Process for entering leave on EduPay

It is a DET requirement that staff enter their own leave on eduPay and as such, it is essential that we have a simple and consistent process to support.

 

Key Information:

·         A normal week for full time teaching and Education Support staff = 38 hours

·         A full day of duty = 7.6 hours

·         Full time Education Support staff may have a variety of start and finish times 

·         Please note if a partial day either Morning/Evening your day commences for when you are meant to be at work and ends when you are meant to leave work – it is not the start of  period 1 if morning or the end of period 5 end of the day.

·         Personal Leave information should be entered into eduPay within 5 working days of the absence (see FAQs below)

If leave is not entered in eduPay, HC will enter the Personal Leave as ‘no certificate’

 

A Change in Thinking:

You must enter your day in ‘hours’ not ‘periods’!

EduPay FAQs

When do I need to enter my Personal Leave?

-        Your Personal Leave (sick or other) needs to be entered within 5 working days of you returning to work.

-        Blanche Lomagno and Donna Galvin will be checking leave on a weekly basis.

-        Unfortunately, due to Audit requirements If leave remains un-entered after 5 working days, it will be considered Personal Leave with no certificate and will be manually entered by Business Administration staff. 

What do I do with my Medical Certificates upon my return to work?

All certificates can be attached to your leave when you enter it into edupay.

 

Please note: If you do not attached a certificate due to audit requirements – if you have entered leave with a certificate, but we do not receive a copy of the certificate within five working days, we will manually adjust your leave entry to ‘leave without a certificate’ or if there are no “no-certificate credits” we will adjust to ‘sick leave no credits’

 

 

 

 

 

I am ill and absent for a lengthy period – what do I do about entering my leave?

You are able to attach a scanned medical certificate when you enter your sick leave. If you are unable to do this, the medical certificates should be mailed or scanned to school so that your leave can be approved based on medical certificates provided by you to HC. If you are unable to do this please take a photo of the medical certificate and send to Donna Galvin’s mobile (0423 028 477)

Personal Leave – 5 days per year no certificate (these days sit in your absence balance)

 

Please be aware if you do not use the 5 days of leave with no certificate this automatically sits with your normal sick leave days accumulation – you do not lose these days.

 

Also be aware if you have no sick leave credits you also do not have 5 days per year with no certificate available.
