Uploading SKUs at a bulk level can be pretty tricky, it is important to take your time with these steps as the smallest incorrect adjustment can jeopardise the bulk upload or cause inaccurate information to be fed to other systems.
If the item is an Aircon Unit; bed; sink/tap set or a sauna/gym product, please double-check with the supplier to see if it comes in more than one box. If it does, they need to submit it as a KitBOM!
If the item doesn't have a cost price it must not be sent to content under any circumstance.
We need RRPs for all items on the submission.
Products can no longer be loaded without an EAN or Dimensions (weight, height, length and depth) If you receive pushback from the requester, speak with your TL/Manager.
Ensure you inform content accurately of any embargos on the SKU - we cannot publish an item before the supplier permits.
Oliveri SKUs cannot be loaded without their numerical Vendor Item Number. If it is blank on the submission, request it from them and ensure it's not duplicated.
All of the above points are to be checked before creating items - even if the submission is approved by the PRM.
Confirm with the PRM what vendor number the SKUs should be loaded under - this is extremely important for rebates.
Check that the skus were uploading don't already exist, you need to search the vendor item number and No in NAV. For items that have characters unacceptable in the SKU field, check for them replaced with hyphens and removed. if any exist, removed them from the upload.
IMPORTANT: If the item is an Aircon Unit or a bed or a sink/tap set or gym equipment, please double-check with the supplier if it comes in more than one box. If it does, they need to submit it as a KitBOM! Do not action the request until this is confirmed.
If the SKU list is large, it's good practice to download "Item Pricing Information" for the vendor and do an xlookup to check vendor item number and SKUs against this new list.
Forward the request from the supplier to the PRM for them to approve the upload. Set your ticket to Pending and await a response. Once approved, continue below. You needn't do this if the SKU request is related to a bathroom product from WA or from AOL Commercial, just upload the products.
If the product is from EHP; BSH or Fisher & Paykel, please load the products ASAP - no PRM approval is needed.
Check the data that is expected to be uploaded, ensuring all fields needed are per the navision guidelines and rules.
For anything that is a kitbom:
Ensure the sum of the cost of the child SKUs equals the cost of the parent. RRPs are not important in this regard.
Validate whether the child SKUs can be sold separately. If NOT, return to the item cards once they have been created and tick "Can not be sold separately".
Check the margin (RRP-cost)/RRP, we should be making at minimum 20%
Use this Template ( orange = required red = optional ) and make a copy.
Fill all relevant fields using the information from the supplier submission.
Description Format
Make sure descriptions are in ALL CAPS (30-character limit ).
They must contain 3 letters at the start to signify the brand (WES for Westinghouse for example).
They must explain what the item is.
Please follow the agreed abbreviations here.
Example: BSH FL WASHER WHT 8KG
Vendor Item Number - Typically same as SKU unless specified from the supplier
Item Category Code and Product Group Code can must be filled out accurately.
Open TEST item in NAV, and find out which item / product codes best suit
Fill out the unit price as the RRP
Make sure AOL item or WA core items are ticked where relevant.
Fill out the RRP
Add minimum order Qty
Add direct unit cost
Add what type of barcode it is (EAN/UPC/ITF) . EAN is 13 digits, UPC is 12 and ITF is 14 digits). The majority of the time the barcode will be an EAN and the digit variance is an input error from the supplier.
Add barcode
Add brand (you can check what brands exist and make new ones using the TEST item on NAV if needed).
To add new brand, click the drop down box and click " NEW " type in brand in full CAPs. The description doesn't have to be in CAPs
Division " WA "
Sub division " 10 "
Add the length, width and height - ensuring you have converted the measurements to centimetres if necessary.
Add the weight (convert to kilograms if necessary).
REMOVE the example rows and the headers once done, as these should never be included in the upload.
Save as .csv file and copy to your NAV session.
Go to NAV > Departments > Utilities
Click “Import Item Template”.
Load the .csv file
Once loaded, you'll need to change the stock type and product life cycle. You can do this in bulk using this template - make a copy.
Column B should be " Stock" for normal retail items, "Proforma" " for agency models and " Custom Made " for any custom items (you'll be told by the supplier if they should be custom made).
Delete the header row.
Download as csv, move file into your Nav session.
NAV > Departments > Utilities Click "Upload Item Stock Type " and load the .csv

Follow below steps to upload into PSS next day and content steps
Ensure ACOM CORE ITEM is ticked if commercial instead of AOL / WA Ite
IMPORTANT Once completed document in the supplier maintenance sheet here
Save upload template to the ticket
Set your ticket to pending so that you remember to upload to PSS and Content the following day - covered below.

“Product Life Cycle” to “Active”
Change Stock Type to either "Stock" or "Proforma" the vendor no will determine if this is proforma as all proforma vendors have the word "Proforma" in them.
Set “Item Category Code” and “Product Group Code” as per item details
In the “Invoicing” tab
Set the brand to the associated brand name
Set RRP price
Set the unit price ( same as RRP )
Go to “Purchase Prices” tab
Enter Vendor No, SKU, UNIT, leave minimum quantity unless specified, set direct unit cost, set date as next day, tick “Show as WA Std. Cost”
Go to “Item Cross Referencing Entries” tab
Set "Cross reference" ( first tab ) as Bar Code
Enter the “Cross-Reference No.” Typically 13 digits
Set Unit of Measure to Unit
Tick the Middle and Last box if 13 Digits
Tick the Second and Last box if 12 DIgits
Untick “Blocked”
Tick the check box next to “AOL Item” and “WA Item” depending on which it is for
If this must be sold as part of a kit, tick "Cannot be sold separately" under the kitting tab.
Open Units of Measure on the item card. Populate the Item No. field if not automatically done.
Add the length, width and height - ensuring you have converted the measurements to centimetres if necessary.
Enter the weight in kilograms (convert to kilograms if necessary).
Set your ticket to pending so that you remember to upload to PSS and Content the following day - covered below.
Upload Pricing for new Items - This should be done the day after the item was uploaded
Enter prices as necessary per the template in PSS link here
Upload for AOL or WA-Online (do both for safety)
If you need to load both, put the item twice and change the location for each website
RRP given will be the same for both sections
If there is a decimal at the end, round up unless it is proforma!
4. Delete the empty rows
5. Keep the top row with the headers (SKU Site Base Price RRP)
6. Save as .xlsx file
7. Upload the file
8. Click on “Price History” and check prices uploaded are “TRUE”
9. Tick AOL or Winning on NAV if the products exist already
NOTE : Base price = website price
This is to be done after the PSS upload as content need PSS to be populated before they enrich

Ensure we have assets to include on the website from supplier and include the details of our account manager and the PRM

Parent sku should be created prior to us creating a KITbom , when loading in PSS and sending to content we do not want the child skus to be published only the parents ( if they can be sold separately you can publish both child and parent eg washing machine and dryer pack )

Add a new row to the ordering sheet. In comlumn A, add the update "Change these to kits". In column B, add the child SKUs with | as the delimiter. In Column C add "No." In Column D, leave the note "Need to convert them to parent SKUs - make sure you do not double the order by converting more than one child SKU to the parent for that location".
Go to Kit BOM and click “New”
Enter the Kit BOM SKU i.e. VS1190VS0655 (2 SKU’s combined VS1190 and VS0655)
Enter a description, copy paste SKU
Set “Unit of Measure Code” to “UNIT”
Enter the each of the associated SKU’s for the KIT in the “Kit BOM Lines”
I.e. Line 1 - VS1190VS0655 - Item - VS1190 - Description… etc how many in the kitBom
I.e. Line 2 - VS1190VS0655 - Item - VS0655 - Description… etc how many in the kitBom
6. Set “Status” to “Certified”
7. Copy the Kit BOM SKU as the search name
8. Go into the items page , search kitbom parent sku and open
9. Copy the kit bom sku created into “Kit BOM No.” on the item card
10. Go to Kitting
11. Set the 4 empty drop downs to “SHOW”
12. Update "Replenishment System" on the Replishment Pane to say 'Purchase'
Remember
Set your ticket to pending so that you remember to upload to PSS and Content the following day.
Ensure you tick "Can not be sold separately" for any child SKUs that can only be sold as part of a kit.
Make a copy of the template and fill it out per the headings and examples.
Ensure you enter the corect child SKUs with their correct quantities under the correct parent code.
Once done, delete the examples and the headers.
Download as CSV and move to NAV desktop.
Go to Departments > Utilities > Tasks and select "Import KIT Boms".
Select your CSV and upload to NAV.
Double-check the parent SKUs were correctly kitted on the Kitbom page.
Search each Parent SKU on the 'Items' tab and open their item card.
Update "Replenishment System" on the Replishment Pane to say 'Purchase' per the image to the left.
Add a new row to the ordering sheet. In comlumn A, add the update "Change these to kits". In column B, add the child SKUs with | as the delimiter.
