Draft Amendment to the National Taiwan University Department of Chemistry AVIII HD 400 NMR Usage and Management Regulations - 2022
I. Explanation of Examination Rules
All users must pass an exam to gain operational and access permission before independently operating the instrument. Solo operation is not allowed until the exam is passed.
Those seeking operational permission must understand operational procedures and practice hands-on at least twice (under the guidance of a staff member or a certified user) before taking the exam.
Practice sessions are limited to 30 minutes per person per session (scheduled by staff or certified users).
Users Eligible for Training and Examination:
Researchers engaged in relevant studies in the department, with the consent of the advising professor.
Exam Schedule:
Applicants should coordinate exam times with the staff.
Exam Principles:
Staff is responsible for preparing test samples, primarily using known samples.
During the specified time, candidates must independently collect and process proton and carbon spectra (including DEPT series experiments) in the presence of staff.
Staff may suspend the exam based on the situation; those who fail the exam need to practice twice before reapplying.
Users are collectively responsible for repair costs in case of equipment damage due to incorrect operations during exams.
Advanced operations, such as variable temperature and 2D experiments, require separate discussion with staff for training and testing before usage. Failure to do so may result in shared repair costs in case of equipment damage.
II. Explanation of Open Rules
Users with operational permission must use their own card and account.
Users must fill in the start time in the usage log, sign out after usage, and provide usage details before leaving (failure to do so will result in sending relevant information to all associated professors).
Transferring cards, accounts, or passwords to others is strictly prohibited. First-time offenders will receive a warning and an email notification to the advising professor. Second-time offenders will have NMR usage suspended for one month.
Staff and responsible professors can randomly check usage.
Laboratories are collectively responsible for repair costs if users cause equipment damage by not following instructions.
A. Instrument Opening
Instrument opening is divided into half-hour laboratory rotation and long-term personal rotation during the day.
Friday mornings from 9:00 to 12:00 are reserved for instrument calibration and liquid nitrogen filling, and usage is temporarily suspended.
Other instruments' maintenance, repairs, or experiment testing times will be announced by staff.
B. Laboratory Rotation Time Reservation
Reservation of instrument usage is done by the laboratory, following the order listed in the NMR room. Users take turns signing up.
Each user can only sign up for one time slot. If the first user is absent, the second user takes the slot.
After the first user signs up, the next user on duty signs up, and this continues until there are no more sign-ups or the regular usage slots are filled.
The first user today will be the last user tomorrow, and the second user today will be the first user tomorrow.
If there are remaining time slots after the first round, they become open for all (no second round is scheduled).
Users who are not present on time forfeit their turn.
Representatives must come to reserve time slots at designated times in the afternoon (5:30 PM for room A525 on the 5th floor and 5:35 PM for room B662 on the 6th floor). In case of holidays, reservations are made the day before; for example, on weekends, reservations for Saturday, Sunday, and Monday are made on Friday evening.
Users who reserved a time slot must start using the instrument promptly at the reserved time. If more than two minutes late, they lose the priority usage right, and other users in line may use the instrument.
The scheduled time for laboratory rotation is in the early evening (starting at 5:30 PM for A525 and 5:35 PM for B662). If a user hasn't signed up, they can sign up before noon the next day; after 12 PM, no more sign-ups are allowed.
C. Personal Long-Term Rotation Reservation
AVIII HD has nighttime slots during weekdays (Monday to Sunday), open only to the Chemistry Department.
Rotation occurs once a week, with users choosing time slots on Monday evenings at 5:30 PM (A525). Users must specify research group, user's Chinese name, and laboratory phone number.
Each open week allows users to rotate from Tuesday to the following Monday.
Users can select only one time slot per week, and the chosen time slot, whether used or not, is considered claimed (as it is personal, not lab-based). (Adjustments may be made based on circumstances.)
Users in need of long-term slots must reserve personally or through a designated representative.
The order is determined by drawing lots or coordination.
Unfilled time slots are available on a first-come, first-served basis. In case of simultaneous arrivals, lots are drawn or coordinated. If someone intends to use the slot for an extended period, they should note it on the long-term usage chart.
If no need exists, users should not fill in arbitrarily. For long-term experiments, the filled time slot is considered claimed, and administrators will randomly check for actual usage. If no records are found, fees may be pursued depending on the situation (i.e., unit price × hours × n, where n > 1).
For AVIII HD nighttime and weekend long-term rotations, besides drawing lots on Monday evenings, if there are still vacant slots for the week, they can be drawn or coordinated on the previous day or evening. Blank slots for weekends (Saturday to Monday) can be decided on Fridays. There are no restrictions on those who made reservations the week before.
If a reserved user is unable to come for a long-time session, please make sure to cancel at the latest before the scheduled rotation.
Users with special needs can submit an emergency request (but must comply with the department's regulations), and assistance will be provided in arranging the schedule.
D. Service Categories
The instrument generally does not provide testing services but offers educational training and consultation.
Relevant educational training may be conducted annually based on requirements.
The NMR room will provide written guidelines for basic experiments, experiment steps, and precautions.
E. Precautions and Management Rules
Precautions:
The instrument room is equipped with two surveillance systems inside and has access control and surveillance systems outside. Passwords will be opened based on need and without affecting the security of the surveillance system.
USB drives are not allowed in the instrument room, and the installation of software on computers is strictly prohibited.
Each professor's laboratory uses an independent account and password. (Independent accounts are used to protect the files of individual laboratories.)
The instrument cannot start the NMR operation program without an account and password.
Before the previous account ends, the next account cannot execute experiments. Users must remember to log out of the account after the experiment.
In unavoidable situations, if administrators need to stop tasks being executed by an account, experiments' data may be at risk.
Long-term experimenters should pay attention to experiment settings and carefully calculate the required time for the experiment, facilitating timely or early completion the next day and logging out of the account.
Remember: When the experiment is finished, remember to complete the log-out action for the next account's usage. Do not log out if the experiment is not finished; otherwise, the experiment will be interrupted
Experiment data processing should be done on the Process PC or the laboratory's PC.
The NMR room does not provide a printer to save machine time and maintain cleanliness.
Eating is prohibited in the NMR room. Personal items must be taken away when leaving.
The instrument automatically tracks users' login times for billing purposes. Users must remember to log out of their accounts after experiments and should not lend their accounts or passwords to others, as it involves the rights of each laboratory.
List of Violations:
Intentional destruction of computers or networks.
Failure to notify staff when an NMR TUBE breaks inside the instrument probe. (Please use tubes of 507pp or higher and handle with care.)
Deliberately terminating experiments with original samples during someone else's time, replacing them with one's samples for testing, and then restoring the original samples. (In this case, during abnormal experiments, the user's account login events will be reviewed, and surveillance footage will be checked for comparison and resolution.)
Leading individuals from other departments or external institutions to operate NMR without permission.
Operating NMR without the accompaniment of staff or senior students (Ph.D. or Master's students) before obtaining a license or using another person's card.
Leaving without signing the log book.
Conducting experiments without adhering to management rules. (If there are violations, depending on the severity, they will be reported to the responsible NMR professor and the guiding professor of the user or sent to the department for disciplinary action, including suspension.)
F. File Management:
Each laboratory will use an independent account under the professor's name, and laboratory members will create their own subdirectories under the same account.
Each account will be allocated a portion of the hard drive with a size of 2G for file storage.
Each laboratory needs to manage files independently, deciding whether to keep, delete, or back up. However, after exceeding 2G, no more files can be stored or experiments conducted.
If administrators need to clear files for all members of the same laboratory under a specific account, they must obtain a consent letter from the advising professor to assist in deleting all files under that account.
It is recommended to name files using the format "Name-YYYYMMDD-SampleNumber" as much as possible. This format is very helpful for finding files in the future.

The order of the schedule is based on the alphabetical order of the surnames of the responsible professors for each laboratory.
The daytime schedule must be rotated every day (only those who arrive on time have the possibility to sign up for a time slot).
If a laboratory is not on the daytime schedule but has a need, it can submit an application.

一、考試規則說明
1. 所有使用者均需通過考試取得操作與門禁許可方可獨立操作,在未通過考試前不得獨自操作儀器。
2. 欲取得操作許可者在參加考試前需確實了解操作方法與步驟,且上機實際練習兩次以上(需有管理人員或已取得認證者在現場指導)
3. 練習時間每人每次以30分鐘(由管理人員或有操作許可者預約時段)為原則。
可參與訓練及考試之使用人員 :
1. 本系從事相關研究者,經指導教授同意者。
考試時間 :
考生請與管理人員約定考試時間。
考試原則 :
1. 管理人員負責準備測試樣品,原則上以已知樣品為主。
2. 考生須於指定時間內,於管理人員在場時,自行完成氫譜與碳譜(含DEPT系列實驗)數據之採集與處理。
3. 管理人員得視情況中止考試,未通過考試者需再上機練習二次始得申請參加考試。
4. 考試過程中若不正確之操作而導致設備損壞時,由該員所屬之實驗室共同分擔維修費用。
5. 其它進階實驗的操作,如變溫與2D實驗等,須另與管理人員討論並接受相關訓練與測驗,始得操作。如否,設備損壞時將由該員
所屬之實驗室共同分擔維修費用。
二、開放規則說明
1. 具操作許可之使用者需使用自己之門卡與帳號
2. 使用者須先在使用記錄簿上填寫起始使用時間,使用完畢後登錄簽退時間,填寫使用狀況後始得離去(沒有填寫者,將以畫面傳送
所有相關老師認領)
3. 嚴禁將門卡與帳號及密碼交予他人使用,如經發現,借卡或被借卡者,首次先予以警告並E-Mail通知指導教授,第二次將暫停使用NMR一個月
4. 管理人員及負責老師得隨時抽查使用狀況
5. 當使用者未照指示操作而導致設備損壞時,該人員所屬之實驗室
需共同分擔維修費用。
A. 儀器開放
1. 儀器開放分為日間1/2小時實驗室輪簽及長時間個人輪簽
2. 星期二上午9:30 至12:00為預定儀器校正與液氮充填時段,暫停開放 使用
3. 其它儀器維護及修理或實驗測試所需時間,管理人員得公佈儀器暫停使用
B. 實驗室輪簽時間預約
1. 儀器之預約使用時段,以實驗室為單位,按照NMR室所列之順序表由到場之各實驗室值簽人員輪流簽定。
2. 一次只可簽一個時段,若第一順位未到則由第二順位遞補簽定。
3. 第一順位簽完後由輪值表下一順位簽,如此輪流到無人要簽或一般使用時段簽完為止。
4. 今天的第一順位者為明天最後順位,今天第二順位者為明天第一順位。
5. 若第一輪簽完尚有時段,則完全開放 (沒有開放第二輪)
6. 沒有準時到場者,當棄權論。
7. 每日下午於指定時間(五樓A525室為5:30PM及六樓B662室為5:35PM) 派代表來預約輪簽時段。遇假日則以假日前一天預約為原則, 例如週六,日為週休日則週五晚上可以預約週六、週日及週一之使用時段。
8. 預約時段者應依預約時間準時上機操作,逾時二分鐘,即喪失該時段之優先使用權,並由現場等候者依序上機。
9. 實驗室輪簽預定時間為前一天傍晚 (5:30PM(A525), 5:35PM(B662) 開始, 若沒有簽到的,補簽時間為隔天中午12點之前,過了
12點就不能補簽。
C. 個人長時間輪簽預約
1) AVIII HD週間(星期一至星期日)有夜間時段。長時間時段,僅對化學系開放。
2) 每星期輪簽一次,於星期一傍晚5:30PM(A525)由使用者自行劃定時段。輪簽者需要註明研究群、使用者之中文姓名以及實驗室電話號碼。
3) 每一次開放一星期之時段供輪簽,自星期二開始到下星期一。
4) 每一使用者週間時段一次只能選一時段,填寫之時段等於認領時段時間及費用(不論有沒有來測)。(因為是以使用者個人非以實驗室,故暫時開放輪簽一次,將視情況調整。)
5) 有需要長時間之使用者需要本人或指定代表來預約。
6) 填寫順序由擲籤或協調決定
7) 沒有被填滿之時段,使用者先到先測。同時到者,由擲籤或協調決定。惟來測者若屬於長時間使用請在長時間使用表註記。
8) 沒有需要者,請勿任意填寫。長時間實驗之填寫時段等於認領那個時段時間及費用,管理員會用計時程式抽查有無實際使用,若無 實際記錄,將視情況追討其費用(即單價x時數x n)。n >1
9) AVIII HD晚間及週末長時間輪簽除在星期一傍晚輪簽時抽簽劃定外,若當週尚有空白時段;可在前一天或當天傍晚輪簽時抽簽劃定,週末部份之空白時段(星期六至星期一)可在星期五劃定。前一天或當天傍晚預約者沒有限制是否當週預約過。
10) 預約者無法前來使用長時間時段者,請務必最晚於輪簽前取消。
11) 有特殊需要的可提出緊急申請(但需符合系之規定),會協助安排
D. 服務類別
1. 儀器原則上不提供代測服務,但是提供教育訓練及諮詢服務。
2.每學年將視情況需要開辦相關教育訓練。
3. NMR室將提供書面資料之基本實驗之實驗步驟指引及注意事項。
E. 注意事項及管理規則
注意事項
1. 儀器室內配有二套監視系統,儀器室外有門禁系統及監視系統,將視需要及不影響監視系統之安全之情況下開放密碼。
2. 儀器室內不得使用隨身碟,且不得任意於電腦安裝軟體。
3. 各教授實驗室使用一獨立帳號及密碼。 (獨立帳號是為了保護個別實驗室之檔案)
4. 此儀器沒有帳號密碼無法啟動NMR作業程式。
5. 此儀器在前帳號未結束前,下個帳號無法執行實驗。使用者在實驗 結束後一定要記得登出帳號。
6. 儀器若在不得已情況下需要由管理人員停止帳號正在執行之任務,因而造成實驗數據可能無法保住。
7. 長時間實驗者請注意實驗之設定方式和仔細核算實驗所須時間,方便隔日自己準時或提早前來結束實驗並登出帳號。
記住:實驗結束時 一定要完成登出動作,方便下一個帳號使用。實驗尚未結束時,就不要登出,否則實驗將中止。
8. 實驗數據之處理在Process PC 或實驗室之PC上處理
9. NMR室不提供印表機,以節省佔機時間及室內整潔。
10. 不得在NMR室飲食,個人之物品請務必於離開時一併帶走。
11. 此儀器會自動統計使用者登入之佔機時間,為儀器操作收費之標準。使用者在實驗結束後一定要記得登出帳號,亦請勿任意
出借帳號或密碼予他人;因此事攸關各實驗室之權益。
違規行為表列
1. 蓄意破壞電腦或網路者。
2. NMR TUBE破裂於儀器探頭內而未通知管理人員者。
(請使用 507pp 以上之 tube 並謹慎使用)
3. 在不屬於自己的時段,刻意終止原樣品之實驗進行,置入自己之樣品取代原樣品,測試後再置入原樣品者。
(此情況將於實驗異常時,將電腦帳號登入事件檢視時程及調閱監視錄影帶作比對處置)
4. 在未經同意前,自行帶領外校系、或校外人士操作使用NMR者。
5. 在未取得執照前,沒有管理人員或學長之(博班或碩班)陪同操作,或借他人卡來使用者。
6. 未簽log book而離去者。
7. 不遵守管理規則隨意進行實驗者。
(若有違規行為,將視情節之輕重呈送NMR負責教授及該員所屬指導
教授或送系所裁示懲處方式-包含停權處分)。
F. 檔案管理
1. 各實驗室將以老師名字使用獨立帳號,實驗室成員在同一帳號下用自己之子目錄來建檔。
2. 各帳號將分配到 2G 大小之部分硬碟供儲存檔案。
3. 各實驗室需要自行管理檔案,或保留或刪除或另行備份,由實驗室檔案使用者自行決定,惟超過2G後就無法再儲存任何檔案
或進行任何實驗。
4. 若須管理人員清除所屬帳號同一實驗室所有成員之檔案,須取得指導教授同意書,將協助全面刪除此帳號之所有檔案。
5. 建議檔案命名方式,儘量以「姓名-年年月月日日-樣號」之型式儲存檔案,此格式對於日後尋找檔案非常有助益。
