*Session recording will occur through the use of the Zoom video conferencing platform. Students should follow instructions presented at the Practicum Orientation on the use of Zoom and telehealth counseling services. All sessions provided through Zoom must be recorded to the cloud. Sharing of Zoom recordings is PROHIBITED without the direct, documented request of your practicum instructor. Practicum counselors are required to follow all instructions provided by the practicum instructor on the sharing and deletion of recordings, and only share with those specifically stipulated by their practicum instructors.*
The Community Counseling Clinic (CCC) records all counseling sessions for the purpose of training, supervision, and quality assurance. CCC counselors are responsible for ensuring that all sessions are being recorded. The following policies govern the recording and viewing of sessions in the CCC:
CCC counselors must inform their clients that sessions are being observed and recorded, and that recording is a condition of continued services with the Community Counseling Clinic.
Notice of observations should include that sessions may be viewed by peer supervisor, faculty supervisor, Clinic Director, and colleagues in the counselor's practicum or internship section.
CCC counselors must adhere to all policies articulated on the Technology Use Agreement pertaining to the security and protection of SD cards (or Zoom Recordings).
CCC counselors must only view the recordings of counseling session in the clinic's Session Viewing Room.
CCC counselors in practicum must delete their sessions immediately after viewing them, unless otherwise instructed by the group supervision instructor or Clinic Director.
While using Zoom Recording, counselors should be aware ALL recordings are BACKED UP TO KALTURA (https://www.pdx.edu/technology/kaltura-mediaspace). These must be deleted as soon as it is determined that the recording in no longer needed for review, instruction or consultation purposes by the Counselor.
CCC counselors in internship must adhere to all policies and procedures governing the security and protection of SD cards, as well as instructions regarding deletion of videos as provided by the Clinic Director.
CCC counselors must not use recordings of counseling sessions for any purposes other than viewing or clinical presentations in practicum or internship.Â
Recordings of client counseling sessions may only be viewed by the counselor, peer supervisor, Practicum Instructor, the Clinic Director, and practicum course colleagues, when appropriate.
Unless instructed otherwise by the Clinic Director and faculty instructor, all SD cards and USB drives will be cleared of client-related files and recordings one week after the end of each quarter by the Clinic Director.
The removal of the SD cards from the Community Counseling Clinic premises or the loss of an SD card will result in a "Fail" grade for Practicum and possible removal from the Department of Counselor Education.
