISTER - ACTIVE MODULES
COMPETENCY REGISTER - INACTIVE MODULES
The inductions register shows whether or not the user has completed the online requirements for various buildings, offices, labs or other areas for the node. If the user has not completed the required online modules, it will list the missing areas or modules that are required for each specific area. See the example Inductions Register section below and further explanation.
If the user has completed the online requirements for an area, the 'Competent' column will be 'YES' and highlighted in green. If not, it will be NO and highlighted in yellow.
If the user is missing an 'Area Prerequisite' (general building or lab requirements), then those will be listed in the 'Incomplete Area Prerequisites' column. If the user is missing specific, required online modules, those will be listed in the 'Incomplete Modules' column.
In the example above:
The user has completed all online requirements for F12 Building, F10 Building and E10 Building.
The user has NOT completed the requirements for E8 Building because they are missing module CI_1.1.3_v1. If they complete this module then they will be declared competent for the E8 Building area.
The user has NOT completed the requirements for F10 Labs, but they are only missing module CI_2.5_v2 (this module was probably introduced as a requirement sometime after the user initially completed their inductions).
The user has NOT completed the requirements for E10-314, E10-756, etc. because they have NOT completed the E10 Labs prerequisite. They have NOT completed the E10 Labs prerequisite because they are missing CI_2.1.2_v2 and CI_2.5_v2. If they complete these two modules, they will be declared competent for E10 Labs and E10-314, E10-756, etc.
The COMPETENCY REGISTER - ACTIVE MODULES section shows whether or not the user has been declared competent for specific modules that are currently active in the system. A user may be declared competent in two ways:
They have successfully completed the active module by declaring the documents read and passing the quiz.
They have successfully completed a previous module that is considered to be equivalent to the current, active module.
See the example section below and further explanation.
If a user has been declared competent for a module, it will be displayed as 'YES' in the Competent column and highlighted in green. If not, it will be 'NO' and highlighted in yellow.
The Competency Result column will show 'not attempted' if the user has not attempted the quiz for that module. If the use has attempted the module quiz, the column will display the result of the quiz and whether or not the required documents have been read.
The Prior Equivalent Competency column will show whether or not the user has been declared competent as a result of their competence in a previous, equivalent module.
In the example above:
The user is competent in Compulsory 1.1 even though they haven't attempted the current, active module CI_1.1_v2. They have been declared competent because they are competent in the previous equivalent module CI_1.1_v1.
The user is NOT competent in Compulsory 1.1.3 and they have not attempted the module.
The use is competent in Compulsory 2.4 (CI_2.4_v2) because they have successfully completed the current, active module by passing the quiz with 100% and declaring all the required documents as read.
The COMPETENCY REGISTER - INACTIVE MODULES section shows whether or not the user has been declared competent for specific modules that are inactive in the system - they have either been replaced by newer versions or are otherwise no longer in use. They can be read the same way as the active modules section above.
In the example above:
The user is competent in CI_1.1_v1, CI_1.2_v1, etc. because they passed the quizzes and declared the required documents as read.
The user is NOT competent in CI_2.1.2_v1 or CI_2.4_v1 having not attempted either of them.
As these modules are no longer active in the system, they can no longer be attempted and exist for record keeping only and for checking if they satisfy the requirements of current, active modules.
