Once you have settled on your event idea, and the overall concept of the event, you are ready to start planning the event project. The first step of planning is to create a work breakdown structure. Essentially, this means breaking down the event into specific jobs to be done from now until the shutdown of the event. You read more about how to make a work breakdown structure here. Following the creation of the breakdown structure (WBS), the event organization must create a milestone plan, taking into account what tasks to perform, when and by whom. The milestone plan also visualizes important dependencies between tasks and milestones in the various departments. You can read more about how to create a milestone plan here. Below, we have listed two important tools, which can support the and facilitate the planning process of your event. Both tolls are free to use, and provide a platform to be used by everyone in your team.
Asana is an online project management tool, designed to help teams keep track of their projects, in one common platform. Creating an asana account with your student e-mail will give you access to unlimited number of teams and projects, and also gives you direct access to use instagantt for setting up your milestone plan.
Asana helps you and your team keep track of your progress and facilitates effortless communication and document sharing. In Asana you can also create a WBS as a board or a checklist, with the possibility to add subtasks, deadlines and work division. Connect asana to your Google Drive or OneDrive, and give access for all your teammates to edit documents simultaneously.
Instagantt is an online tool which facilitates the creation af a milestone plan. The primary functions are available for free if you are already registered on Asana. The program lets you import your asana projects directly into the milestone plan, where you can edit and add tasks and milestones. Deadlines and new tasks will be automatically synced with your Asana project.
