The Delta School District believes that the most important element when considering the adoption of any online tool is the possible implications on student privacy and safety. The use of Google Workspace for Education with our students has been carefully reviewed by district management.
While Google Apps for Education provides staff and students with access to the same tools as a ‘public’ Google account, there are important differences between the two. Delta School District provides access to and manages Google Apps for Education accounts for staff and students in the district. These applications are different from public Google applications (such as Gmail) in that they are managed by the district, do not present users with advertising or scan student or staff information for advertising, and allow for more strict filtering and application control by Delta School District system administrators.
The personal information required for creating Google Apps for Education accounts, and any digital files created or uploaded into the platform are located on Google servers that reside outside of Canada, and are therefore subject to the Freedom of Information and Protection of Privacy Act (FIPPA).
Before a Delta student can be provisioned a Google Workspace for Education account, a consent, digital, or signed must be provided by the student's parent or guardian. No personal account information is shared with Google for any students where consent has not been obtained.
The Google Workspace for Education platform allows the Delta School District to set up, manage and delete all our own staff and student accounts. To create a Delta Google Workspace for Education account, the following pieces of information are stored on Google’s servers: first name, last name, Delta school and account password.
Account & Data Deletion
Student accounts remain active and accessible by users for 6 weeks past the date a student leaves (un-enrolled or graduates) the Delta School District, allowing time for a student to access and save any files before they are deleted. Students in their graduating year will be sent email reminders regarding access and the process to transfer content.
Staff accounts remain active and accessible by users for 7 days past the date of resignation, retirement, dismissal or layoff from the Delta School District, allowing time for a staff to access and save any files before they are deleted.
