If a discrepancy has been identified by the parent or local school pertaining to incorrect responses provided on the original Home Language Survey, the following steps should be taken to address the issue:
Verify the Information: The school should carefully review and verify the information provided by the parent regarding the HLS discrepancies.
Contact the ESOL Coordinator: If it is determined that there are indeed inaccuracies in the HLS responses, the school should promptly contact ESOL District Staff to report the situation.
Conduct a Review: The ESOL Coordinator notifies the Director and conducts a review. If the request is deemed reasonable and accurate, the parent will be offered the opportunity to complete a Home Language Survey Addendum form. This addendum form will require the parent's signature, and it should be notarized to confirm its authenticity. Atlanta Public Schools will continue to lead with due diligence of securing the original Home Language Survey.
Language Accessibility: Both the original HLS and the HLS Addendum should be available in a language that parents have indicated they understand, ensuring accessibility for all parties involved.
Submission to GaDOE: Once the HLS Addendum is completed, signed, notarized, and deemed accurate by the ESOL Director, it will be documented for historical reference. APS will keep all documentation in the student’s file and report to the GaDOE via the secure Portal messaging system by June 30th to rectify any resulting state reporting errors.
Update in Infinite Campus: District ESOL Personnel will code the student's HLS status as "incorrect (I)" in the Infinite Campus system and state reporting, reflecting the corrected information. (First year is EL-I, and then following year is “Not EL.”)
Note: In cases where the primary or home language other than English was inaccurately reported by a staff member, and it is confirmed that the student's primary language is English, the school should also contact the ESOL Coordinator to rectify the situation. This ensures that accurate language information is maintained in the student's records.
