CBIA Meeting minutes - September 1st, 2013

Agenda

Welcome - Paul O'Donnell

A thank you was given to the many volunteers and contributors to the CBIA

· 2013 directory - whole team effort Jen Feeney, Pam Flemming, Andrea Shanley, Sandy Marcetti, Rob Jahn, Russ and Bev Gleason, Linda Truax, Sue O'Hara

· beach cleaning - 7 boys worked in 2 crews a couple of hours each week and cleaned barnacles off the raft

· Raymond hall renovations; Howie O'Hara and his brother, Christian Mccullough, Paul O'Hara, Sue O'Hara

· Raft and Lines: Bob Nichols with some volunteer helpers

· Races and ice cream; Robin Cushing and Bob Shanley

· CBIA T-shirts and hats - Jackie LeClair and Linda Truax

· Triangle American Flag - Gus Marchetti

· All the ladies who hosted coffee hours

· Family Cookout: Bob and Carol Nichols and a team of volunteers

July 4th old business recap - Rob Jahn

o Street sigh bulletin boards. budget of $1000 to add a box to existing speed limit and beach entrance signs

o Beach raking - kids over 13 to rake up to 6 hours per week and put at top end of beach. 2 crews of 3 kids. Budget of $1800. volunteer for scraping barnacles

· treasurer report

· Raymond hall update. Renovations for phase 1 complete, but came in over budget due to extra work required to address interior walls and window trim. Approved to paint ceiling and to get quotes to complete re-doing exterior trim and replace stairs

· raft update - damage from winter storm

· Directory update and discussion on costs to charge. Agreed to $20 regardless of membership and would print 100 copies.

Treasure report - Sue O'Hara

Sue presented where money coming from, where going. want to be in secure position for capital expenses such as storm damage to raft and capital improvements such as to Raymond hall. Here is a summary, but detailed report provided

· $10,529.06 start balance

· Dues + tshirts + directory + cooler sales: $ 13,637

· expenses: $ 10,916.75

· end balance: $ 13,249.31

· CD balance: $17,309.79

· dues collected to date: 127 paid members. Names will be posted to bulletin boards and to website.

New business - Paul O'Donnell

· Raymond hall new phases

o July meeting approved vote to paint ceiling, but not completed yet. The plan is to paint after summer. Also approved to get quotes for redo entry and re-side the house from Christian. This to include siding and trim, removal of all doors, window trim, vertical slates on from of building. Intention is to look like other cottages. The entry would entail demo existing stairs and make single stair versus two. Stairs would need new footings.

o Quote was $6510.00 total. ($3660 siding, . $2850 for stairs) no profit @ cost for the association. to be completed by July 4th, 2014. Christian would do the labor at no cost.

o Motion passed to do both stairs and siding projects, and to move $3000 from capital fund to expense fund as to have a cushion in the checking account in case there are any cost overruns.

· communication discussion

o Discussion no how to get better a head count for cookout. This year was close to 200 people. Street captains were suggestion

o Discussion of whether there should be CBIA Facebook page. A pilot may be tried for 2014

o reminder that the CBIA cookout is now always the first SAT in August

Committee updates

· Directory committee

o The 2013 directories are now complete and ready for purchase. There are 40 copied left and price is $20

· swim lines

o Discussion on how the union street side does not extend all the way to beach and how rafts are coming in. Bob explained how lines can't go all the way to beach due to tides. Bob will see for next year if he can move lines a bit and add some chaffing protection to lines if they get near rocks.

o Bob indicated that the raft needs to move back more away from beach next year

o A motion was passed to research and purchase "no water craft in swim area" signs to the swim lines if costs are under $500.

· Mailbox committee

o Sue Fine and Andrea Shanley to lead the committee. Sue visited post office and they said boxes should be at a standard height. Can do cluster boxes, but this needs to be in good places and they lock…may be available by post office for no cost. Just need to notify them of any changes so that mail sorting system can be adjusted. However, can't just alter since they are individual personal property.

o Discussion on appearance and possible solution to mailboxes on Angelica. Issue stems from danger to pulling out onto Angelica when all you see is mailboxes and not cars and that many boxes are defunct and rusty. Most of boxes have no numbers, names or are wrong height.

o There is desire to bring uniformity and cohesive neighborhood if things are standardized. Bay and Island streets are good example of what want. Build a standard platform and let people put number on in.

o Suggestion was to use street captains to solicit feedback such as: do you receive mailing?, have a mailbox?, open to standard format?

· Other

o A motion was passed to produce laminated copies of CBIA rules and guidelines to be available to residents and renters. As part of this information to be added regarding trash and recycling. Street captains can pass it out.

· Office elections

o A motion was passed to renew Paul O'Donnell as president, Sue O'Hara as treasurer, and Rob Jahn as secretary

o Barbara Hurley is stepping out as Vice President

o A motion was passed to elect as New Vice President. Deb Lezama.
