Attendance monitoring and support 

Attendance Process

Late to school

·         Student signs in on Compass Kiosk and is marked late.

·         Classroom teacher to contact home if a pattern arises.  Eg: 3 or more times

Late to class

·         Roll must be marked in the first 10 minutes of class.

·         Student arrives late and teacher needs to update roll in Compass.

·         3rd time late, Classroom Teacher holds a detention with the student to make up the time and learning that has been missed.

·         LTD to be logged on Compass on Poor Attendance Observation template.

Truancy/Regular missing of a subject Eg: maths

·         Classroom Teacher alerts YLC to pattern after 3 instances

·         Classroom teacher to call home and note on Compass in the Poor Attendance Observation template with the outcome of the parent contact.

·         YLC to track and contact home if the pattern continues.

·         AO (Attendance Officer – Mandy Smith) to generate Heatmap fortnightly (PDF) from Poor Attendance Observation template and send to YLC team and a copy to House Leaders.

Truancy from a specific session time eg: Period 5

·         AO (Attendance Officer) checks attendance for period 1 – 3 daily.

o   Clarification sought from classroom teacher related to any inconsistencies via email.

o   Roll updated by teacher. 

·         If found truant, alert sent via email from AO to YLC team and copying in House Leaders.

o   YLC to contact home and log on Attendance Phone Calls - Support template

o   LTD issued by YLC

o   3rd offense, HL to set up SSG to devise an attendance plan.

o   SSG held and documented on SSG/At Risk Template with minutes and attendance plan attached.

·         Once per fortnight an NP-U export (CSV file) is sent to YLC team copying in HL team.

o   Export file sent Friday for the action the following Monday.

Authorised absence/medical certificate

·         Students who are absent that have supplied a medical certificate are updated by AO in Poor Attendance Observation Template.

·         VCE or VM students bring their medical certificate to their teacher for initialling to organise a redemption time slot.  Students then give the certificate to AO and Compass is updated and certificate is stored in student file in the General Office.

Unexplained absence +3 days

·         AO to identify student and make phone calls home to parents

·         Note call on Compass in Attendance Phone Calls - Support template

Non Attenders – explained absence

·         HLs to export NP – Explained data during POR meeting time.

·         House Leaders to contact home and discuss the attendance concerns if a pattern arises.  Set Attendance SSG and invite NLI and the YLC team to the meeting.

o   Document phone call on Compass with the Attendance Phone Calls - Support template.

o   SSG held and documented on SSG/At Risk Template with minutes and attendance plan attached. (Complete Attendance Plan while at the SSG.)

o   Set monthly tracking/progress meetings to follow the attendance.

o   NLI to complete Learning Support Framework template after SSG and attendance plan has been devised.

 

Non Attenders – unexplained absence 10+ days

·         HLs to export NP – Unexplained data during POR meeting time.

·         HL to follow up with MTG teacher

·         MTG teacher to have conversation with student regarding their attendance and log on Compass with Poor Attendance Observation template

·         MTG teacher to contact home and discuss the attendance concerns if a pattern continues. 

o   Document phone call on Compass with the Attendance Phone Calls - support template.

o   Set monthly tracking/progress meetings/conversations to follow the attendance.

 

Non Attenders – unexplained absence 20+ days

·         HL Team to track 20+ days absent unexplained.

·         HL or AP to make contact with parents regarding attendance.

o   Organise attendance SSG and complete attendance plan.

o   Document on Compass using Attendance Intervention template.

·         AP to refer to Region and/or Navigator or other offsite providers.
