Welcome - Paul O'Donnell

· Moment of Silence for Mrs. Stone – Cedarcrest Ave.

Treasure report - Sue O'Hara

Sue presented where money coming from, where going. Here is the treasurer summary, but detailed report provided in the meeting and posted to web site.

· Start balance - $5,049.22

· Monies Received from Dues + directory: $ 9412.50

· Expenses: $ 6,247.63

· End balance: $ 8214.09

· CD balance: $20,372.14

There was some discussion about the expenses and dues. These were the key points:

· Biggest expense items are $2800 are taxes, $3100 insurance, Cookout $1200 beach cleanup $1800

· There are about 200 households. 111 paid this year. Norm has been 125-130 range. Nothing in peoples deed to require it.

· Raised need help to get people to pay their dues. Some suggestions:

o In newsletter have a “DID YOU KNOW…?” or “Dues paying members enjoy……“ section that explains main expense and work like: taxes, licensing, water testing, raft and swim lanes.

o Use of Street captain to remind their street

o Beach entrance sign

o Have a single report for costs of the year

o Have Due Date for when dues are requested

· Board agreed that the June 1st 2016 letter will include a nice phrasing for how all we are barely meeting expenses, explain how monies are uses, and make the “ask” for dues being due by certain date.

Old Business – Paul O’Donnell

1) A thank you was given to the many volunteers and contributors to the CBIA

o Raymond hall kids nights during the week: Patrick Briand

o Ladies Socials – Held 5 this summer: Mary O'Keefe and Bev Gleason coordinators and all the party hosts

o CBIA Family Cookout – Bob/Carol Nichols and many volunteers

o Raymond hall renovations:

§ Powerwash and Paint back deck – Bill O’Keefe, Russ Gleason, Matt Fleming, Conner jahn

o Prepare swim lines and raft: Bob Nichols & Howie O’Hara

o Remove the overgrowth behind Raymond Hall: Conner Jahn and Sam Fleming

o Beach seaweed raking: Conner and Jack Jahn, Matt and Sam Fleming

o Coordinating town paperwork to ensure that our beach remains is semi private. Sue O’Hara Registered with the state and comes with certain responsibilities such as:

§ Water testing weekly each Monday. Results Tuesday.

§ Signage

§ Safety

2) Drainage Pipe update

A week following the July meeting, the town’s Department of Public Works (DPW) was contacted and they came and repaired the hole. The CBIA website has pictures. The DPW also put on their long term list a replacement of the pipe, but timeframe is not known.

New business - Paul O'Donnell

1) Key dates for summer 2016

· Taking of swim lines – Sept 8th

· Taking the raft out – Sept 9th

2) Paint Ceilings Reconsideration Vote

In 2014, a vote was passed to paint ceiling but the work was not done yet. In the July 2015 meeting, it was agreed to reconsider this in the September 2015 meeting.

A motion for re-consideration of the 2014 vote by someone who voted “YES” in original 2014 vote and is paying member to vote was raised and passed.

Following this motion, a motion was raised to paint ceiling but not rafters. Discussion on this motion included:

· Names back to 1955 on ceiling

· Many names of people gone and history is really important so want to preserve.

· Decorating is on walls and outside is beautiful. Work done was to fix foundation, roof, and electrical not safe and brought up to code to last a while.

· Have to paint and the repaint ceiling in future years is unnecessary expense.

The first motion was revised to be “do not paint ceilings or rafters” and was passed in unanimous vote.

3) July Beach Races

A motion to have 2016 July races after meeting and not on the actual holiday day was Passed.

4) Discussion on cookout.

Discussion was around 2 topics related to introducing back tickets for the cookout. Some keys points:

· Ticket would automatically be for people that have paid dues and provide some benefit to the dues they pay, but do not want to create “exclusivity” feel

· Cookout tickets could help with planning. But the current use of web “Evite” is effective with about 80% respond rate.

· Consider having to pay for more tickets for guests

· Consider cost to give renters have opportunity to participate

· Consider a “donations” Jar

· Communicate any new policy for entrance for June newsletter

A motion passed (24 for/13 against) to have the Board define and communicate a cookout ticket policy in the June 2016 letter. But the understanding is that an option is to not implement ticketing policy.

5) Art Show

The Art show is planned for the second Saturday in August for 2016. Art to be 2D art like paintings and photography. Not arts & crafts or glass. If you are interested to showcase your art, please contact Janet Smith-Flaherty.

6) Respect for neighbors

Several people raised this topics that are often raised yearly.

· Noise on Beach

· Dogs on beach except before 9pm and after 6pm

· Fires on beach require permit and call Fire Department in advance. Need to be in container not on sand. Leave nothing

· Rules still apply to Little Beach

Board agreed that the June 1st 2016 letter will include a reminder of the rules

7) CBIA Board

A motion to keep the existing board passed.
